Position Member Engagement Associate Position: Full Time, non-exempt Salary: Commensurate with experience Reports to: Director of Leadership, Culture, and Community Position Summary Northern California Grantmakers (“NCG”) is a dynamic membership organization that brings the philanthropic community together to build healthy, thriving, just communities. We are seeking a professionally mature, highly-motivated individual who join our team as a Member Engagement Associate. This role requires a person with strong execution skills and detail orientation, the interpersonal savvy to work effectively with a range of external and internal partners, and the acumen and intellectual ability to support various strategic initiatives. The ideal candidate will identify with the goals and mission of NCG and believe in the power of people coming together for change. While a part of the Membership Engagement team, the Associate is also expected to support the Policy & Communications team as necessary and appropriate. A successful candidate will need to blend flexibility with disciplined execution and strong self-awareness and confidence in operating through informal channels as well as established hierarchy. Essential Job Functions Administration and Online Technology (20%) Respond to member inquiries; Perform general administrative duties (communications, mail, copying, filing, etc.) related to achieving organizational goals; Assist in maintaining website and communications content to ensure effective uses of technology to advance organizational goals; Manage relationships with vendors and venues; Provide basic day-to-day administration on online functionalities, including member accounts, recovering logins, registering users for events, running standard reports, and additional administrative support as needed; NCG is an equal opportunity employer and seeks diversity with respect to race, ethnic culture, gender, age, sexual orientation, and physical abilities. Manage NCG’s Salesforce-Drupal Superteam, and work with Senior Manager, Statewide Online Technology at SCG and NCG’s Superteam to coordinate online technology efforts. Program Support (50%) Assist with program logistics, including venue research, pricing, scheduling, uploading program copy to website, working with caterers and other vendors, and scheduling meetings with speakers; Produce rosters, nametags, agenda, bios and materials for programs and events; Set up meeting rooms and manage room technology; Track and coordinate program registration in both Salesforce and Drupal: - Respond to log-in requests and troubleshoot as needed; Coordinate all post-program follow ups, including adding resources to website, sending out program survey, and updating program attendance lists; Assist with creating best practices and work flows for tasks in SalesForce and Drupal Participate in program planning meetings as needed. Membership (30%) Outreach: Support and track new membership campaigns; procure data for campaigns and manages mailings; work with the VP of Member Engagement to develop and implement strategies for communicating with prospective members; Processing: Produce membership application forms, process applications, and invoice new and ongoing members; Onboarding: When new members join, work with VP to create member invoices, welcome the new member, and orient them to NCG; Renewals: Maximize membership renewals; follow up with members who do not renew in a timely manner and refer complex situations to VP of Member Engagement; Financial performance: Track financial performance regarding membership renewals and recruitment, calculating dues income forecasts and producing reports; Membership Engagement Committee: Support the Member Engagement Committee; schedule meetings, take minutes and prepares materials for Committee meetings in consultation with the VP of Member Engagement. While performing the duties of this job, the Program Associate is regularly required to sit and to use a computer keyboard, to talk or hear and use a telephone. The Project Associate must occasionally lift and/or move up to 30 pounds. The position requires a level of energy adequate to work before and at certain events and also to get to and participate in meetings or events at several different locations during a single day. Direction of Others. The Program Associate reports to the Director of Leadership, Culture, and Community and has no direct reports. Work is conducted in team and cross-team environments. Decision Making/Problem Solving. The Program Associate makes day-to-day routine decisions regarding the proper organization, coordination and management of multiple projects, and participates in strategic thinking to ensure effective use of all of the organization’s resources. Accountability. The Program Associate is responsible for coordinating projects, and works in close collaboration with the Director of Member Engagement to organize their workflow to advance NCG’s goals.
