MINUTES August 17, 2016 Big ‘E’ Booster Club Attending: Linda Ahern, Amy McEvoy, Maureen Fairbanks, David Scharf, Sue Smith, Brenda Thomas, Dave Kline, Kelly Wieand, Karen Eberly, Tracy Peifer, Bill Templin, Steve Heisey, Kirstin Mink, Lisa Gepfer Meeting called to order at 7:07 Current Treasurer’s report Sent electronically Send check requests to Sue Smith Introduction of New Board Maureen introduced the Board Members Maureen Fairbanks – Returning as President Amy McEvoy – New Vice President Brenda Thomas – Switching from treasurer to secretary Sue Smith – returning to the treasurer position. She served as treasurer a few years ago Shannon Heisey – Interested in assisting with the sub sales and Programs New Business: A. Review Check Request & Deposit Procedures Please send check requests, fundraiser forms and deposit notices to Sue Smith to the new email [email protected] account. Each check request needs a team rep and coaches electronic signature. All fundraisers must be approved by Linda Ahern. She will approve and put on the calendar Kenzie is working on. Some discussion regarding events sponsored by the “Club Teams”. It was determined by the group that only EAHS team events will be sent to Linda for approval and adverting. Club teams are welcome to review the calendar to avoid duplications. Linda also said she would send EAHS team apparel fundraisers to the teachers and Administration for support. (She will not send Club teams fundraisers) Linda had a clarification for “approved” expenses. She will approve coaches request for coaching clinic expenses as it benefits the student athletes. Maureen (President) seconded this request. Linda also added that the Team accounts are for the benefit of the athletes, not the coaches. If they want to purchase other things for themselves, they need to purchase that out of personal funds and not Big E account. Linda also wanted to remind everyone that the only fundraisers split by Booster is the Fair parking and the Sub Sales. She still hears parents say that ALL fundraisers are split with Booster. THIS IS NOT CORRECT. ONLY 2 FUNDRAISERS ARE SPLIT WITH BOOSTER. All other fundraising goes to the Teams account. We need to get this information out to all parents. All agreed with Linda’s perspective. B. Fair Parking Schedule (Week of 8/22- 8/27) Team Reps/Coaches get startup money and end of shift – Maureen will get $300 (in $5s) for East High and $100 for Bear Creek. Drop-off at 9:00 each night. Meet at the front of East High Elementary school at 9:00. Maureen will get the next days start-up money for them. Profits from the Fair Parking will be 50/50 with Booster and Teams that work a shift. C. Update on Fall Sports Program Sponsors We have 3 Varsity Jacket sponsors, Elizabethtown Dental Associates, Gingrich Smith Klingensmith & Dolan, and Sloan’s Pharmacy. We thank them for their support. Letters will be sent to each coach and team rep to send out to their friends/connections which may be interested in supporting the Big E Booster. Question regarding other fall teams being able to put in their senior pictures and bios. Each fall team is encouraged to put their seniors in the Program like the Football team. Coaches need to send the bios to Maureen or Amy for the Program. The teams will be charged $5 per senior picture/bio with a check request to the treasurer. All pictures and bios due by 8/26. D. Facebook Page Introduction Amy shared the vision for the Facebook page. She would like to get pictures of the teams preseason and practices. She would also like to get the senior pictures on the website. To find the page you need to put Big E Booster Club Elizabethtown PA to find the right page. She will work with the teams on getting team stats and schedules on the Facebook page. (Senior nights, cancer and community nights for the teams) She did a very nice job gathering everything! E. Fall Sub Sale Fall Sub sales papers will be sent out shortly. The fliers and instructions will be sent to the coaches and team representatives. Each team needs to tally all of their team sales and bring it to the school at the designated night. Each team also needs to come to the night the subs come in to manage their teams subs. F. High School Open House/Back to School Scheduled for September 14th from 6:30-8. We will try to attend to advertise about the Big E Booster Club. G. Athletic Director Comments– Linda Ahern did not have much to share. Team started their seasons with little injury. Coaches and Trainers are doing a good job at monitoring the athletes during these last 2 weeks of extreme heat. Hall of Fame luncheon and recognition will be on October 7th vs. Manheim Homecoming Game will be October 14th vs. LS Some discussion regarding the student’s physicals and paperwork. Still a challenge getting them in on time. Some parents not happy about the $25 fee to play at EAHS Team Reports: Cross Country (Dave Scharf) – Practice started, switched section which will be difficult. Boys look good; girls are very strong. Senior night will be 9/13 around 5:30pm. 8/20 – Car wash fund raiser at Fulton Bank from 12:30 to 3:00pm. Track and Field (Dave) – Nothing new to report Boys Basketball (Tracy P) – Boys are lifting twice a week, participating in shoot arounds. Boys Soccer (Kelly W) – Boys started the season with 44 players. Senior night is 10/5 League Cancer fundraiser is 10/5 They are working with the girl’s soccer to honor Belinda Good at a home game. Will keep us posted. Girls LAX (Kirstin W) – Nothing to report at this time. Girls Field Hockey (Kirstin W) – Nothing to report at this time. Baseball (Coach Bill T) – Quiet at this time Successful summer program 2 games at the Barn Stormers Girls Volleyball (Karen E) – 21 high school students; 18 junior high students Community night is 9/6 10/11 Cancer Dig Pink game 10/20 Senior night at 6:30pm Girls Basketball (Karen E) – Team camp at Messiah College this summer and did summer league at the Nook. Boys LAX (Steve Heisey) – Winter league at the Nook. Golf (Coach Dave) – 20 golfers (1 women) came out for the team. First match this Friday at Fox Chase. Excited for the season. Girls Tennis (Sue S) – 27 players; first match 9/28 Softball (Sue S) – Nothing to report at this time. Girls Soccer (Amy M) – 36 players at this time; a lot of junior high players interested.
