Primary Objectives
The Office Administrator will assist the TBA Management Committee in the following areas:
 Administration support for all TBA programs providing customer service to members.
 Coordinating the TBA office and administering finances.
Administration of the Toowoomba Basketball Association (TBA)
Duties
Performance Measures
1. Manage the daily financial obligations of the
 Report sent to Treasurer monthly
association.
 All monies outstanding being paid.
 Payment of accounts
 Ensure all Members are registered
 MYOB management and data entry
and paid
 Banking of funds in a timely manner
 Manage Debtors and follow up
 BAS, ATO and Fair Trading requirements
 Membership control
 Implement Safe monetary procedures
2. Provide Superior Customer Service for all
enquiries and TBA Members.
 Provide face to face, email and telephone
service to basketball stakeholders.
 Act on complaints and feedback from
stakeholders with a sense of urgency.
 In conjunction with other staff ensure that
digital media and/or websites are up to date.
 Communicate to members via the database

3. Manage the Aussie Hoops program
regionally, within clubs and schools.
 Assist with setting up where required
 Promotion and advertising of each program
 Management of Coaches
 Ordering new Kits







4. Providing support for all TBA clubs and
Regional Affiliates.
 Help in succession planning for club
committees
 Support the development of club roles
 Help creating a club culture
 Education of clubs how to most effectively
use the Fox Sports Pulse system.
 Implement a uniform and merchandise
purchasing program
 Allocate a training base for each club
 Where appropriate find supporting partners
that can help the daily operation of the club
 Work with clubs to coordinate camps and
booking facilities for training

Respond to all queries in a timely
manner
Engage the appropriate committee
or club where required
Recommend changes or
improvements where applicable
from complaints and feedback.
All volunteers and associate
members to be entered into

Meeting the timelines that are set
for the advertising and setting up of
these programs.

5. Increase in Funding for Programs.
 Apply for suitable grants for TBA, Clubs and
Regional Affiliates
 Assist representative programs, clubs and
affiliated bodies with their sponsorship
process
 Coordinate fundraising activities for clubs and
representative programs

Increased funds available for all
programs.
6. Basketball Queensland Delegate.
 Primary contact for BQ, and support for the
following TBA Sub Committee’s:
- Senior Mountaineers Sub-Committee
- Junior Representative Sub-Committee
- Senior Club Competition Sub-Committee
- Junior Club Competition Sub-Committee

Management of requirements set
by Basketball Queensland in a
timely manner.
Booking of training venues
Liaise with Sub-Committee
Chairpersons
7. Support for Coach, Referee and Scorebench
Officials
 Coordination regular meetings
 Booking of courses
 Help placing coordinators for coaching,
referee’s and scorebench for the association

8. Maintain historical records for the
association
 Setting up the TBA Club room
 Coordination of annual TBA awards evening


9. Establish a register for TBA equipment to be
booked out and returned

10. In consultation with the TBA Management
Committee, update and manage a range of
policies and procedures.

Sound Financial background
Excellent organisational and administrative skills
A strong customer service focus
Exceptional conflict management skills
Demonstrated knowledge and experience of Basketball and sport in general
Excellent computer literacy, including knowledge of Excel, Word, Outlook, PowerPoint,
Publisher and editing websites
Outstanding knowledge of organising and continually running competitions and programs in
Fox Sports Pulse
An understanding of the running of a not-for-profit organisation
Excellent data entry skills and the ability to maintain accurate records
Excellent oral and written communication skills and the ability to discuss and resolve
problems and complaints
An ability to communicate with staff, volunteers and to work effectively in a team
environment with key stakeholders
The ability to set priorities, meet time-frames and work independently where required
A positive attitude towards learning new skills and gaining new knowledge
