Alpha Chi’s Induction Management System (IMS) and Chapter Sponsor Portal How do I log on to access the Induction Management System and my Chapter Profile? Go to https://www.alphachihonor.org/. In the upper, right-hand corner you will see a log-in area. If you did not receive an automated email welcome from the system when you were added or don’t remember your password, click on “Forgot Password” to receive a temporary password via e-mail. Use the e-mail address you’ve provided to the national office. If you don’t receive that e-mail within a minute or two, or if the system doesn’t recognize your e-mail address, call the national office at 800-477-4225. Once you’ve logged in, you have access to the IMS, the Chapter’s Profile, your Sponsor Portal, and the IMS User Manual—a step-by-step guide for inviting and registering new Alpha Chi members, as well as other IMS functions. What do I need to have ready for my next invitation? All you need is an electronic copy of the text of your invitation letter and an electronic file containing three fields of data for each eligible invitee (first name, last name, and e-mail address). In addition to the drop-down templates available in the IMS, the User Manual contains examples of letters and messages that work well and gives detailed instructions on how to upload several different data file types. The national office will gladly assist you in crafting a successful invitation. What should I do to ensure my college isn’t blocking e-mail from Alpha Chi’s IMS? Most institutions employ institution-wide spam protection to prevent unwanted messages from being sent by or to faculty, staff, and students. While every effort has been made to ensure that the IMS e-mail invitations do not appear as spam, some campus protection systems may still categorize them as such. Send your IT Services a request that “e-mail messages from [email protected] (Alpha Chi’s National Honor Society Induction Management System) be white listed.” If they require IP addresses or need additional information, please have them contact Lara Noah [email protected], so we can help keep chapter communications flowing smoothly through your university’s e-mail delivery system. Can I send paper invitations through regular mail? You certainly can! The only caveat is that you must upload your invitee list (first names, last names, email addresses) to the online Induction Management System before your invitations are printed and mailed. This will generate a unique Invitation Code that you’ll insert into your mailed invitation letter. With this code, students accepting membership from a mailed invitation can register and pay their dues online just like students invited solely through the IMS. What if an invitee can’t afford dues or doesn’t have a credit or debit card? The User Manual details a dues waiver process that will allow you to send a special code to any invitee preferring to pay dues with cash or a check. This “Dues-Bypass Code” allows them to bypass the payment part of registration. Some chapter sponsors also tell us that occasionally they have students who can’t afford to pay the dues or need more time to do so. This will work for those cases as well. The chapter is still responsible for paying these “bypassed dues” before certificates can be printed. This can be done by credit card or by a deduction from your local dues reimbursement. How will the national office know how much to charge for my local dues? Once logged in, click on the green Chapter Profile tab (on the left side). On the General tab screen, which is the first one you’ll see, the field in red is where you tell the national office how much local dues to collect per student. If, for example, you’ve always collected $15 to cover local chapter expenses, simply enter 15.00 in the Local Dues field. Then select whether your local dues reimbursement check should be made payable to the chapter or to the college. Once you’ve added data to these two fields, save your changes by clicking the “Save General Info” button at the bottom of that screen. In the scenario above, the invitee will be prompted to pay $65 during registration (because the IMS automatically added the national dues of $50 to the $15 that was entered here for local dues). So there’s no need to talk about local vs. national dues in your invitation letter. How and when will I receive my local dues? The national office will enclose a check with certificates and pins, to the primary chapter sponsor, for local dues collected on a chapter’s behalf. The amount of local dues will be for any new member registrations, minus any bypassed dues or express processing fees. How do I know who has accepted membership? Your sponsor portal “Dashboard” will display a notification with each student’s name as he or she registers, but you can also see who has accepted from the Invitees tab of each Invitation Group. You can also get chapter member data by selecting the Reports tab. By using the Column Chooser and the Filters, you can download a spreadsheet of the data needed for creating a list of members in your induction ceremony program or for sending to your campus registrar for inclusion in a graduation program. When do I get certificates and pins? As soon as our system shows us that your invitation period has closed and all dues have been collected, certificates and pins will be processed and shipped to your chapter. To avoid express processing fees, set your invitation’s close date and induction date at least two weeks apart. Start exploring your new Induction Management System! Step 1: Go to www.AlphaChiHonor.org Step 2: Click “Forgot Password” if you don’t have or don’t remember your password. Step 3: Log in with the temporary password you’ll receive by email. Step 4: Create a unique, secure password. Click on My Profile (green tab on left) to update your password. Step 5: Now click on the Chapter Profile tab under the Dashboard tab. Step 6: Set your local chapter dues, choose the payee for your local dues reimbursement checks, and click the Save General Info button at the bottom of the screen. Step 7: Go to your Dashboard and click open the IMS User Manual. Making a hard copy that you can write in would be helpful. Step 8: Start working on your invitation and welcome messages.
