Informed attendees that today’s meeting would be held in 2 sections. Peter Nolan is to take lead on the first and Caroline on the second. PART 1 Peter - Linkage made between this and previous meeting Previous minutes were not sufficient for audit purposes The first task of this meeting to refocus the group on the core elements of the programme and individual contributions GH not to take minutes for the meeting but to record agreed actions . - - Peter Suggested that the partnership needed to understand its current position on the lifespan of the project and to report back and agree on the format for this. Caroline suggested that an official record of this be created to record all progress ALL It was agreed at the existing communication platform was not sufficient to meet the needs of the group. Susan acknowledged Christoph’s hard work to develop the current system which had not worked because a number of partners had To agree a new format for minutes Peter to re-draft previous minutes for Susan to circulate. This is to include all presentations and photographs from the previous meeting to accompany the Year 1 Report. Attendees from previous meeting to forward relevant materials to Susan. Susan noted that there was now an opportunity to progress and hopefully implement a communications system that would work for all. Various communication platforms were discussed Susan suggested that GEMS set up a web page for the partnership with an intranet to share files and Susan to action intranet discussion forum/announcements facility. Partner organisations to Following further discussion it was agreed to forward their email address to establish a web page/intranet Susan. Emmanuel Emmanuel provided samples for a project . A vote was held and it was agreed that the partnership would use the logo that integrated all 3 designs as the STEP logo. a logo was agreed on. Peter Invited attendees to comment on the bilateral visits. - Asked if it was the intention of each partner to make a bi-lateral visit? - Proposed that the group consider time frames and frequency of visits. - Advised direct linkage between the project objectives and bi-lateral visits. - Suggested that the group review completed visits and make linkage to key objectives of the project. The key objectives were identified as: Identify good practice and opportunities for young people Promote inclusion Asked the group for their comments on project administration. Due date: 27th May 2012 - - It was agreed that host organisations were to create certification of attendance for all bi-lateral and partnership meetings. PDF copies to be forwarded to Emmanuel to meet NA requirements Page 3 of 11 STEP LEONARDO DA VINCI PARTNERSHIP PROJECT 2011/2013 PART 2 Caroline Caroline suggested that the following issues be addressed during this section of the meeting: - - That the group review the project in it’s entirety to ensure that the actions of the group are in line with the project objectives. Is everyone on the same page Asked the group to consider a mid-term report for completion in July 2012. In so doing that the group refer to the ‘ISSUES AND CHALLENGES’ document circulated by Susan. Attendees discussed issues surrounding the following points: o Results to date against the partnership plan o Preparations for Year 1 report o Partner reporting o Report and agenda format for bi-lateral meetings Susan - Requested that all results from bi-lateral meeting be sent to her as soon as possible so that she could identify the key elements from each organisation that will feed into the foundation of the report. Peter - Supported the need for a quick response to this request and to avoid delays to national agencies. - Susan - Suggested that sharing client experience and contract working within the parameters of different geographical and cultural climates would identify a common theme between the organisations. Suggested that this be data be captured for the mid-term review to identify that this work is already being done. It was agreed that by July 2012 an overview of good practices be identified and that an evaluation of all available materials be carried out. This training covered an overview of the host organisation and detailed what was expected of them in terms of feedback from the visit.
