Edit an Inspection ................................................................................................................................... 25 Introduction Sprocket’s inspection module provides you with the ability to create custom inspections for many different solutions within your facility operations. Some examples of uses for the inspection module are: Fire Safety Inspections Quality Assurance Inspections Predictive Maintenance Inspections Data Collection of Equipment and Locations Inspections are also used as the basis of dispatch actions. See “How to Use the Dispatch Action Manager” for further instruction on building or modifying dispatch actions. Each system is set up prior to launch with default inspections already built and utilized by dispatch actions as well as associated to work orders. If there is a need for a new inspection for a dispatch action or other use, the Inspection Manager will help you create a new inspection. You may modify an existing inspection if there is one that is close to the desired functionality. Editing an inspection keeps a copy of the original inspection and then creates a new copy of the inspection with your modifications.* *Note: Existing dispatch actions will always use the most current version of the inspection. When looking at the list of inspections under the Inspection Manager you will see that not all inspections are able to be edited. Those that are unable to be edited do not have the “Edit Inspection” link to the right of the inspection name and will not have a link in order to view the details of the inspection. These non-editable inspections are inactive and are not being used by the system. Inspections are made up of question groups and questions. Each question must be assigned to a question group. Question groups can be seen as sections of related questions. A. Create an Inspection Prior to creating your first inspection you will want to outline the question and answer options that will be used for your inspection. See below for an example outline. Log in to Sprocket. 2. Navigate to Inspections then to the Inspection Manager. Click on the “New Inspection” button. This will bring up the Inspection Builder form. 4. Name your inspection and give it a brief description. Name: We suggest that you include the type of work orders the inspection will be used for in the name of the inspection. Examples: WO Transfer; PM Set Next Due Date. Description: Give a brief description of the functionality of the inspection. Examples: Change the Request of the Work Order; Set the Next Due Date. Step 2: Inspection Type Use the Inspection Type drop down box to select the Inspection Type. Screens are sometimes filtered based on the inspection type. See below for descriptions of each type. Inspection Type: System or Default? System: System type inspections are designed for the collection of large data sets by Sprocket programmers. Default: Default inspections are inspections used for work orders, such as “Close with Remarks” or “Assign Employee.” Most inspections that a system manager works with are Default inspections. Note: It is possible to create an additional inspection type upon request. An example of an additional inspection type is “Mobile.” Using this inspection type you would be able to filter inspections based on the inspection type “Mobile” for the inspection list found on a mobile device. Step 3: Inspection Builder 1. Click on the “Open Inspection Editor” button. This will load the Inspection Builder. Note: The Inspection Builder will open in a new window. If you are redirected back to the Inspection Manager screen make sure your upturn site is a trusted site for the browser you are using. Also make sure your popup blocker is not blocking your upturn site. The Inspection Builder is made up of two sections: Tool bar: (left section of the screen) contains the tools for you to build your inspection. Work Area: the center section is your work area for building your inspection. Step 4: Question Groups Inspections are made up of question groups and questions. Each question must be assigned to a question group. Question groups can be seen as sections of related questions. 1. To add a Question Group click “Question Group” in the tool bar portion of your screen. Enter the question group name. Group Name: This will be the section title. Examples: for a playground inspection you might use – Small Equipment, Large Equipment, and Other Playground Areas. For an inspection that will be used for a dispatch action you may just label the question group “Necessary Fields” or “Fields” since there will not be more than one question group. Step 5: Questions: Add a Question 1. To add a question to your inspection click on “Question” in the tool bar then drag it to the appropriate Question Group. This will open the “Add a Question” wizard. Question Text: Question text may depend on the answer type for that specific question. For example: if the answer will be “Yes” or “No” then the question text should be detailed – “Is there a safety valve located on the machine?” If the answer will be a list of conditions such as “Excellent,” “Fair,” “Poor,” or “Needs Immediate Attention,” then the question text may simply be “Sink” or “Mirror.” Refer to your inspection question outline to quickly enter question text. Default Value: Define a Default Value if the question needs a predefined value. Example: If this was an inspection to post time, you could set the default value as the Wage Multiplier or the Billing Rate. The user will still have the opportunity to override the default value when running the inspection, but by setting the default the time taken to perform the inspection is decreased. Keyword Selector: The Keyword Selector allows you to map existing fields from an ‘object’ back into the inspection. You may pull in the work order employee, work order supervisor, and other such values. Example: If you have a time inspection, the ‘Employee’ field could be mapped to the assigned employee on the work order for which the time inspection is run against. This auto populates the employee value when the inspection is submitted. o To map a field for auto population on an inspection: 1) Fill in the Question Text. 2) Select the appropriate Answer Type (often Free Text when using Keyword Selector). 3) Click on the Key located next to the Default Value field – this will bring up the Keyword Selector box. 4) Select the correct keyword value. 5) Click “Submit”. Answer Type: There are ten different answer types. Below you will find a description of each, including examples. Answer Type Options: Free Text: Free text is generally used for short answers. The text box has limited visible space but allows for unique answers. Reports may be run on free text answers but are limited in the information they can collect. Free text answers may be gathered in a single report or if desired, a report can be created to distinguish how many times the question has been answered (using a percentage or ratio). o To use free text as the answer type: 1) Fill in the Question Text 2) Select “Free Text” as the Answer Type 3) Click “Submit” Money: Use money as an answer type for a question that will always be in US currency. o To use money as the answer type to a question: 1) Fill in the Question Text 2) Select “Money” as the Answer Type 3) Click “Submit” Double: Doubles are numeric formats that support decimals. Example: 1.1 o To use Double as the answer type to a question: 1) Fill in the Question Text 2) Select “Double” as the Answer Type 3) Click “Submit” Percent: This will format the entered value as a percentage. Example: 25% o To use percent as the answer type to a question: 1) Fill in the Question Text; 2) Select “Percent” as the Answer Type; 3) Click “Submit.” Integer: An integer is a number that does not support decimals. Integer formatting can be used for questions regarding quantities. Example: Inventory issue. Inventory is not typically posted in partial quantities. o To use Integer as the answer type to a question: 1) Fill in the Question Text 2) Select “Integer” as the Answer Type 3) Click “Submit” Date: Use “Date” as the answer type when the question is a date. The format for dates is: mm/dd/yyyy hh:mm am/pm. During an inspection, the inspector has the option to select the date and time from a calendar (see example question 6 on the Test Inspection image below). o To use Date as the answer type to a question: 1) Fill in the Question Text 2) Select “Date” as the Answer Type 3) Click “Submit” Answer List as Drop Down: You may want to create a specific answer list for the inspector to choose from if a question may have multiple answers. o To use Answer List as Drop Down as the answer type to a question: 1) Fill in the Question Text 2) Select “Answer List as Drop Down” as the Answer Type 3) Select your answer list using the “Choose Answer List” drop down or select “Create Answer List” from the drop down. 4) If you selected a pre-made answer list then move on to step 6. If you selected “Create Answer List” then type the first answer option in the “Add Answer” field then click “Add Answer.” Your answer will show as a list in the bottom left-hand corner of the “Add a Question” box – just above the “Save Answer List” button. 5) Once you have listed all possible answers for this answer list, click the “Save Answer List” button. A new box will pop up in which you will give your new Answer List a name. Name the Answer List. 6) Click “Submit” to add the question to the inspection. Answer List as Radio Group: Answer Lists as Radio Groups are similar to an answer list as a drop down. Radio groups are also for questions that may have more than one answer – the difference is visual. See below for an example. o To use “Answer List as Radio Group” as the answer type to a question: 1) Fill in the Question Text 2) Select “Answer List as Radio Group” as the Answer Type 3) Select your answer list using the “Choose Answer List” drop down or select “Create Answer List” from the drop down. 4) If you selected a pre-made answer list then move on to step 6. If you selected “Create Answer List” then type the first answer option in the “Add Answer” field then click “Add Answer.” Your answer will show as a list in the bottom left-hand corner of the “Add a Question” box – just above the “Save Answer List” button. 5) Once you have listed all possible answers for this answer list, click the “Save Answer List” button. A new box will pop up in which you will give your new Answer List a name. Name the Answer List. 6) Click “Submit” to add the question to the inspection. File Upload: By selecting “File Upload” as the answer type you will be allowed to select a file for upload when running the inspection. o To use File Upload as the answer type to a question: 1) Fill in the Question Text 2) Select “File Upload” as the Answer Type 3) Click “Submit” Comments: “Comments” as the answer type to a question gives the inspector a larger text box in which to enter any other comments or concerns not otherwise addressed in a specific question found in the inspection. o To use Comments as the answer type to a question: 1) Fill in the Question Text 2) Select “Comments” as the Answer Type 3) Click “Submit” Edit a Question To edit a question you’ve already created: 1. Click on the “Edit” link to the left of the question text. 2. A box will pop up in which you will be able to make the necessary edits. 3. Once you are done editing, click “Submit” again. Ordering Questions 1. To order questions after they have been created, click on any of the question numbers to the left of question text (see picture below). This will bring up the “Order Questions” pop up box. 2. Highlight a question that needs to be moved by clicking on the question text. To select more than one question at a time, click on a question then hold down the “Control” key on your keyboard while you select the rest of the questions. 3. Use the up and down arrows (to the right) to move the question(s) up or down. If multiple questions are highlighted, all highlighted questions will move the same direction. Deleting Questions 1. To delete a question, click on the “Delete this Question” link that corresponds with the question that needs to be removed. Make a Question Required All questions are automatically set as required upon creation. A check mark in the “Required” box means that that question must be answered prior to completing the inspection. To make a question optional, simply uncheck the “Required” box. See below for an example. Map a Question: 1. Put your cursor in the appropriate field. 2. You can then a. Use the look up (magnifying glass icon) to find and select the answer.* *Note: If you select an answer this way, this will be hardcoded from the selected value and not an answer given by an inspector. b. Double click in the answer field of the question being mapped to have the inspector’s answer be the action answer. B. Actions Action Options An action initiates an event based on the answers collected during an inspection. The action can use predefined answers to evaluate whether or not a follow up procedure needs to be executed based on what the user observes at the time of the inspection. For example, creating a work order or sending an email with the inspection results are two common actions used in the inspections module. Before creating actions you need to decide the following: What will trigger the action(s)? (See “Actions can be triggered from two levels” above.) Outline the details for a work order using this inspection. (See below.) What actions will need to be taken? Examples: send an email, update location, update status, post time, etc. Details for the work order: Work Type Action Log Request Code Priority Shop Actions can be triggered from two levels: at the Question Group level or on an individual question. Question Group (list of related questions): o When an action is placed on the question group you can trigger an action from a child action, which is any of the individual questions in the question group. Individual Question: o There must be an action placed on at least one of the individual questions in order to trigger an action on the question group. To create an action triggered by a question group: 1. From the tools menu drag and drop an action on the question group. 2. From the “Add an Action” drop down select an action. a. There are two categories of actions: 1. Sprocket Data Collection: The data collection templates are designed to import data regarding different object types into Sprocket. Examples: people, work types, wage codes, billing codes, shops, crafts, locations, etc. 2. Sprocket: ‘Sprocket’ actions are designed to either create or modify one or more records within Sprocket. These are predefined actions to modify work orders or other Sprocket objects in certain ways. Examples: ‘Close with Remarks,’ ‘Assign Employee,’ ‘Approve Work Order,’ etc. Most inspections created and/or used by Inspection Managers use ‘Sprocket’ actions and not ‘Sprocket Data Collection’ actions. 3. After selecting an action, you will then need to decide if the action will only be triggered on a child action. If yes, mark the “Only trigger on child action” check box. a. You may set an action to “Only trigger on child action.” “Only trigger on child action” is a functionality that will work only when there has been an action set up to create a child work order or “rework” work order. Once the child work order action is in place, you may select “Only trigger on child action” to have the secondary action affect the child work order. By marking “Only trigger on child action” the system will take that action and apply it’s consequence to the child work order. Example of “Only trigger on child action”: 4. Click “Next.” 5. Select the field that will be updated or modified through the action. You are now looking at a new “Add an Action” box. Here, you will be setting which fields will be modified through your action. Example: select Supervisor from the “Select a Field” drop down. a. Set Field Values: This is a search filter. Type here to go directly to the desired value or to narrow the list results. b. Select a Field: This will determine which field can be updated or changed during this particular inspection action. 6. Set the drop down box to equal (“=”) or Append. a. Equals: will set the value you are selecting on the left to whatever value provided from the mapped question. Example: Employee = Value from Question 1. See “Map a Question” below. b. Append: can take the value you provide from a question group, and add extra information to it. Example: you may have a question titled ‘Problem Resolved?’ with a ‘Yes/No’ answer list. By using Append you can have the provided ‘Yes/No’ value define additional wording before the value on the child work order. Example: In order to do this you would: 1. Add the text “Problem has been resolved” to the text box (see picture below) 2. Mark the “Double-Clicking a Question Appends:” check box. 3. Double click the appropriate question. 4. Click “Add Value.” You can set multiple fields to be edited during the same action. After filling out the form for each question that needs to be modified, click “Add Value.” 5. Once you have filled out the form, click “Submit.” Another option for appending question answers is the following example. 7. If you have a “Comments” question in your inspection: (This is still an action on the Question Group and may be combined with other actions – see pictures.) 1. Select “Comments” or “Notes” (depending on your template) from the Field drop down box. 2. Select “=.” 3. Mark the ‘Double-Clicking a Question Appends’ check box.* 4. Now double click the comments question in your inspection. * Note: This allows for the results from the inspection to create comments on a work order created through this action. 5. Click the add value and then click submit. 8. If you have finished creating your inspection (complete with 1) Question Groups, 2) Questions, and 3) Actions) then click ‘Exit’ located in the top right-hand corner of the Inspection Builder. The Inspection Builder automatically saves before returning you to the Inspection Manager screen.* *Note: All edits or additions will be saved as long as you have returned to the main Inspection Builder screen. An inspection exited in the middle of a question or action being created will not save the unfinished question or action. To create an action triggered by an individual question: Actions created to be triggered by individual questions are set up the same as actions triggered by Question Groups with a few differences in options during setup. Unique to Individual Question ‘Add an Action’ Box: Static vs. Formula o Static Answer: Used in conjunction with the ‘When Answer’ Drop Down Box. o Formula: You can create a formula to define when the action will be triggered. Formula options can be for ‘Every X’ or ‘Formula.’ Every X allows you to make a comparison against a field to execute the action based on different types. Type options are: 'Every xxx occurrences' –example: you could have the inspection do something special every 3 executions. 'Every xxx Increase Different' – example: If you had an inspection where you were tracking an hour meter or a piece of equipment, we could trigger an action when the hour meter reading increases by 100 per the last time the inspection value was recorded. ‘When Answer’ Drop Down Box: Used to define when the action will actually be triggered.
