ABOUT US
Club Vale aims to provide high quality childcare within a warm and welcoming environment. The
individuality of each child in our care will be respected and nurtured.
Club Vale was set up by Karen Dandy in 2010. A working parent Karen realised there was a significant
demand for quality wraparound childcare. Club Vale has been running in Cuddington Croft Primary School
for 4 years and is headed by the Supervisor, Katie Beken-Barnes.
Club Vale Breakfast and After School Clubs are active, fun and affordable, provided by enthusiastic and
passionate playworkers. In our After School Clubs, we pride ourselves in delivering a fun, happy and safe
place for children to play freely with their friends, take part in activities, art and craft, sport, chill out or
enjoy the variety of toys and games available. In preparation for a busy school day, the Breakfast Clubs
focus on quieter activities, including Lego, art and craft, puzzles, toys and board games. All our clubs follow
the playwork principles and offer lots of free play and free choice activities.
PRACTICAL DETAILS
Location
We are based in the Old Library next door to the swimming pool. This is where you will drop off/collect
both Club Vale infant and junior children.
The Junior school age children make their way to us after school and we will collect Infant children from
their classrooms.

Early drop off
No need to pre-book this session once we have your
child’s registration form and deposit.
Breakfast Club
Includes a healthy breakfast served up until 8.15am.
We then walk the children to the school to ensure they
arrive safely and on time.

Who can attend?
The club is open to children aged 4-11 year old who currently attend Cuddington Croft Primary School,
from Reception to Year 6 inclusive.
Places are allocated in line with our admissions policy. If there is a greater demand for places then those
available a waiting list will be operated.
Booking arrangements
Before you can book a place at Club Vale you MUST register your child by completing a registration pack.
Places can be booked for regular use or on an ad-hoc basis.
Your registration information will last for the duration of your child’s time at the school. However, it is
important that you ensure we are informed of any changes to personal details including mobile and email
address.
Deposit
Once availability has been confirmed, we require a £50.00 on account payment from all parents in order to
secure your place. This charge is held on your account and will be used against additional ad-hoc sessions
that you may book with Head Office which are not included on your booking form (always check
availability), or refunded should you decide to leave or used against your last booking form.
Booking regular sessions
Please contact us and we will forward you an annual booking form. We ask for £50.00 on account
payment. The booking form is set up to calculate your monthly payments due on the 30th of each month
(30th August to 30th June) we take into account all public holidays, school holidays and inset days.
Booking ad-hoc sessions
We offer a flexible service and are happy to accept ad-hoc bookings, a week in advance (Thursday), subject
to availability.
Please text through your request to 07905 394 029 and we confirm if we have availability. These bookings
are invoiced weekly and we will allocate the £50 on account payment against these bookings.
If you are only using Club Vale on an ad-hoc basis we require a £50.00 on account payment as above. If this
amount is likely to exceed your annual usage please contact Head Office to discuss a reduced on account
payment.
If you request an ad-hoc session and your child does not attend you will still be charged, as per our terms
and conditions.
Changes to your regular booking
If you need to change the days (subject to availability), add sessions on a regular basis or reduce your
booked days, we require written notice on or before the 20th of the month and we will adjust your monthly
payment on the following month. For example, notice given by 20th March, revised monthly payment
begins in April.
Payment
We recommend parents/guardians set up a standing order for the monthly cost either directly or using
childcare vouchers.
If for any reason you are unable to make a payment please call Head Office immediately to discuss any
issues you may have. If we do not hear from you, this can lead to withdrawal of childcare.

Childcare Vouchers
Childcare Vouchers allow employers to help their employees with the cost of childcare. Childcare Vouchers
are exempt from National Insurance Contributions (NICs) and Income Tax for employees up to the value of
£243 per month.
Club Vale accepts all childcare vouchers. All employers are able to run a childcare voucher scheme (they
make savings too). Please speak to your employer for details.
Please contact us with the name of your childcare vouchers provider and we will give you the necessary
reference number.
Refunds
As per our terms and conditions any pre-booked including ‘ad-hoc’sessions are still payable as we have to
ensure we have adequate staff members in place to cover the number of children attending.
Child Absences
We are expecting your child and therefore it is ESSENTIAL that we are informed if your child won’t be
attending for any reason or is attending a school led activity. It is not the schools responsibility to inform us
if your child is off sick or absent. We have a strict safeguarding policy and will consider your child as
‘missing’ unless we have been informed of the absence. We have to take vital steps to ensure your child is
safe and as a last resort we may have to contact the police.
We appreciate how busy life can be so a simple text from you with an update is all we require, Text any

After school clubs/groups
Children often attend after school activities throughout the year, so please do let us know which clubs and
we will collect your child when this club finishes. Book the full session and email us or speak the
supervisor, with full details of the activity and where your child will be in the school, to ensure your child is
collected from the club promptly.
Late Collection
As Club Vale is based in Cuddington Croft School it is very important that children are collected at 6pm as
this is when the caretaker locks up the school after our use. If a child is not collected by 6pm staff will call
you. If this is unsuccessful they will call the emergency contact numbers. If we are unable to contact
anyone or had any information about collection by 6.30pm we will contact social services.
The penalty charge for late collection is £6.50 per 15 minutes or part of, after 6.00pm.
The last day of term
We offer the Breakfast Club as usual but in-line with the school we do not offer the After School Club
sessions on this day as school finishes after lunch time.
Medication
May 2017
Club Vale can only administer prescribed medication. Please ensure you hand any medication required to
the Supervisor with a Permission to Administer Medicine form. Club Vale Head Office can email this form
to you prior to your child attending.
Holiday Club
Club Vale also run a holiday play scheme throughout the year, please visit our website for more
information and dates that we are opening. This is held at St Martins Infant School and is available to all
children from any school current Reception to Year 6. So please bring your friends! A completed
Registration pack is also required for holiday club.

Organised activities may be on offer but the emphasis is on self-directed play in line with The Play
Principles. We have an excellent range of play equipment from books, games and puzzles and more.
Settling in
We fully understand that starting school can be a very daunting experience for young children.
At Club Vale we take time to get to know you and your child and before you start we will ask for an ‘All
about Me’ form to be completed for Reception children. This gives us an understanding of your child and
how we can help with the settling in process.
STAYING SAFE
Accidents & Emergencies
If your child becomes ill during a session with Club Vale every attempt will be made to contact one of the
people listed on the registration form to arrange for them to be collected and your child will be cared for
until someone collects them.
In the case of a minor accident, basic First Aid will be administered by a qualified member of staff and in
the case of an accident requiring more than basic First Aid every attempt will be made to contact you to
discuss the course of action to be taken. All accidents and emergencies are recorded and you will be asked
to sign and take a copy of the record.
The Registration Pack contains authorisation giving staff permission to act if you cannot be contacted in
time, and the Supervisor will gain appropriate medical treatment for your child. IF YOU DO NOT WISH TO
GIVE SUCH AUTHORISATION PLEASE DELETE THE RELEVANT PERMISSION ON THE REGISTRATION FORM.
Supervision
Children are supervised by staff at all times during Club Vale hours, until they are collected by you (or a
named substitute). The ratio of staff to children complies with Ofsted Regulations.
We will collect your children from after school activities but please do let us know which clubs they are
attending.
Collecting your child
Only the people listed on your child’s registration form can collect your child. If someone who is not listed
on your child’s registration form is due to collect your child, please inform Head Office and provide a
password for Infant school aged children, that will be passed on to the club staff.
Safeguarding

Club Vale is committed to safeguarding and promoting the welfare of children and young people and
expects all who work with us to share this commitment. This commitment extends to all adults and
children that visit or have contact with us. Full details are available on our website.
Club rules
These rules were developed with input and ideas from the children

Shouting, rudeness and fighting is not acceptable
Show respect for all the equipment, it is not easy to replace
If children break the rules staff will always take a positive approach to behaviour management and in line
with our Behaviour Management policy.
STAFF
Club Vale has a safer recruitment policy in place and all staff are carefully referenced and hold a current
enhanced DBS. We have a highly experienced, capable and committed staff team at Club Vale.
Club Vale staff are enthusiastic, inspiring and passionate individuals who are DBS checked to Enhanced
Level and hold qualifications/have extensive experience in Playwork/Childcare.
Supervisors are typically Level 3 or above in Playwork (or equivalent) and the many of the rest of the team
will be at least Level 2 qualified in Playwork (or equivalent).
There is a Paediatric First Aid trained member of staff on site at all times.
Staff receive ongoing training in various aspects of child supervision and care, including behaviour
management, child protection and activity delivery.
