www.mecahoa.org MECA Board Meeting January 13, 2010 Minutes The meeting was called to order at 7:30 p.m., at the home of Anne Himes. In attendance were: Doug Kister, Anne Himes, Chuck Holt, Jason Lynch, Dennis Fisher and Christine Cutler, Christine Cutler was acting secretary for this meeting. 1. Approval of Minutes: The Minutes from the December 2009 MECA Board Meeting were approved 2. IP Address: Doug advised the board that he was able to reclaim the Monterey Estates.org IP address. The HOA will retain both IP addresses for the near future. 3. January Newsletter: The forthcoming Newsletter was reviewed and discussed. Doug sent out the draft Newsletter for review prior to the board meeting. Several items to include snow removal of side walks, Spring Egg Hunt (to be held on 24 April) and Christmas decoration winners were added. Chuck will finalize budget over the weekend for inclusion in Newsletter. Newsletter will also include 2010 Annual Due Notice. Newsletter will be mailed the week of 18 January 2010. 4. Delinquent 2009 HOA Dues: Six homeowners have not paid their 2009 MECA dues. Board will contact homeowner one last time in conjunction with 2010 annual dues. If 2009 payment is not received, legal action will ensue. 5. Budget: Board discussed 2010 Budget as well as the Five Year Capital Improvement budget. Due will increase by 10% in 2010. Increase is necessary to support and provide maintenance for playground, tennis and basket ball court area. In the 5 year plan several development and capital improvements are included with the associated funding profile. Chuck will update budget and email to board for concurrence. Budget will be included in newsletter. 6. Parks and Recreation update was provided by Jason. Due to rain and snow, further maintenance on the tennis court fence has been suspended. Once the weather improves, Jason will continue with minor fence repairs and modifications. Tennis rules sign will be installed. The Board will sponsor a Spring clean up day and at that time volunteers will be necessary for border installation and mulch spreading. 7. Common Grounds: Jason also walked the common areas on January 10. With ground frozen, Jason plans to have the maintenance person clear the common ground of dead brush with his mower. Jason noticed some dumping in the tree line area between Monterey Estates and Meadow Hall. 8. ACC Issues: Two items a. Last attempt will be made to contact homeowner regarding violation and with finds exceeding $900 prior to turning issue over to lawyer for lien placement on residence. b. Homeowner at 13030 Monterey Estates has placed a 12” height, by 10 ft long fence along the property line. Board will request that homeowner removed said fence 9. Adjournment/Next Meeting: A motion was made and approved to adjourn the meeting at 8:56 p.m. The next meeting will be held on February (3rd or 10th) at xxxxx house.
