Job Purpose
Line Management
 Line manage Data Assistant
Manage the school’s MIS system (Capita SIMS)
 Manage system access and security
 Manage electronic transfer of MIS data between schools, LA and
DfE
 Oversee the links with other systems – such as Schoolcomms,
cashless catering, Openhive, ParentPay, building management,
etc.
 Oversee data integrity with all linked systems.
Data Protection
 Monitor school’s compliance with the Data Protection Act and
Sharing of Information
Statutory Returns and Data Provision
 Submission of statutory returns from the MIS including censuses, P16
funding, LA Updates, other DfE returns
 Extract data from SIMS as required using SIMS reporting functions.
School Admissions
 Act as Admissions Manager for the Academy
 Maintain and update school admissions criteria as required by the
Principal and Governors in accordance with the School Admissions
Code 2012
 Manage the process of Year 6 into Year 7 admissions from Open
Evening to admission date, including ranking of applications,
adherence to criteria, bulk import and validation of data from the
LA
 Manage the In-Year Admissions Process
 School representative at admission appeals
Post 16
 Creation of database for Post 16 recruitment/subject choices and
production of related statistics.
 Validation and amendment of student choices to regulate group
sizing and fit timetable.
 Provision of data to SLT
 Processing of Post 16 enrolment
Year 8 Pathways
 Set up and maintain a database of Year 8 pathways choices
 Validation and amendment of student choices to regulate group
sizing
 Provision of data to SLT
Academic Management
 Manage half-termly pathways promotion and group changes
 Provision of student timetables
 Monitoring of class sizes etc.
 Supervision of groupings for new academic year
 Personalisation of timetables

Subject rotations
Assessment
 Oversee production of student half-termly reports
 Maintenance of half-termly Teacher Data Sheets
 Half-termly Target Setting Labels for English and Maths
Timetabling
 Work with ALT to maintain school timetable through the year
 New school timetable – rooming input, standardisation of class
names, alternative curriculum, assign class levels, etc.
Course Manager
 Maintain links between Timetable, course manager and student
curriculum
MIS YEAR End / New Academic Year
 Set up Academic Calendar and Pastoral Organisation
 Set up Attendance Mapping, Codes and Lesson Monitor Schedule
 Transfer/set up of curriculum for new academic year
 Year 11 and Post 16 leavers
 Academic year promotion
 System validation
 Timetable printing
 Housekeeping
Training
 Provision of training for new staff on use of the school administration
network and MIS systems.
 Other training as required.
Staff Planner and handbook
 Maintenance of various documents (e.g. staff listings, academic
calendar, teams, etc.) for inclusion in staff handbook.
 Annual creation of a staff planner as directed by the Vice Principal
Communication with parents
 Management of Schoolcomms and communication with parents
 Website administration of Admissions area
Data and Record Retention
 Archiving and retention of student, staff and finance records.
 Management of Archive Server
 Archiving of medical books, visitor books, etc. as required
Critical Closure
 Fulfil tasks as required as part of the school critical closure plan.
General
 Be aware of and comply with policies and procedures relating to child
protection, and confidentiality, reporting all concerns to an appropriate
person
 Contribute to the overall ethos/work/aims of the Academy
 Appreciate and support the role of other professionals
 Attend relevant meetings as required
 Treat all user of the Academy with courtesy and consideration
