1. Objective
To Edit in less than 5 mn some beneficiary cards from an Excel database of beneficiaries

2. Get the Software
It is a little programme that will insert a button in Word.
It is called “Avery Wizard” and the exe file is attached to this file normally (French version
v3.1 which is ok for windows from 98 to vista and for Microsoft Office 1997 or more recent)

3. Install the software
Click on the exe file and follow procedure; nothing special.
4. How to use it
1. Build your beneficiary database in excel:
You can have as many column as you need and as many line as you need.
Just 2 rules:
A. Use the first line of your sheet for the title of your column (ex: name)
B. Have a clean excel sheet dedicated to this list (only 1 table, no graph, no other table, no
sum or average at the end of the table.
EXAMPLES:
NOT GOOD:
WHY ? line nb 18 is a line with “total nb of beneficiaries”
NOT GOOD
WHY?: the first yellow lines are used for a title and not for the name of the column
GOOD:
2. Save isdfsdfs
Save your xls file (ex:”benef.xls”)
Close Excel and open Word
3. Use Avery in Word
Installing Avery software will automatically include a small red-pyramid-like icone in Word :
Click on it, it will guide you to draw your labels
Click on Next / suivant:
Select the format you find most adapted; select page orientation (top right corner)
Click Next/suivant
Select Nb 3 to find the data from your “benef.xls” excel file you just saved
Click on “parcourir” or “find” to look for your benef.xls database in your computer
(note you can also use Access database if you have)
Select the sheet where your clean data is.
Avery is now showing you a window, which represents the template for your beneficiary
card.
THE LEFT PART:
It is exactly like a word window, you can type words/frames/tables/drawings/pictures even
graphs.
Tips : for inserting pictures, click on insert clipart.
THE RIGHT PART:
Is showing you the title of each column of your beneficiary database.
EX:
Click on next and terminate
Finished !
Save your file in .doc format and give to printer or print it directly
4. TIPS

Select well the type of labels you need (will determine size of your label and Nb of
label per page)
It seems better to copy paste your database on a clean excel sheet to make your
labels and save this database and keep it so you can find easily (in excel) what has
been printed exactly
If you have huge database, you may want to separate by region / distribution
sites…then it is better to have one excel sheet for one region for one word file
with your printed labels
Don’t forget the order of your table depends totally on the order in the excel file.
