JOB DETAIL Job Title: 0-19 Team - Administrative Assistant for Immunisation Programme Reports to: SCPHN School Nurse in Locality Accountable to: Service Manager for Immunisations Directorate: Band: 0-19 Service 2 Location: Kettering / Corby Locality, Wellingborough /East Northants Locality, Northampton 1 Locality, Northampton 2 Locality, Daventry/ South Northants Locality 2. JOB PURPOSE To support the 0-19 team in delivering the immunisation service to children, young people and families, in the community. To work in a collaborative manner with the 0-19 team and other health care staff/agencies as appropriate. 3. RESPONSIBILITIES To work as part of a team carrying out administrative support, data input and reporting activities in line with the 0-19 team objectives specifically in relation to Immunisation objectives. To facilitate access for families and other agencies to the 0-19 team in relation to immunisations. Facilitation of audit and data collation as required. General office duties to include answering phones, email, photocopying, excel spread-sheets, post, booking appointments in the appointment ledger in Systm 1( electronic record system ), sending appointments, liaising with schools about dates for immunisation delivery. Order stationary, leaflets and equipment Relay information regarding equipment, upgrading and calibrating. To ensure that all tasks associated and required with System1 are completed as required for the 0-19 teams. Attend meetings, take and distribute minutes to team. Informing Child Health Services of changes in information Compile resources as required To complete mandatory training, and update the team`s training spread-sheets. Identifies barriers to communication where English is not the first language for the client Identifies physical/mental disabilities, which may present a barrier to communication Participate in personal development and appraisals. Work within Trust specific guidelines, standards and procedures relating to 0-19 team in relation to Immunisations, as appropriate. Be aware and conversant with current legislation with regard to Health and Safety at work Ensure that confidentiality is maintained at all times, and good understanding of the Information Governance policy. Any other responsibilities deemed appropriate. ESSENTIAL KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRED 4. RSA II, NVQ 2 (or RSA III, NVQ 3 or equivalent level of knowledge or competency ) Experience in an administrative position, knowledge of a range of office procedures and software programmes, including Excel. Experience of working with a range of people inside and outside of the organisation Effective communications skills will be required to deal with routine information and enquiries Must be able to work within agreed office parameters Proven team worker Flexible, enthusiastic and committed. Able and willing to travel between venues. DESIRABLE KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRED 5. Experience in the NHS. Experience of System1 EFFORT AND ENVIRONMENT Occasional travel may be necessary between venues. Requirement to carry laptop computer and/or projection equipment (approx 3kg) to meetings for presentation purposes may be necessary. Ability to switch tasks as a result of a number of strands of work as a result of interruptions and /or arising situations requiring urgent attention. Occasional periods of concentration when analysing information, taking minutes, writing reports and managing own workload with many competing priorities. Ability to demonstrate initiative. 6.
