CYA Executive Directors Report July/August 2013 Each month, the CYA Executive Director will provide the CYA Board of Directors with a monthly report. The purpose of the report is to provide highlights of operational events that take place on a daily basis over the course of the preceding month. These events include, but are not limited to, daily operational function updates, fundraising updates, CYA Program news, Fairfax County Government news, Fairfax Public School news and all other events that directly impact CYA and our activities within the community. Page 1 of 5 CYA Executive Directors Report July/August 2013 CYA Daily Operations CYA “Play it Safe”! To follow up on the information provided last month about the registration system, the “Background Check” system has been implemented on the Demosphere registration system. Until a volunteer coach is approved via the SSCI Background Check System, he/she is unable to be assigned to a team via the AGC program. The CYA Risk Management Policy is now complete. In order for anyone to coach in CYA, they must apply via the volunteer application. CYA Concussion/Injury Awareness Initiative The CYA Injury Awareness Seminar Series continued with a lecture on Heat Related Medical Concerns on Thursday, June 27th, 2013 at the CYA Office. Dr. Keith Lawhorn (Commonwealth Orthopeadics) and Andy Prishack (Select Physical Therapy) led the discussion which focused on the recognition of heat related illness and what immediate steps coaches can take to ensure that the athlete receives necessary care. Dr. Lawhorn provided a single page document on this topic that is posted on the CYA Website. Action: All CYA Administrators MUST enforce attendance by the coaches in each sport to all CYA Sponsored Injury Awareness Seminars. Chantilly Youth Association, Inc 1 Page 2 of 5 Athletic Trainer “Pilot” Program Initiative Andy Prishack with Select Physical Therapy has offered to assign an Athletic Trainer to a couple of fields this fall as a pilot program to gauge the necessity in light of heightened concussion awareness among parents & players. The program would include 2 fields (proposed to be Greenbrier for Football and Poplar Tree or WHS for Soccer). The assigned Athletic Trainer would spend approximately 6 hours on the field and to attend to injured athletes. The AT would also be available to answer questions from parents in the event an injury occurs. The Pilot Program rate is $25 per hour per trainer. Action: Suggested Motion – “move to support the Athletic Trainer initiative on CYA Fields by sharing the cost with the individual sport (Football and Soccer) not to exceed $1500 in total between the two sports. The Former EDS Field Complex is Buzzing with activity Construction has begun on what will ultimately become a new housing/shopping development on the former grounds of what we in CYA called “The EDS Fields”. Two rectangular Artificial Turf fields and 2 Baseball Diamonds are part of this development and we anticipate being able to use these facilities in the Fall of 2014. CYA Renews Commitment to FCPS Fields Working closely with FCPS, CYA has re-established our “Friends of the Field” agreements with several school sites including Carson Middle School, Franklin Middle School, Oak Hill Elementary School, Poplar Tree Elementary School and Rocky Run Middle School. Our new FOF Agreement continues through June 2015 and includes both Rectangular and Diamond fields at all of the mentioned sites. Chantilly High School has a new DSA Director of Student Activities (DSA) Terry Brown has retired and Corey Bowerman is the new CHS DSA. Corey comes to us from Langley High School and has a daughter who plays in the CYA Softball Program. Sport Webmasters & Risk Management Directors All CYA Sports have submitted Webmasters and Risk Management Directors to sit on these newly assembled committee’s as per the CYA Board mandate. These committee’s will take shape over the coming months and work to improve the dissemination of information with regard to the various sport websites and to focus more effort on keeping our kids safe as per the CYA “Play it Safe” Risk Management Policy. Chantilly Youth Association, Inc 2 Page 3 of 5 Fall Sports Registration Update All CYA Fall Sports have entered their final push to attract registrants. All stops are being pulled out in marketing our sports including signs around town, the CYA Buzz, Broadcast email from CYA, Coordinator emails and even Age Group Coordinator requests. In all, we are approximately 7% down as compared to the final registration numbers from fall 2012. A final Fall Tally will be provided in the September ED Report. CYA “Communication” Effort – CYA Weekly Buzz The CYA Weekly Buzz continues to be a strong communication piece for the CYA Membership. The Buzz highlights all types of CYA Events, Community Events and Athlete Interest Stories. We have come to realize what a powerful tool the Buzz is with regard to moving information throughout our community quickly and effectively. Most importantly, the theme is fun and it’s easy to read! Previous issues of the Buzz are maintained on the CYA Facebook Page (Accessed via the CYA Homepage). Action: We hope all Sports Coordinators will steer their participants to the Buzz via our registration page on the CYA Website. We also request that Coordinators continue to send in articles that can be used to highlight athletic achievements within their sport along with other important topics. CYA in the Community CYA Mourns the Loss of Bennett Rill In June 2013, Bennett Rill, a 14 year old rising Oakton Freshman was killed in a tragic accident at Fox Mill Elementary School. Bennett participated in CYA Sports (Soccer, Basketball and Football) since he was 5 and his family was devoted to volunteering in CYA and the community. Several hundred people attended Bennett’s service at Floris Methodist Church and that singular event has inspired Mary Kasputis, one of Bennett’s neighbor’s and close friends, to initiate the concept of creating the Bennett Rill “Real Deal” Award. Mary and her family had wristbands printed with the slogan R.I.P Bennett Rill – Never Forgotten on them. Cassel’s has offered to allow us to hold the wristbands at their store and folks can pick one up when purchasing uniforms/gear. A donation is requested and all money collected will serve as seed money for this award. Details are being deliberated. The tragedy in losing Bennett can never be over stated yet to see the outpouring of support for the Rill family in a most dire scenario was uplifting and confirms the overall impact CYA has on this community. Chantilly Youth Association, Inc 3 Page 4 of 5 18 Holes for Nicole Fred Matthes, the former DC United Ticket Sales Director and CYA Soccer Coach has asked for our help in promoting the annual golf tournament in memory of Nicole Megaloudis. Nicole was the step daughter of DC United Coach Thomas Rongen and was killed in a car accident while returning home from VCU in 2004. Nicole’s mother Gail established a foundation in Nicole’s name that provides college scholarship money to kids in need of assistance. To date, the Nicole Megaloudis Foundation has provided over $150,000 in financial assistance. CYA is proudly supporting this effort. Details can be found on their website: www.remembernicole.org. Their facebook page has a list of silent auction items – all proceeds will go to the foundation. CYA Fundraising CYA Community Partner Program The Community Partnership program is expanding and gaining notoriety via the CYA Buzz. CYA Community Partners are businesses that donate money back to CYA in return for marketing them on the CYA Buzz. All of the businesses pay $50 per month to our CPP Coordinator, MyClipit.com, to have their company listed on the CYA “Myclipit” page. This page features all of the companies who support us with donations. In addition, we include their business logo on the CYA Buzz every week. This is truly a win/win for CYA and the Business Community and we ask that all sports support this effort. While we are always excited to promote new Community Partners, we couldn’t be more pleased with the addition of Buffalo Wing Factory (BWF) to our growing list of partners. The BWF in Greenbrier is home to many of our members currently regarding special events, coaches meetings, team gatherings and their now infamous “All you can eat Wing Night every Thursday!” The BWF has made a long term commitment to CYA and we are excited to promote them to our membership. In addition to the Buffalo Wing Factory, we have added Tart Lumber and Sunny Smiles Pediatric and Family Dentistry. Action Item: We encourage all members to find our Community Partners at www.myclipit.com/cya. All businesses listed on that site provide a donation back to CYA based on coupon redemption. Chantilly Youth Association, Inc 4 Page 5 of 5 CYA 1st Annual Golf Classic Recap + 2nd Annual Preparation! Preparation has begun for the 2nd Annual CYA Golf Classic which will take place on Friday, April 25th at the Pleasant Valley Golf Club in Chantilly. Several modifications have been made to make this event a financial success such as the establishment of a Golf Committee, a jump on marketing, the involvement of more CYA Community Partners, etc… The cost to CYA for the 1st Annual Event was approximately $5,000 and we anticipate a much greater financial opportunity for the 2014 event. Modell’s CYA Team Month The Modell’s Team month continues through the Labor Day Weekend. During this shopping period, Modell’s will donate 5% of the total CYA Purchases back to CYA. This program has produced thousands of dollars for CYA over the past several years and we will continue to market the program on the CYA Buzz and through Broadcast Emails to the Membership.
