Pi Kappa Alpha Recruitment Scholarship Program Updated April 2016 RECRUITMENT SCHOLARSHIP PROGRAM OUTLINE A scholarship program allows you to: Target the top incoming freshmen instead of hoping you run into them Gain useful information on recruits (grades, athletic and leadership experience, etc.) Build your green book and gain interest from potential recruits regardless of campus recruitment restrictions Expand your brand on campus The scholarship can be a simple “book scholarship” and should not be defined as payment for joining PIKE. The value can be as little or as much as your chapter can afford and your chapter can give out multiple awards if possible. The point is not to pay somebody who would already be joining, but rather to meet the best incoming students at your University and show them how choosing to join PIKE will provide for the best college experience. 1. Obtain E-mail Addresses Many schools offer a list of incoming freshman and their e-mail addresses. Contact your Student Activities office to obtain a copy. Tell them you are offering a scholarship to incoming freshman. Alternative sources could be the Greek Life office or the admissions office. 2. Create online application using Google Forms. To maximize applications received, it is critical that the application is online and brief. This will also save money that would have been spent on postage and printing. A Google form is a free and easy way to create online forms using a Gmail account and Google Docs. Send out e-mail to all incoming freshmen or eligible students with link to applications. The email should include: Intro, welcome, and congratulations on choosing your university Explain the scholarship characteristics you’re looking for Include joining PIKE isn’t a requisite Give deadline for completion and how they’ll be contacted if selected for an interview Sample email on following page The above is intended to provide the chapter with general information and suggestions for improvement. It is not a directive and is not intended to direct the chapter in any manner. A chapter is not required to use or implement this information or suggestions. The decision on whether or how to use this information is solely that of the chapter. 1 Incoming Cavalier, The brothers of Pi Kappa Alpha would like to congratulate you on your acceptance to the University of Virginia. As a result of your enrollment, you are an eligible candidate for the PIKE Freshman Achievement Scholarships. The PIKE Freshman Achievement Scholarships are non-renewable awards ranging in value from $100 to $400, available to incoming freshman males. Omega Omega Chapter of the PIKE Fraternity will award the scholarships to individuals on the basis of excellence in scholarship, leadership, and athletic achievement. The online application must be submitted by Sunday, July 17, 2016 for consideration. Finalists for the awards will be contacted by August 1, 2016 in order to set up an interview. You do not have to join PIKE to receive a Scholarship. The online application for the scholarships can be found here. If you'd like to learn more about PIKE at UVA, you can visit us at www.pikes.org. Please contact Robertson Howard at 901-748-1868 or [email protected] with any questions. Respectfully, Robertson Howard The Pi Kappa Alpha Fraternity Omega Omega Chapter University of Virginia www.pikes.org 901-748-1868 [email protected] 4. Send out reminder e-mails. Send a reminder about a week before the deadline. You may want to extend the deadline to receive as many applications as possible. 5. Select finalists and schedule interviews. Once you’ve received the applications, go through and pick out those who you would like to interview based on their information. Call them at the number they provided and schedule the interview. You can also add all these candidates to your green book. 6. Notify those who are not selected for an interview. Send an e-mail to those who were not selected saying: thank you for your application, the field was very competitive and you were not selected for an interview, and best of luck at (your university). 7. Conduct interviews. The format to follow is very similar to the recruitment interview The interviews can take place during the summer (location-permitting), at their on-campus orientation, or on campus once they arrive for classes It should consist of 2-3 brothers and should be conversational in nature Each of the brothers should be wearing a coat and tie Select a clean, quiet, and professional setting – likely the chapter house or a meeting room on campus Your goal is not to sell them on joining PIKE, but rather to learn more about them and tell them a bit about the benefits of Greek Life and PIKE. If you do a good job at this, they will leave the interview very interested in PIKE The above is intended to provide the chapter with general information and suggestions for improvement. The decision on whether or how to use this information is solely that of the chapter. 2 Be sure to stress that they do not need to join to receive the scholarship, especially if your campus forbids recruitment before the designated “Rush Week”. How to execute the interview: 1. Welcome the finalist. Introduce yourselves and briefly describe what you’re going to cover in the interview. 2. Give a brief description of the scholarship (amount, basis for choosing a winner, etc.). 3. Give an overview of PIKE. Start with highlight statistics of the Fraternity including your chapter. Explain that our goal is to foster academics and leadership and to provide opportunities for undergraduates to excel in all areas of college and post-graduate life. 4. Personal information/in-depth introductions. Ask the finalist about himself first then move onto yourself. (Tell them about yourselves, majors, years, interests, roles in PIKE, etc.) 5. Ask basic interview questions. Conversation should be relaxed at this point and the finalist should be made to feel comfortable. What were you involved in during high school? What were your successes and regrets in high school? How did you decide to attend this college? What do you want to get out of your college experience? What do you hope to get involved in during college? If you could join a perfect student organization, what would it be like? 6. Ask more advanced questions. Do you see yourself as a leader or a follower? Where do you see yourself in ten years? What qualities do you look for in the people you associate with? What do you want to improve about yourself? Why should you be a winner of the PIKE Freshman Achievement Scholarship? 7. Ask if the finalist has any questions. 8. Finish. Give the finalist a date he can expect to hear from the chapter and give him a contact number. If you want to recruit him, include an invitation to any events you may have planned. Lastly, make sure the interviewees leave with some sort of handout. A good option is the recruitment brochure (available on www.ThePIKEStore.com this summer). Once the interview is complete, make notes of the conversations you had. Follow with the evaluation form. 9. Select finalists. Once you have completed the interviews, select the finalists. These should be guys that you would definitely want to recruit, and you should note this in your green book. Host finalist meet and greet. The purpose of the meet and greet is to introduce the scholarship finalists to as many brothers as possible. There should be food and it can be beneficial to invite the parents of the finalists as well so they can learn a little more about the fraternity and its members. Give a short presentation on the benefits of Greek Life, particularly PIKE, to all the attendees and allow the finalists and their parents to ask questions. 11. Recruit finalists. Finally, the finalists should be added to your chapter’s green book and you should recruit them like any other recruit (introduce them to brothers, hang out with them consistently, etc.), all the while emphasizing that the scholarship will not be awarded based on their decision to join or not. 12. Select and Award winners You and your committee should select the winner(s) of the scholarship based on excellence as a scholar, leader, athlete, and gentlemen. This is an easy way to score the applicants and emphasizes the characteristics we seek in our recruits.
