Job Description: Admissions Project Leader (Temporary) until 6th July 2017 This job description had been written in the context that this person will be undertaking the role for the entire length of the contract, however this will depend on the health of our two current Admissions Registrars and the amount of work they can undertake whilst recovering from health issues. This role will be required to work alongside our current Admissions Registrars as and when required. Responsible to: External Relations and Engagement Manager (Temporarily) and will work in liaison with the Principal and Vice Principals of The Marist. Main purpose of the job role: To manage the key elements of the admissions process Admissions Cover – overseeing the complete admissions process and all related admissions activities. The overarching goal is to sustain the School Roll to the required capacity and academic quality. There is a Project Requirement to this role. Key elements to the Admissions function The individual will be responsible for overseeing the complete admissions process from initial enquiry to the pupil joining The Marist during the project duration. This includes maintaining relevant records and statistics and generating all correspondence on all enquiries, prospectus requests, registrations and applications; meeting prospective parents and their child/children to discuss matters pertaining to their admission and keeping appropriate records and advising / liaising the appropriate staff. The individual will actively assist the school in all activities to achieve pupil intake at Early Years, Year 3, 7 and 12. They will also ensure that parents with pupils looking to enter at other years are supported, encouraged and enabled to do so with ease and confidence. Admissions Events Undertake the detailed organisation, preparation, timetabling, execution and follow up correspondence for the following (non-exhaustive list of) admissions events: Individual weekday visits by prospective parents and students including parental meetings with the Principal. Visits will include tours of the School for which suitable guides need to be nominated. Assessment Days, arrangements for prospective pupils, international organisation (where necessary), liaising with other staff regarding provision of entrance papers, liaison with relevant teaching staff to ensure efficient marking of papers and liaison with Feeder Schools to ensure feedback is provided on all prospective pupils. Taster days Open evenings / Open mornings Small Group meetings Sixth form evenings Be in attendance at all events Speak as required on the admissions process at Open Evenings, Open Mornings or other appropriate marketing events; Organise the production of pupil guides, parent information or documents as required Plan and attend recruitment fairs and What School Now Events School Roll, Admissions Records, Statistics and Reports To monitor current and future school roll numbers, keeping the Executive informed each week regarding the status of application numbers, visits and enquiries To record prospective pupils and parent details onto all school systems Last Updated: January 2017 – Temo Admissions Role) The Registrar will liaise with key staff regarding the suitability of candidates for entry into the School based upon their performance during the admissions process. The Registrar should ensure that all admissions records and statistics are accurate and up to date The Registrar will advise the Bursar regarding the payment of registration fees and deposits and advise on billing arrangements To provide an Admissions Narrative Report covering progress in meeting recruitment and retention targets and the outcome of and feedback from Admissions and Marketing Events. In addition, to provide updated Admissions statistical information as required by the Executive in the standard report format. To maintain the School’s Admissions database and ensure that it is up to date, ensuring that all enquiries/records of prospective pupils and registrations are entered accurately onto the database. To maintain up to date leavers information for the information of the Executive Project based requirement Reviewing our current process and practice with a view to what would need to change as a result of moving to one school and having one process. Review the work undertaken by RS Admissions on our current processes and practices as two separate admissions functions. Assess what can be amalgamated and what will need to remain within certain areas of the school. Review the time taken for the various admissions tasks and assess the staffing requirements going forward with how that could be managed with a split location.
