The event organiser will have a team of stewards *(as detailed in the risk assessment) who are on hand to ensure the
students have a good night, and are safe. You need at least one steward at this event

Basic roles of the stewards (in line with risk assessment)

Will act as leader in case of emergencies, and to control people who may be acting irresponsibly
Please ensure the stewards follow these expectations whilst in the role. It is the responsibility of the event organiser is

Top tips for promoting your event

Give away some free tickets as prizes for things like raffles, picture contests etc.

Offer discounts for early bird tickets, once people know other people are going it is much easier to sell tickets

Make it look professional – get your event promo designed well and people will be more interested

Start promoting it in enough time so that people haven’t already made plans, but not too far in advance that
people forget about it. *Hint* Big event (or selling tickets) - 4 weeks... small event – 2 weeks

Provide food and drinks so that people can not worry about cooking beforehand/after

Try create a ‘hype’ to an event to get people talking about it – be mysterious or unique in your methods

Show them the benefits of the event… especially if it has a positive impact on the community

But overall – be clear with your promotion. Tell people exactly what to expect… where and when the event is,
how to get there and what they will get from attending etc.
