Job Description Learning and Development Administrator Commencing 20th July 2015 Department: Salary Scale: Accountable to: Place of Work: Learning and Development Team Points 18- 21 Learning and Development Manager Head Office in Glasgow Summary of Service: The Learning and Development Team provides an L&D service to all employees of Sense Scotland to help us all fulfil the aims of the organisation and apply our shared values. This includes: Advocacy of, and information and advice on, learning and development. Curation of a wide range of relevant learning resources, courses, qualifications and other solutions. Analysis of individual, team and organisational learning needs. Planning, design and development of learning interventions. Support to the organisation to deliver learning solutions, direct delivery of solutions, and commissioning of solutions from other parties. Support to enable mandatory and regulatory training compliance. Supporting service users’ communication needs. Evaluation of the impact of learning and development. L&D administration and reporting, including maintaining approved centre status for SQA and ASDAN. Practice support and advice to colleagues, service users and their families. Leadership and management development. 1|Page Job Purpose A key function of this role is to provide administrative support to ensure smooth delivery of induction, practice training and professional development opportunities for all Sense Scotland employees. These processes involve liaison with managers, facilitators and delegates in planning events; arranging venues, equipment and course materials and maintaining accurate records. The Learning and Development administrator will often be the first point of contact for Sense Scotland employees and as such will be responsible for providing a high quality front line service; ensuring that an efficient and effective reception service is provided to all employees, service users and external agencies contacting our department. An important part of this role will be to help develop our e- learning capabilities. Overall Post Objectives To provide effective administrative support to the Learning and Development Team, ensuring effective, professional customer service provision in relation to all L&D activities. Key Responsibilities: Be responsible for the day-to-day management of an effective and efficient administrative system ensuring high professional standards are met To support the Learning and Development Team to develop our e- learning capabilities Maintain clear and efficient administrative procedures in accordance with Sense Scotland policies To maintain the training database in line with the requirements of Leadership Team, HR and the Learning and Development Manager To assist with the smooth running of the Sense Scotland training programme To make administrative and domestic arrangements for all training events and meetings To assist the Training Coordinator with reports on the uptake and quality of Sense Scotland training for the Leadership team as agreed with the Learning and Development manager To ensure the management of confidential information in line with the Data Protection Act General responsibilities To maintain a system for ordering and the maintenance of stationery stock following Sense Scotland guidance approved Carry out general office duties, including typing, filing, photocopying, minute taking, recordkeeping, telephone answering, keeping the office diary and mail duties To maintain quality standards for all administrative functions and, with the support of the Training Coordinator, regularly monitor quality To provide administrative support at meetings, seminars, conferences and other events as requested and to report and feedback To maintain an up-to-date contact list for all facilitators 2|Page To take responsibility for your own professional development and in ensuring that any identified targets for professional/personal development are met. It is essential that the Learning and Development Administrator will: Have administrative skills and administrative qualification or equivalent Be computer literate with a working knowledge of Microsoft Office packages, particularly Word and Excel at intermediate or advanced level Have an understanding of e-learning systems Have an effective telephone manner Have a welcoming/friendly approach Demonstrate good communication skills Have the ability to manage own workload Be able to work as part of a team and also able to use own initiative Respect confidentiality in line with the Data Protection Act It is desirable, but not essential that the Learning and Development Administrator will: Have experience of working in the voluntary sector Have an awareness of disability issues Holidays: 24 days annual leave, plus 12 public holidays (pro-rata for part time) Probationary Period: 12 months 3|Page Learning and Development Administrator: Person Profile Salary point 18- 21 Education/qualifications Essential Post school qualification such as a qualification in administration or equivalent Experience and understanding Be computer literate with a working knowledge of Microsoft Office packages, particularly Word and Excel at intermediate or advanced level Skills and Abilities Be able to demonstrate effective communication skills.
