EMSA Soccer Portal Player Registration Scenario 1: Standard Community & Age Division Registration (v1.0) Last Updated: July 15, 2015 1. Register a Person After all family members have been added to the account, the account holder is ready to begin player registration. Select a season, choose a person, choose a role, then click Next. Seasons: In most cases, there will only be 1 season available to register for, however the portal will allow for concurrent seasons. Persons: The account holder can register anybody under their account for various roles. Each registration has a step by step form to simplify the process. Roles: You can choose to register as a Player or Team Official. Volunteers are added during the player registration form. Page 1 of 12 2. Register a Player (Step 1: Season/Requests) The first step captures general information about the player and their requests. A. Season B. How many seasons have you played? C. Requests Note D. Request to play keeper E. Request to play with or be coached by. F. Community League Membership # The season dropdown will already be pre-selected for the user. This is a required field used to help team directors gauge skill levels to help form teams. This notification message informs the user that requests are not guaranteed and may not solicit a response. Allows the player to request to play the keeper position. This request is not guaranteed. This field is optional. Allows the player to request to play with a particular team or person. Also you can request to play be coached by a particular individual. This field is optional. This field is configurable by the zone or community. For Spruce Grove, this field will not appear at all. For South West, this field is required. For other zones, it may be an optional field. Page 2 of 12 3. Register a Player (Step 2: Find Your Division) This is the most important screen for player registration. Each zone/community will have different configuration settings which determines which communities and age divisions the player can play in. In this example, the player is requesting to player in their recommended community and age category. Page 3 of 12 G. Community H. Age Category By default, the community the player lives in will be preselected for the player and be shown as “recommended”. Requesting to play in a non-recommended community may require approval by the zone/community. In this example, no approval is required to play in the community the player lives in. By default, the appropriate age category will be pre-selected for the player and be shown as “recommended”. A player cannot request to play down an age category. If a player has a medical disability and needs to play in a lower division, then they will have to contact their zone/community to submit a special request. I. Competitive Play J. Division Players can request to play up one age category, however each zone will handle that request differently. In this example, no approval is required to play in the recommended age category. Checking this box will adjust the divisions to show only premier/club divisions. A zone specific message will be displayed to inform users about when tryouts are available. Based on the criteria above, the available divisions will be displayed for the player to select. In very rare cases, there will be no divisions available. For example, a U18 premier club for girls may not be offered and the user will have to adjust their criteria to select a division. Page 4 of 12 4. Register a Player (Step 3: Emergency Information) This step captures information that deal with emergency situations. Page 5 of 12 K. Emergency Contact #1: L. Emergency Contact #2: M. Medical Conditions/Information: N. Additional Information: At least one emergency contact is required. There is a note at the top to highlight that emergency contacts should not be the account holder, because we already have that information. Another parent or guardian is recommended. This field is same as above, but optional. This information is optional and meant to capture any voluntary medical information that the coach should be aware of. For example, asthma or allergy information. Additional Information can include any information that the coach should be aware of such as parental conflicts, restraining orders, language challenges, personal issues etc. Examples and recommendations are not provided in order to avoid capturing unnecessary FOIP information. Register a Player (Step 4: Volunteers/Fees & Deposits) Volunteers and fees are contained in this step together because some zones/communities may have volunteer requirements that can affect fees. O. Volunteer Information The user can select a person on their account as a volunteer or add a new volunteer. Each zone may specify the number of volunteers required. In this example, EMSA South West requires 1 volunteer per family. P. Volunteer Role Name and Phone are required. The account holder must specify which role the volunteer will be volunteering for. These roles are configurable by the zone/community. Page 7 of 12 Q. Fee Instructions Due to online payment not available in the Soccer Portal, instructions for how to make registration must be provided. R. Fees This instruction statement is configurable in the Seasonal Configurations section (available to Admins) and can be set at the Zone or Community level. Register a Player (Step 5: Other) T. Other After most information has been entered by this point, this step gives the account holder a final chance to communicate information that hasn’t been asked in the registration. Examples could include anything relating to schedules, team formation, player positions, etc. This field is optional. Page 9 of 12 7. Register a Player (Step 6: Terms & Conditions) This step will display the list of waivers. The account holder must agree to the waivers in order to complete the registration. Each zone/community can have their any number of waivers. U. Waiver Text V. Agreement Checkbox All of the text of the waiver can be read within a scrollable frame. The checkbox for the waiver cannot be checked until the user has scrolled through the waiver box. Page 10 of 12 W. Signee Information To confirm acknowledgement of the waiver, the Signee must enter in their personal information. For minors: Full name, mailing address, name of youth, age of youth, relationship, and city is required. 8. Clicking the Submit Registration button will complete the registration and display the summary page. 9. Register a Player (Summary) The user has submitted their player registration form request and they can print out a summary of the information entered. The user may want to register another player, so they can click the Yes button to start another registration for another person. An email is sent to the user with the summary information or they can print this page and bring it to a zone/community office to submit payment.
