Introduction The purpose of this document is to outline and capture the key decisions and iterations completed as part of the project. This document describes each iteration to be covered as part of the configuration phase detailing the following components Module Overview Key Topics Key Decisions made Hot Spots / Actions The iteration design document includes decisions made during the iteration and configuration review sessions, however it does not serve as a complete listing of configuration settings within PageUp People. To contribute to the iteration design document, the Manpower Project Manager will collate documentation surrounding the processes related to the iteration, including steps and roles within the organisation. Manpower have opted not to create a data integration point with PageUp People, which may require an initial load of Manpower HR data to support the PageUp People system. PageUp People will assist with the definition of this information to enable the Manpower Project Manager to make these decisions and collect the appropriate documentation. This document supplements the PageUp People Statement of Work for Manpower. Each iteration and content will be agreed as part of the Weekly Project Status Update meeting, including location, duration, and attendees. 1.1. Configuration Responsibility PageUp People’s implementation approach is to equip the Client to operate and adapt their system in line with changes to their business and operating environment. During the implementation, PageUp People will train the Client to configure the Super User accessed elements of the system in order for the Client to become selfsufficient with the functionality. The Client will then be responsible for configuring all elements of the system to which they have access. Certain components of the configuration must be configured by PageUp People, and these configuration components will be completed in consultation with the Client. Iteration Reviews The following section outlines the iteration reviews that will be completed as part of the implementation for the RMS modules purchased by Manpower. The iteration reviews will be facilitated by the PageUp Implementation Analyst, with client attendees including the Project Manager, and any key stakeholders who would provide input to the final solution. Optional attendance includes the PageUp Project Manager and PageUp Business Owner. Each iteration will focus on a key component of the system where the key objective is to provide an in depth analysis of the ‘To Be’ configuration, and to discuss and agree on the configuration to support the Manpower Recruitment Process. The iteration schedule will be twice a week at a time to be determined between the PageUp Project Manager and Manpower Project Manager. The iteration structure will include a combination of GoTo meetings and face to face engagements, to be determined by the Manpower and PageUp Project Managers. 2.1. Iteration 1 & 2 – Recruitment Management System Overview / Job Card & Offer Card Date – 16th January Location – PageUp Offices Duration – 10:30am – 4:00pm Attendees – Justin Rundle, Rainer Bean, Kelly Populin, Kristen McKendry This iteration will focus on providing an end to end demonstration of the pre-configured system that has been designed by the PageUp Implementation Analyst. The system will incorporate any shared documentation that has been provided prior to Project Initiation and any information shared between the PageUp People Project Manager and Manpower Project Manager. 2.1.1. Job Card Module Overview The Job card, also known as the Position info page or requisition form, is used to store all job related information. The Job card is configured during your system’s implementation to capture the information specifically required by your business to approve and recruit against. 2.1.2. Online Requisition Overview Move your paper-based requisition and approval process online. This module allows your recruitment team to track the number of requisitions in the system, at what point in the approval process they are, and what jobs they are for. Knowing this information can help shorten the recruitment cycle by pre-empting workloads and sending alarms via e-mail if the requisition becomes ‘stuck’ at any step along the way. Tailored approval processes can be created to support business processes. 2.1.3. Offer Module Overview The Offer Module allows capture of details relating to the offer process and the new employee. This module allows management to review and approve all offer details prior to the release to applicant. The offer can be made electronically, and the applicant can review all offer details, accept the offer and provide required information directly into the system. 2.1.4. Recruitment Processes Overview Recruitment processes manage the progression of an application through the system towards their end point. You may decide to only have one recruitment process for all applicants or decide to have a different recruitment process for different level roles (e.g. executive level, graduate level, call centre etc.). A recruitment process is mapped out by a set of application statuses. For each application status, you will need to determine the title, the public status (what the applicant will see if they log-in to the applicant services area), and whether an email template or sms template is required. Recruitment processes: Ensure you are able to move your applicant through the correct application statuses; Ensure the correct automated email communications are sent to the applicants; The correct data is collected for business reporting; and Captures the activity you are performing and allows you to easily track your applicants. 2.2.2. You can also create ‘manual’ communication templates that send standardized communications from within the system. 2.4.2. Booking & Events Module Overview The Booking/Events Module allows all interviews, testing and other event bookings to be managed online. Simply setup timeslots and invite the appropriate applicants to book themselves in at a time convenient to themselves. Allows HR users to invite applicants to interviews, phone screening calls, testing and other event bookings online, significantly reducing the administration time. The user simply set up timeslots and invites the appropriate applicant to book themselves in at a time convenient to themselves. Approved events are then able Page 12 of 16 – PageUp People 13 July 2017 Iteration Design Document to be entered into the recruiters and/or hiring managers Outlook calendar, again acting to streamlining the process. Use this module to easily organise events such as interviews, testing, and assessment centres with multiple applicants. 2.4.3. There are a number of report data views available to base reports on, from these data views you can select which fields you want to include in the report, you can then add filters and or sorting/ grouping to create the report you want.
