Adoption of the Agenda - Motion b and c tabled - Constitutional change from previous meeting (Photography Coordinators) added to agenda 2. Approval of the Minutes 3. Speaker’s Business Jessalynn Tsang, Speaker and Chief Electoral Officer - Thank you to everyone for bringing friends last week - Reminder that the next meeting on the 22nd is the AGM. Please promote that to everyone! - Everyone that comes to the AGM has a vote - We have lots on the agenda for the AGM - There was some confusion last week as to how to add a discussion topic; for clarification it needs to be added to the agenda so the agenda needs to be opened, motioned to be added to the agenda, and then motioned to be closed - Thank you for emailing me about proxies - Please remember to let new people you are transitioning, you need to tell them that their proxy will have a vote. 4. Executive Administrators Business Kate Clarke, Executive Administrator - Transition manuals are due by 6PM on the 22nd to me - You will need to start setting up meetings with your successor - Logistically for AGM all incoming and current members of extended and council are required to be there We will be getting our photo for the year book taken then If you have all the details and dates you need for room bookings please try to let me know at least 2 weeks in 5. President’s Report Abbey Cressman, President - AGM there will be several motions on the agenda and it will be fairly long - Please encourage other Con Ed students to come out - For people who are part of council and extended council March 21st we are having “Council Appreciation” at the Grizzly Grill from 7-10. It is a nice way for us to appreciate all the work you have been doing Katey Day, Presidential Intern - ESS was last weekend - We were really pleased with the turnout - We got lots of really great turnout, about 40 people per workshop - There will be a survey out for more feedback. - There will be info about when people can pick up certificates in the email 6. Vice President’s Report a. Vice President (Internal) Elisabeth Beard, Vice President (Internal) - Starting tomorrow there is a social campaign for BEDDER4U - Every day this week we will be posting a graphic online - If all of you could check the posts, comment, and share them that would be great b. Vice President (External) Gladys Kong, Vice President (External) - It would be really nice to see everyone at the AGM and the Council Appreciation night - The slides from the open Academics Forum are posted on the Facebook event or you can go to the website at goo.gl/b03sXN - We presented about the different courses that will be going on in the second summer option and the differences in the program - QCE is hired and I am excited for that - Faculty board was cancelled this week, however Ben Bolden has been elected as the senator for Education - TELC and TAC will be having meetings soon - Please let me know at least 24 hours in advance if you need the office space, let me know so we can coordinate within council. Please do not send it over Facebook. 7. Treasurer’s Report David Wiercigroch, Treasurer - I have to do a detailed report on budgets at the AGM, so let me know of any outstanding costs 8. Senator’s Report Danyi Wu, Senator - There is a new major in visual arts now - Students can now enter the BFA and have a visual arts teachable - We are looking into what this will mean for current students - There were 18 nominations for the Alumni Excellence Awards meeting, we will be selecting a winner at the next meeting 9. AMS Representatives’ Report Adrian Chan, Dante Mottillo, and Ellise Truong, Representatives to the AMS - The AMS AGM is taking place this Tuesday - Vicky Andrews will be receiving the AMS Staff Award - It would be great if you could come - We are looking at a full transition from Moodle to D2L in the next 18 to 24 months 10. Events Director’s Report Liz Ferrell, Events Director Proxy - Matt Rowland - Nothing to add 11. Marketing and Design Director’s Report Kerri Lee, Marketing and Design Director - Looking forward to March Madness; there are exciting deals each day - There will be lots of Con Ed swag - We want to make a big push for yearbook sales; they will be sold during Prof class 12. Academic Commissioner’s Report Erin Stewart, Academic Affairs Commissioner - In Caucus, this year we decided to do a revaluation of the USAT process - We want something that gets seen by more than just the professors but has no effect on tenure, promotion etc. - We are also looking at having customizable question so that profs can ask personally - It is just in the works so it will be set up for the incoming Caucus - The AMS has entirely full Survey Monkey; so we have full access to it 13. Equity Affairs Commissioner’s Report Jon Reed, and Oshaenlynn Swartz, Equity Affairs Commissioners - This Thursday we are screening “The Mask You Live In” in conjunction with the White Ribbon Campaign - We have a title for our workshop called: “Maps to Manhood Education and Healthy Masculinity in 2015” The workshop will be happening at 3:00 we will update you with a location later 14. Year Representatives’ Report a. First Year Representatives Ban Ahn and Tiana Yung, 1st year Reps - Nothing to add b. Second Year Representatives Jacob Gardhouse and Carma Steenkamp, 2nd year Reps - We raised $144.44 for the How Sweet It Is campaign c. Third Year Representatives Jenna Inglese and Shannon Gamoff, 3rd year Reps - The house crawl went really well d. Fourth Year Representative Taylor MacPherson, 4th year Rep - Planning end of the year events - We are making a formal after party for 4th years 15. QCE Report Morgan Gustas, QCE Chair - We have has a really big week - We had hiring last week - We have our new council which is so exciting, I will be formally introducing them at the AGM - QCE is technically an AMS club so there is a ratification that has to happen soon 16. Head Teach’s Report Morgan McCrimmon, Head Teach - Yesterday we finished up ORT event forms - We are finished up drafting up a form for the Dean of Education - The rest of my team doing really well in their positions - Emilie is looking at making a study session for a number of courses 17. Statements by Members a. Resignation Notice Beard: I would like to formally notify council that Evelyn Bujkeiko has resigned from her position as 4th year representative for personal reasons. Taylor MacPherson will remain in her role as fourth year representative, with additional support from myself. We remain committed to advocating and serving the Con-Ed '15 year for the remainder of the academic year. If you have any questions or concerns regarding this matter, please do not hesitate to contact myself, or Kate Clarke. b. First Round Hiring Results Wiercigroch: I would like to take this time to officially announce our newest council members from our first round hiring. 18. Question Period Truong: When are windbreakers coming in? Beard: Spencer contacted me and said that the American Apparel didn’t have enough of the sizes. They offered to send half of them at once, but I thought it would be easier if they all just came in. I should have them in in the last two weeks of classes. It will be before the end of the year. Chan: What does the embedded program do? Cressman: We have Sarah Horseford who is the embedded councilor. Any Con Ed student is able to make appointments and chat with her. There was a donor gave enough money to have an embedded councilor but we do not know if that person will donate again or if a new donor to keep the council service going. We would like to continue to this councilor service though. We are hoping to get in contact with our respective administrators about this. A lot of advancements from alumni have really helped with this, if we can work with them to allow for more embedded councilors that would help in expanding the council Steenkamp: What will happen with the education outreach award, since Evelyn is chair? Beard: Education Outreach Award has been selected and because this is extenuating, Evelyn will still chair the committee and present the award. Kong: With the USAT’s how would the two tier process have any effect on tenure and stuff? How would it be different than what we have now? Stewart: It is confusing in the sense that no one really wants to deal with USATS. At this point I don’t really know where Collin is going with it. There are a lot of people that feel that there aren’t a lot of ways to change these. We can’t really do anything now since it is the end of the year. I write something on the USATS and it is never looked at again. We want to have a system where someone else can see it, so that someone else knows that a prof is or isn’t doing their job to a student’s standards. We want to make the closed circuit more open, so that there is a push for the Profs to improve or more accountability. Gustas: When does Dr. Elliot’s term officially end and when will we know who is replacing him? Kong: His term ends June 30th and his replacement has yet to be decided. The search for dean started very late. The faculty is working towards that, but we may not have a dean until September, but I will keep you updated. Wiercigroch: If someone wanted to use the Survey Monkey software who would you get in contact with? Stewart: You could email Collin and he can set it up for you. 19. Old Business a. Thnks fr th Mmrs Part A Moved by: Sarah Chin Seconded by: David Wiercigroch That CESA Council amend Article 5.02.05 of the Constitution as outlined in Appendix: Thnks fr th Mmrs A Chin: This is just a constitutional change to change the position of Yearbook Editors to Photography Coordinators. Motion to vote: Motion carries 20. New Business a. Honey, I've shrunk the council! Moved by: Danyi Wu Seconded by: Scott Kell That CESA Council amend Article 3 of the Job Policy Manual as outlined in Honey, I've shrunk the council. Wu: This motion is so that CESA policy aligns with senate policy. In an attempt to make the council smaller and we were taken off. So we now want to make it mandatory that senators go to a preliminary session. Chan: What is the preliminary session? Wu: it is just a session open to the public Gustas: I was wondering if you could reiterate why the voice in the senate was removed. Wu: From what I understand there were 100 people on it and they shrunk it to about 50, since they only meet once a year, in order to make it more effective.
