1.0
INTRODUCTION
1.1
Project Purpose
The VICTOR VALLEY COMMUNITY COLLEGE DISTRICT will be allocated funds for
instructional support needs from the California Community Colleges’ Chancellor’s
office through the 2014 – 2015 Budget Act [SB 852, Ch. 25/14, Item
6970-101-0001(19)]. The District will use this money to hire a company to perform a
needs assessment of current classrooms and labs, provide classroom and lab
furnishing as needed, and administer delivery and set up of said furnishings, providing
the best value to the District.
Services to be provided may include but are not limited to:
1.) Programing
a. Needs analysis meeting.
b. Review project parameters and goals.
c. Perform audit of existing furniture and equipment of VVC campus.
d. Design coordination with VVC staff to determine individual, classroom
and departments and programs needs for furniture and equipment
2.) Site verify measurements and Design Development: Furniture Layout and
Product Application
a. Provide classroom and lab furniture and equipment layouts, maximizing
occupancy while meeting all ADA and Fire Code requirements (Auto
CAD drawings preferred).
b. Create furniture plan.
c. Review with District.
d. Revise as needed.
e. Finalize space plan of all classrooms/labs.
f. Cost estimates, value engineering, multiple product options
g. Review with District
3.) Contract Documentation and Administration
a. General product specifications
b. Review of all final drawings and specifications with the District
c. Preparation of installation package
d. Plot drawing and printing of all specifications
e. Pre-installation meeting
4.) Furniture Delivery and Installation
a. Schedule delivery of products according to District timelines
b. Provide all labor, material, equipment, and supervision to deliver, set up,
and install products onsite as specified
c. Provide all debris containment and removal as well as provide a clean
site at the end of each working day
d. Keep all corridors and access points free and clear of all debris and
furniture during delivery and installation
e. Inspect all deliveries for shortages or damage, creating a punch list of
any items
f. Final walkthrough, inspection and acceptance of project

5. Submittals
a. Develop CAD drawings of floor plans showing space allocation of
furnishings
b. Submit actual samples for final product selection during design
development
c. Submit copies of Operations and Maintenance manual, containing a
narrative on operations of all equipment, preventative maintenance
including cleaning, adjusting, and lubrication schedules (if applicable).
The manual should also include a copy of the manufacturer’s warranty
and service agreement.
d. Submit Materials Safety Data Sheets (MSDS) as applicable.
e. Submit certification that, to the best of the manufacturers and
contractors knowledge, no asbestos containing materials have been
incorporated into this project.
1.2
Submittal Requirements
Five (5) copies of the Statement of Qualifications must be provided. Each copy shall
be signed and clearly marked on the cover:
RFQ: Campus-Wide Furniture Replacement - Victor Valley College Facilities
Construction Department and shall contain the name of the company
responding to the RFQ.
1.3
Requests for Information (RFI)
Any requests for information or other clarification must be submitted to the Facilities
Department office no later than 4:00 p.m. October 8, 2014. Please submit RFIs
directly to Michelle Messer, RFQ Coordinator at [email protected].
1.4
Response to RFIs
All responses to RFIs or other modifications will be answered no later than 4:00 p.m.
October 10, 2014 and posted on the VVC website at www.vvc.edu/office/facilities.

2.0
QUALIFICATIONS:
Statements of Qualifications shall respond to each criteria listed below. Statements
of Qualifications should be clear and concise and formatted as outlined below to
provide the selection committee with the following information and allow for consistent
evaluation of each submittal.
2.1
Transmittal Letter:
Provide a transmittal letter which introduces the company.
Discuss services offered, size, and office location(s) of the company.
2.2
Company Work Experience
Provide a list of school projects that your company has successfully completed
or that a contract has been awarded.
2.3
Project Approach
Provide a detailed description of understanding of the project and identify your
company’s approach to the project. In addition, identify any work performed by
subcontractors.
2.4
References
Provide references of completed projects for school projects. Provide a
minimum of six references for recently completed work to include school name,
contact and telephone number.
2.5
Project Management/Delivery and Install Personnel
Provide a list of key personnel, skills and qualifications, technical competence,
experience on similar projects, current workload and workload during the
project. Specifically identify the person who will be the Project Manager.
Describe if delivery and install will be subcontracted.
2.6
Quality Assurance
Provide a description of the quality assurance process your firm will use for
space layout and furniture drawings, budget tracking, tracking system for items
the District may add during a later phase of work, delivery and install process,
punch process, and warranty tracking.
2.7
Key Supplier Relationship
List the Key suppliers/manufacturers that your company represents. Describe
how the relationship will benefit the District. How many manufacturers are
available through each contract? Is a discount schedule available per
manufacturer, and will the manufacturer contract allow for pricing based on
volume?

2.8
Insurance Certificate
The selected firm will be required to indemnify and hold Victor Valley
Community College District and its agents and employees harmless from and
against all suits or actions of any kind, including, but not limited to, workers’
compensation claims brought against them for or on accounts of any damages
or injuries received or sustained by any parties, by or from the acts of the
successful firm or its agents or employees.
2.9
Vendors
Provide a list of the vendors your firm will be using for this project.
3.0
EVALUATION CRITERIA
The selected firm will be based on the RFQ submittal responses, work experience,
services, and references provided.
