Workflow configuration allows an entry to be placed in the Work Management screen when first created, eg RAISE documents: CIN - Core Assessment, CLA – Plan, etc. As well as workflow items, User Alerts can also be configured which will alert you to any changes / additions made to your allocated clients. These alerts need to be set up by you within the Alert me section. Each entry will be given a status – see next page. Children & Young People’s Social Care Page 1 My RAISE Each task is given a status: The Work Management screen is particularly useful for users who have allocated clients and team managers. Pending The task is started Warning The task has a planned date or duration which expires 2 days from today Overdue The task has passed its planned date or duration Completed The task has been completed – i.e. a document has a completion date or a planned meeting has an Actual Date VIEW TASKS From the Module Bar Select My RAISE Select Work Management When accessed the screen displays a list of tasks, together with a status, for the logged on user. Children & Young People’s Social Care Page 2 My RAISE Change Task Type to view: User Alerts or Workflow tasks Select to view only: read tasks unread tasks or all tasks Select to change your current view – see next page Click & Drag a column header to group by that column Select a column header to sort the list Double-click the record to go to the module where the document is held From there you can open the document to edit or authorise Export to Excel to print out the list of tasks Refreshes the screen and shows ALL allocated clients Children & Young People’s Social Care Page 3 My RAISE WORK MANAGEMENT VIEWS CURRENT VIEW When the work management screen is first accessed, the list displays an active list of all tasks for the logged on user. The Current View area can be used to change the view, by selecting the appropriate task from the pick-list. Detailed List Active List Next Seven Days Overdue Task Completed Task VIEWING O TH E R shows all tasks to date shows only active tasks only shows those tasks to be completed / pending within the next 7 days shows all overdue tasks that should have been completed shows all completed tasks to date SW T ASK S – TM / SP ONLY This is particularly useful when authorising team member’s documents. Simply select the name of the member of staff from the dropdown list to view their tasks in the Work Management screen. . Children & Young People’s Social Care Page 4 My RAISE DOCUMENTS All documents – Assessments, Care Plans, Child Protection documents etc., can be given timescales for completion. For example, a document may be set up with duration of 35 days – i.e. it must be completed 35 working days after it is started. P E N DI N G MIS - for details of adding duration, please refer to Document Management in the System Administration manual. Once the document is created, it becomes an active task in the Work Management screen for the worker, with a status of Pending. The Start date is set to the Start Date of the document and a Due Date is calculated based on 35 working days from the start date. This projected end date is also displayed in the Work Management Task list. W A RN I N G The Work Management module then tracks the progress of the document, changing the status as required. Two days before the document is due to be completed, the status is changed to Warning. O VE R DU E If the document is not closed by the projected due date, the status changes to Overdue. COMPLETED If the document is completed by the planned date then the status shows as Completed. If a document has not been set up with a duration, it is added to the Work Management task list with a Status of Pending, but has no Due Date. The Status does not change until the document is Closed / Authorised, when the Status changes to Completed. Children & Young People’s Social Care Page 5 My RAISE A LERT ME Use this section to configure what changes or additions on RAISE to your clients you would like to be alerted about, eg why not set up an alert to notify you when documents are attached to one of your clients by admin. You will only be notified of changes to your own clients as long as you have set this up in the Alert Me module. From the Module Bar Select My RAISE Select Alert Me SEND ALERTS TO This will determine to where your alerts are sent. It is highly recommended that you select the My Task List check box, as this will enable you to view your alerts in the Work Management screen. CHANGE TYPE This will determine what type of changes you wish to be notified about. It is highly recommended that you select the All Changes radio button. Expands or Collapses modules Select a check box to trigger an alert Select to Save Scroll to view all modules Don’t forget to select the OK button to save your choices. T U RN A L ER TS OFF In the Alert For section Untick the relevant check boxes Click on OK Children & Young People’s Social Care Page 7 My RAISE VIEWING ALERTS IN THE WORK MANAGEMENT SCREEN When another user has inserted / updated information on any of your clients, providing the correct alert has been set up by you, the notification will appear in the Work Management screen with a status of Completed. U S E R A L E R TS Use this view to display all User Alerts for your clients – ensure that the current view is set to Completed Tasks or Detailed List. List of alerts giving document & client name Scroll to view the name of the person who changed an item on your client The Alert status is always set to completed Children & Young People’s Social Care Page 8 My RAISE U SER P REFERENCES The User Preferences module of RAISE allows you to carry out administrative tasks, such as changing the start up screen so that RAISE opens up each time in a specific module, eg Referrals setting up the scrolling banner to display particular information on a selected client in the banner in Personal Details, Referrals, Assessments, Case Notes and Substance Misuse modules. CHANGING THE START UP FORM From the Module Bar Select My RAISE Select User Preferences From the drop-down list select Childrens Services and then the module you wish to view each time you log into RAISE Do this the first time you log into RAISE This determines the format in which Case Notes and Reports are printed out. From User Preferences screen Select the Banner Enabled check box You can disable / update the banner at any time 2. Select the data you wish to display in the scrolling banner 3.
