Registering a Contractor (User) onto Qantas Group HSE Induction
System
Step 1- User Search – Go to Manage, Users
Step 2- Create New User- if user does not exist click on ‘Create New User’ tab
Step 1- Search for name of
contractor (supplier) either
by first or surname before
creating a new user.
Step 3- Create Username and Password
Step 2(b) - Select ‘user’
for registering an
inductee or ‘admin’ if
registering a system
administrator
Step 2(a) - Select group (i.e.
contractor’s (supplier’s)
company name. If the group
does not exist click on
‘Groups’ tab and create the
group, click ‘refresh list’
before going back to create
‘new user’
Step 3 (a) - Create username which is
first name.surname of new user
Note no spaces.
Create password use contractor (new
user’s) company name
Step 3 (b) - use the email address
where the contractor (new user) will
be able to access. New user login
details will be sent to this email
address.

(SSAA) refer to page 5
Step 3 (c) – consider the definition
link and answer the question
whether the inductee is SSAA
(safety aviation activities).If yes ‘Will
the inductee start at Qantas in this
role on or after 29th January 2009”.If
so answer yes. This will add the
requirement for the inductee to
have an alcohol and other drugs
test (A&OD test) Click ‘Create
New Account’

Step 4- Complete Mandatory Fields
Step 4(a) - Company is the name
of the contractor’s (new user’s)
company name.
Port is the main port the
contractor (new user) will be
working at.
Step 4(b) - Cost centre
and charging entity is the
cost centre/ charging
entity of the Qantas
dept/segment who is
engaging the contractor
(new user).
Note cost centre must
be a minimum of 6
digits.
Step 5- Learning Modules
Step 5(b) - additional modules can be
selected based on task and work
environment. Note all contractors who
will supervise others at Qantas are
required to complete the ‘Qantas
Group- Drug and Alcohol
Supervisors’ module.
Step 5(a) - all users
(contractors) are required
to complete the Qantas
Group- Supplier Induction
(core module) and the
Qantas Group- Drugs and
Alcohol. These modules
are automatically loaded.

Step 6- Licence and Certificate Requirements
Step 6(a) - Select from drop down
the role of the contractor (user) at
Qantas. This will automatically
upload the relevant trade cert. /
licence required to be verified. Note
multiple roles can be additional
licence requirements can be
added.
Step 6(b) – Changing SSAA status
If you had answered yes to the SSAA
question and yes to the question ‘Has this
individual commenced a Safety Sensitive
Aviation Activity (SSAA) role for Qantas on
or after 29th Jan 2009?’ the requirement of
an Alcohol and Other Drugs Test (A&OD
test) will appear under SSAA Requirements.
If you have made a mistake you can correct
the questions here (refer to page 5 for more
information).
Step 7- Port Specific Information
Step 7(b) - click next and the next screen
click ‘send login details’. As an Induction
System Administrator you will receive an
email from the system and the contractor
(user) will also receive an email from the
system with their login details.
Step 7(a) - Use drop down and add the
port(s) the contractor will be working at.
This will load the relevant site/port
specific information as PDF documents.
Note the Qantas Drug and
Management Plan (DAMP) will also
be automatically loaded which the
contractor can print off the system
along with the site/port specific
information.

Induction Group Reports
For group reports go to
Qantas Report 3 and select
group, date range and
fields. Import report into
Excel
Induction Reports by Inductee
For individuals, search
name in users. Click on
details.
Induction status: inactive= not complete,
active=waiting
verification, verified=
complete

IMPORTANT INFORMATION REGARDING PRE-PLACEMENT ALCOHOL
AND OTHER DRUGS TESTING and DAMP Training
It now a CASA Regulation and Qantas requirement before an individual supplier
commences in a Safety Sensitive Aviation Activity (SSAA) role they must have had a
negative alcohol and other drugs (A&OD) test verified and have completed the
Qantas Drug and Alcohol Management (DAMP) training course.
The Qantas DAMP training course and the Qantas Supervisor DAMP training course
were added and the Induction Help Desk commenced verification of pre-placement of
A&OD tests on the 29th January 2009. All new SSAAs who started at Qantas Group
after this date must have completed the DAMP training and have had a negative
A&OD test verified.
Induction System Administrator Responsibilities
It is the responsibility of the Induction System Administrator to select the correct
answer to the two questions below:
1. Will (or does) this individual carry out Safety Sensitive Aviation Activity (SSAA)
for Qantas as per the definition in the Qantas Damp?
2. Has this individual commenced a Safety Sensitive Aviation Activity (SSAA) role
for Qantas on or after 29th Jan 2009?
If you answer YES to both of these questions the requirement for a pre-placement alcohol
and other drugs test (A&OD) will be automatically loaded onto the inductee’s account, along
with a link to the template test certificate, instructions, list of approved testers and information
on over the counter medications to avoid prior to test.
What if I make a mistake what do I do?
If at the time of inductee registration you make a mistake you can correct this by changing the
response to the questions on the next screen ‘User Details’ under Safety Sensitive Aviation
Activity (SSAA) Requirements (Alcohol and Other Drugs pre placement testing).
If you make a mistake after registration you can either contact the Induction Help
Desk. The Help Desk operates weekdays, from 6.30 am to 9.30pm (AEST), on 1300
