It’s time to celebrate! You are invited to join the art educators of
Kansas at the Kansas Art Education Association’s 80th Annual Fall
Professional Development Conference in Pittsburg, KS. KAEA is a
growing organization and we anticipate 200 art and museum
educators at this year’s conference. You can visit KAEA’s website

Book for the KAEA group rate of $75.00 per night + tax before September 20, 2015.
When can I set-up? Exhibitors may set-up their tables in advance on Thursday, October 8th from 5:00pm7:00pm. Exhibitors can also set-up their booth for a full day of business on Friday, October 9th from 7:30am3:30pm. Enjoy complimentary refreshments, mingle with existing customers, develop relationships with
potential customers, and see some great ART! The conference attendees will be walking by the tables
multiple times during the course of Friday. The exhibitors will have many opportunities to interact with the
participants before workshops, after workshops, and during meals. Please let us know if you, the exhibitor,
would like to facilitate a workshop, so we can email you the proposal form or go to the conference
website to find the form.
Can I ship my booth display in advance? Yes, if you need things shipped in advance, please indicate so
on your Vendor Registration Contract form and it can be shipped to:

Can I sell products at this conference? YES! And more importantly, teachers mentioned that they WANT
exhibitors to sell at the convention. The state of Kansas requires that tax be collected on all sales based
on the tax rate at the point of delivery. Schools are exempt from tax, however the instrument of payment,
by law, must be from the school (such as a Purchase Order or district purchasing card), not a personal
form of payment from the teacher. The website www.ksrevenue.org/index.htm might be helpful to you.
Will attendees have ample time to spend at the exhibitor booths? YES! As the number of our exhibitors
grows, the conference attendees develop a greater interest in visiting the vendors. We are gearing the
booth hours to maximize your exposure time.
EXHIBITOR BOOTH INFORMATION
We use the term “booth” loosely. Your booth space consists of one table and two chairs. Tables are
not skirted and there is no partition between booths.

Are there other options for exposure of my company at KAEA besides a booth?
Yes! There are many ways to reach KAEA members besides a booth at the conference! Whether
you are wanting to supplement your booth space or if you cannot make it to the conference for a
booth:
• Submit a conference proposal for a workshop! The proposal form is available on the
website or can be emailed to you.

• Send catalogs or other brochures to be placed on a table at the conference for attendees to pick
up (unstaffed table - see above)
• Supply canvas bags for conference attendees printed with your logo (We will print the KAEA
conference logo on the reverse side). First come first serve! Contact conference chair to make early
arrangements.
• Sponsor a meal (Your company will be announced as the sponsor of the meal and listed in the
conference program and website)

• Donate items for door prizes - If you would like to donate products or gift certificates to be used as
door prizes, please include a business card or letterhead with address and contact person’s name on
the outside and inside of the package. We want to make sure the lucky members that receive the
prize recognize your company’s contribution to the conference.

SPECIFICATIONS:
1.) Advertisements on the conference bag must be submitted in a jpg format.
2.) Advertisements for the printed conference guide may be submitted as a jpg, tiff, or pdf format. 3.) It is best
to use images of a 300 dpi resolution when creating ads. 4.) All advertisements must be received by
8/01/2015. 5.) Logos submitted for inclusion on our website should be in jpg format. 6.) All advertising
materials should be emailed to [email protected]. 7.) Items for insertion into the bags must be received
by 8/01/2015 and should be sent or emailed to Chris Woods at [email protected].
**The bag will feature our conference logo on one side and our sponsors’ ads (black and white) on the back.
Attendees traditionally keep the bags and continue to use them throughout the year and beyond. Advertising
on our bag also allows you to submit a flyer, brochure, newsletter, or any small flat item for inclusion in each
bag (you will need to send 300 copies of the insertion by 8/01/2015) and you will qualify for discounts on
advertising in the conference guide.
