Acceptance of Prior Month’s Meeting Minutes: 1) March 2014 Meeting Minutes i) Theresa de Veyra motioned to accept, Muareen Martin seconded the motion, passed unanimously, motion carried. ACTION ITEM: Dana Sizing to send the revised April 2014 minutes to Joe Brusa so that they may be posted to the Westhill Booster Club website. OLD BUSINESS: Various Updates from the President, Ray Carrock: 1) Nancy French will give a thorough Treasurer’s report. 2) Ray received approval for the Booster Club to write an article for the Hill & Vale May 2014 edition. Maureen Martin drafted the article; it was reviewed by a few officers of the Booster Club and approved. It was forwarded to Annette and will be published. Maureen Martin, thank you very much! 3) Ray Carrock and Matt Whipple met with Casey Bardoun about future summer camps. They agreed to formalize the process slightly this upcoming year. i) There will be a committee that reviews applications or submitted documentation for the request of each camp. ii) The Booster Club will ask for more of each student application fee to help offset the cost of insurance. iii) So far there will be an Art, Band, Basketball and Volleyball Camp. Dome Update: (1) The dome contract needs to be signed by 6/1/2014. (2) Dome revenues represent 25% of our current Annual Booster Club Revenue. (3) WE NEED VOLUNTEERS OR WE WILL LOSE OUR STAND AT THE DOME. (4) We need a Dome Volunteer Representative. This person will have a list of volunteers to call if a scheduled volunteer can’t make it due to unforeseen or emergency reasons. (5) We need at least 4 teams of 2 people to manage 3-4 games each next year. (a) Tom Bounocore offered to form one of those teams (b) IF YOU ARE INTERESTED PLEASE EMAIL THE FOLLOWING PEOPLE: 1. Mary Ellen Sheridan [email protected] 2. Phil Amsterdam [email protected] Election of Officers: 1) Two positions were elected by majority vote– Vice President and Secretary. The new positions will be effective at the August 2014 meeting. a) Vice President i) Nancy French nominated Peter Lobello, he accepted the nomination and will serve if elected. ii) ELECTION – Pete Lobello was elected by a unanimous vote. b) Secretary i) Nancy French nominated Dana Sizing, she accepted the nomination and will serve if elected. ii) ELECTION – Dana Sizing was elected by a unanimous vote. Corporate Membership Update: 1) Pete Lobello is filling in for Matt McAnaney while he travels. 2) Pete Lobello mentioned that the team rosters are holding up the printing of the spring fliers. He suggested printing the fliers now and adding the rosters in as a future stuffer. ACTION ITEM: Pete Lobello to have the Spring Flyers printed. Spirit Wear Update: 1) The Spring Spirit wear sale netted a little over $2,000. 2) Will continue the Spirit Sale next year. ACTION ITEM: Joe Brusa to remove the Spirit Sale info from the Westhill Booster Club website in the beginning of next week. 5K Update: 1) A logo was created by one of our high school students. A $50 GC will be given to the student artist. 2) As a reminder the race is set for Thanksgiving morning this year. 3) Terry Rogers is heading this project but NEEDS LOTS OF VOLUNTEERS!!! If you can help, please contact her at [email protected] Concession Stand Update: 1) Teresa de Veyra offered to do it when she can this spring. Dana Sizing and Phil Amsterdam offered to help. ACTION ITEM: Helen Purcell and Dana Sizing to clean the concession stand in the next week or so. 2) Shawn King and Elizabeth Demperio have offered to co-manage it this fall. Dana Sizing offered to help. 3) Please let the booster club know if we can add you to a ‘volunteer list’. This way if we are short we will have volunteers to call on. We will need you name, email and phone number. Delta Sonic Update: 1) Nancy French said the orders are late going out but by next meeting everything will be distributed and sales numbers will be available. 2) The track team brought in $4000 alone! GREAT JOB! Dodge Fundraiser Update: 1) The date for this fundraiser is May 19th from 4-7pm at Westhill High School. ACTION ITEM- Ray Carrock to check with Casey Bardouin as to whether or not our lawyers said it can be done on school grounds. Additional Fundraisers: 1) Teresa de Veyra found a potential new fundraiser called the ‘City Card’. The cost is $20 of which the booster club would earn $10 for each card sold (50% profit). The City Card gives the purchaser $10 off a $30 bill at various restaurants. There are 52 cards in each deck. ACTION ITEM: Nancy French or Teresa de Veyra to contact the representative for this fundraiser for more information or to ask him to join our next meeting. 2) We will cover what the 2014-2015 fundraisers will be at the April/May Meetings. Treasurer Update: 1) Nancy will give a financial status presentation at the meeting in June. 2014 – 2015 Fundraisers 1) Already done: a. Dome b. High School Concession Stand c. Corporate Memberships d. Delta Sonic e. Winter Raffle f. Dodge Drive g. Golf Tournament h. Spirit Sale i. Go to Moe’s 2) New Ideas a. City Card – You receive a deck of 50 cards. Each card will give you $10 of a $30 restaurant bill. All restaurants are local. The deck cost the booster club $10 and sell for $20. You can have relatives in other cities by them online for their cities. b. All Star Alumni Dinner. Hold a dinner with alumni and charge a fee to attend. c. Big Fall Raffle like Bishop Ludden’s. d. 5K Turkey Trot – already in the works for 2014. 3) Please email any new ideas to Dana Sizing at [email protected] NEW BUSINESS 1) 2013-2014 Varsity Boys Basketball – the booster club should do something for them for all their accomplishments this season. ACTION ITEM: Ray Carrock and Matt Whipple to discuss. 2) Senior Award Program will be at Bellevue Country Club on June 10, 2014. 3) The Booster Club Scholarship Award deadline is April 30 th!
