The provisions on study breaks can be found in the Higher Education Ordinance (1993:100) chapter 7, §§ 33. A study break is an interruption in studies which has been notified to the university by the student. Study break with a guaranteed place In order to be granted a study break with a guaranteed place, you must have special reasons for the break in studies. Such reasons include social, medical or other special circumstances, such as childcare, military service, civil defence service or student’s union positions (SFS 1999:1, §§3-4). The reasons must be verified by a certificate. A guaranteed place means that you may continue your studies after the study break. A guaranteed place only applies for the period to which the decision relates. Leave from studies without a guaranteed place You can choose to take leave from studies for reasons other than those given above, e.g. for research, other studies or work. Following any such leave, you may continue your studies if there are sufficient places and in order of priority as determined by each programme. Applying for study break Applications should be made in writing using the application form Application for study break. It is recommended that you contact the student adviser for the programme before applying for a study break. You should submit your application no later than 15 May (15 April for the medical programme) ahead of the autumn term and no later than 15 November ahead of the spring term. Application/notification of resumption of studies In order to resume your studies, you need to give notice or apply to do so. This should be done in writing using the form Application/notification to resume studies following study break. You should submit your notification/application to the programme student adviser no later than 15 May (15 April for the medical programme) ahead of the autumn term and no later than 15 November ahead of the spring term. Late applications may affect the possibility of obtaining a place on the programme following a study break. You should give notice of resuming studies even if you have been guaranteed a place. If you give notice of resuming studies after the guaranteed place period has ended, you will lose your guaranteed place and you may continue your studies only if there are sufficient places. If you wish to continue your study break after the period granted, you must submit a new application for study break. Failure to apply for study break will be regarded as cessation of studies If you take a study break without giving written notice of this or if, following a study break, you fail to give notice/apply to resume your studies, this will be regarded as cessation of studies. Resumption of studies can then only be permitted if there are sufficient places on the programme and in the applicable order of priority. Independent courses If you are studying an independent course, you can only be granted a study break if there is an agreed time for when the course will be given again. If it is not certain when or if the course will be given again, a study break cannot be granted. Appeals In accordance with the Higher Education Ordinance chapter 12, § 2, you may appeal rejected applications to continue your studies following a study break to the Board of Appeals for Higher Education. Appeals should be made to the Board in writing. When making an appeal, you should state which decision you are appealing, who took the decision, the desired change and the reasons for this. The written appeal should be received by the registrar, Karolinska Institutet, 171 77 Stockholm, within three weeks of the date when you were notified of the decision. In the event of an appeal, Karolinska Institutet (KI) may either change its decision in the applicant’s favour or adhere to its previous decision. If KI adheres to its decision, KI will refer the matter to the Board of Appeals for Higher Education, together with a statement.
