POSITION DESCRIPTION POSITION: Event Team Lead – Olave Ball REPORTING TO: Event Coordinator APPOINTED BY: Interview Panel including Event Coordinator and Olave Team Leader DATE: 11th March 2016 TERM: Til 1 month post Event TYPE: Volunteer Roles GIRL GUIDES VICTORIA Girl Guides Victoria (GGV) is part of the world wide Movement of more than 10 million Girl Guides and Girl Scouts operating in over 146 countries. This progressive, non-political voluntary organisation helps girls and young women develop into confident, self-respecting and responsible community members by providing a values-based, flexible and dynamic, non-formal educational program. The organisation embraces girls and women from a diverse range of backgrounds, cultures, socio-economic groups and geographical areas and provides a supportive environment within which they can extend their personal boundaries. Organisational leadership at all levels is provided by skilled, open-minded women. Primary Purpose Of The Position The Event Team Leader, with the support of the Olave Team, is responsible for coordinating a team of Olaves to run Olave Ball. The Olaves program is a high priority for Girl Guides Victoria. The life experience of transitioning from school to work, or school to independent tertiary study, is a significant period of time in which young women will build a foundation of friendships, and a space for continued service in the community that will extend beyond this time. Girl Guides Victoria considers its ability to support young women during this transition a natural extension of the Girl-led philosophy embedded in our Youth Programs. We also recognise that the world around us is changing, and the ideas, inspirations and motivations held by young women of Olave age need representation in Guide leadership, in Program planning, training, and in the continued evolution of the Movement. Girl Guides Victoria also recognises that achieving good representation of Olave-aged women in leadership must be done in a way that accommodates study and work, and reflects the different capacities and interests of Olave participants. Each member of the Olave team is expected to develop her own leadership and communication skills by participating in the role. KEY RESPONSIBILITIES 1. Identify Olave members and form a team to coordinate Olave Ball 2. Coordinate your team to deliever the event including, but not limited to, finding a venue, 3. 4. 5. 6. 7. 8. 9. advertising, receiving applications, ensuring roles such as first aider are filled, budgeting, purchasing supplies and running of the event on event day. Ensure correct GGV paperwork is completed in a timely manner so applications can be opened Ensure event information is distributed to Olave members no later than 6 weeks prior to the event Ensure applications for the event are received no later than 2 weeks prior the the event Ensure a budget plan is presented for approval to the Events Coordinator, no later than 2 weeks prior to event applications being distributed Ensure a final budget is submitted to the Events Coordinator post the event Ensure an event report is submitted to the Events Coordinator within 2 weeks of the conclusion of the event, including a paragraph that can be submitted to Guiding News or similar Liaise with the relevant teams or people as required for any event related matters such as deposits, website requirements, etc. KEY SELECTION CRITERIA Essential Skills 1. A demonstrated alignment to the new Olave program framework 2. A strong commitment to open, transparent communication with the Olave Team 3. A demonstrated ability to work collaboratively and manage small projects 4. Ability to meet deadlines as required 5. Confidence with public speaking 6. Basic budgeting skills 7. Basic computer skills 8. Access to internet and e-mail Desired Skills 1. Previous GGV event experience 2. Effective delegation of responsibilities where required VALUES ALIGNMENT 1.
