Welcome
The Old Bridge Swim Team is pleased to host the Bridlewood Waves and the Westridge Waves for the
2015 Green Divisional Swim Meet! We look forward to working together to have a well-organized event
that is safe, fun and fast!! This packet contains all the information we feel you, as team representatives,
will need to organize your team volunteers and swimmers. If we have neglected to answer any question
we have included a contact list so that they could provide any further information you may need.
Opening Statement
The Green Divisional Meet will follow the same format as prior Divisional Meets in the Prince William
Swim League (PWSL) program. The Old Bridge Breakers Team holds itself to a high standard of
planning, preparation and execution of a meet. We trust that, with the help and support of our guest
teams, our experience in running meets at the Old Bridge Pool site will create a positive meet experience
for all the teams involved. We thank our visiting teams in advance for your support and service, and we
look forward to celebrating with you the performance of all our teams’ swimmers as they compete in this
championship meet!
How the Meet Will Work
The Divisional Meet will begin promptly at 7 a.m. An ending time will be projected after entries have
been received. We anticipate the need for three rotations of volunteers on deck. Logistics for coaches,
swimmers, volunteers and spectators are outlined below.
We ask each team to have their own check in first thing in morning for swimmers. Please provide to
Clerk of Course names and ages of ALL swimmers who are absent so their cards can be pulled and we do
NOT delay the meet looking for them.
General Meet Rules
The meet will follow the regulations as provided by U.S. Swimming and amended through the Prince
William Swim League By-Laws.
In keeping with PWSLs commitment to league-wide good sportsmanship, please know that such
respectful behavior is something that the Old Bridge Breaker coaching staff, swim committee and parents
seek to instill in each swimmer. Athletes are taught to encourage and motivate through cheers, positive
focus, and praise. After a hard race, acknowledging the efforts of your opponent, win or lose, always
speaks volumes in developing the character of our swimmers. We know that the competitive nature of
sports often makes for emotional events. No matter the age, swimmers are encouraged, and shown by
example, to be in control of their actions and exercise good sportsmanship at all times. We look forward
to a friendly, respectful competition!

Logistics for Coaches & TEAMS
Deck Access
Coaches – please wear coach’s shirts or name tags so that gate marshals will allow you deck access. Deck
access is ONLY for parents working current shift and swimmers going to and from events.
Relays
Each team will be allowed to enter 2 relays teams per event. The relay lane assignments will remain the
same throughout the meet. Relay lane assignments are as follows:
Old Bridge:
Bridlewood:
Westridge:
"A" relay - lane 3, “B” relay - lane 1
"A" relay - lane 4, “B” relay - lane 2
"A" relay - lane 5, “B” relay - lane 6
Old Bridge will stage their relays in the 10 and under Clerk of Course area.
Bridlewood will stage their relays on the concrete area serving as the Clerk of Course for the 11 and up
swimmers.
Westridge will stage their relays in the area in front of the guard house.
Team Area Assignments
Old Bridge Breakers will be located on the tennis courts above the pool area on the baby pool side.
Bridlewood Waves will be located on the tennis courts nearest the concessions area above the pool.
Westridge Waves will be located in the center of the tennis courts.
Please keep the viewing area at the front of tennis courts clear of tents, chairs, etc. This is for
standing and viewing only.
For team warm-ups, and all age 11 and older relays and individual events, swimmers will enter the pool
area through the side entrance near the Clubhouse.
For all age 10 and under relays and individual events, swimmers will enter the clerk of course area
through the Clubhouse bathrooms.
Additionally, the following rules apply to the tennis court and the “grassy knoll” behind the tennis courts:
- No Glass Containers
- No Chewing Gum
- No skates, skateboards or bikes
- No sharp objects such as tent spikes
- No shoes with hard soles or heels that may damage the surface
- Chair, tent or gazebo legs must have plastic, rubber, or padded feet
- No shelters or chairs will be allowed in the viewing areas

Logistics for Swimmers and Their Families



Please Carpool if you can.
Heat Sheets will be sold at concessions for $3.00. They will not be available online.
It is swimmers’ responsibility to get to Clerk of Course on time for events so they are not
scratched.
Deck Information
The deck area will be accessible to swimmers, officials, coaching staff and volunteers ONLY. Because of
the small size of our deck, no unauthorized persons will be allowed on the deck area throughout the meet.
Marshals will be posted at the entry point for enforcement. Swimmers will be allowed on deck when
their age group has been called to clerk of course and then should vacate the deck after their swim and
check-in with their coach. Because of the limited deck space, we ask that visiting teams please limit the
coaches’ tents to coaches and swimmers receiving immediate coaching guidance. All meet volunteers will
be provided with a label for easy entry on deck.

The viewing area for all teams will be located at the front of the tennis courts and on the deck near
the gate. The deck area is small and we ask that you leave as soon as you have seen your swimmer
so that others may have room to watch. No chairs are allowed in the viewing areas.
Parking
There are very few reserved parking spaces available. Each team will be allotted four (4) reserved
parking passes to use as they see fit. It is recommended to give these passes to coaches, officials, or to
raffle them off as a team fundraiser. The remaining reserved spots will be assigned to Old Bridge
concessions and computer representatives. In addition, there are 2 handicap spots available. If your team
requires handicap parking, please notify Tina Neff as soon as possible so we can make sure that we have
enough handicap spaces available.
General parking is available along Beaver Pond Road and other neighborhood roads located near the pool.
Please do not park in the townhouse areas or on pipestems. Parents can drop off their children, and then
proceed to a parking location. If you would like to designate a minivan as a runner vehicle, then this
would help people get to and from the pool. As some street parking could be located far from the pool,
we highly encourage car-pooling to reduce the distance to the pool for everyone.
Please be careful to not block driveways or mailboxes, and you are required by law to park 15 feet from
an intersection. Police will be in the area to ensure that parking regulations are followed. Tickets will be
distributed if violations occur, so please alert your families to park in legal spaces

Championship T-shirts will be available by pre-order for $15 each. Specific ordering information is
included in attached flyer. Sizes available are Youth Small, Medium and Large and Adult Small,
Medium, Large, XL & XXL. A limited number of shirts will be available at the meet on the upper deck
near concessions along with caps and goggles.
Equipment
Each team should bring their starter system fully charged as a back-up and their stopwatches.

Concessions
Our fully stocked and staffed Concessions stand will provide a variety of delicious hot and cold food and
drink for purchase throughout the meet beginning at 6:30 a.m. Concessions accepts credit cards with a $5
minimum purchase.
Restrooms
 Pool bathrooms are available for swimmers and those serving on deck. Access for swimmers is
available via the Clerk of Course entrance (see map)
Viewing
There is a viewing area just inside the gate where family members can watch and cheer for their
swimmers. We ask that swimmers and spectators do not set up camp on the pool deck. Spectators may
stay to watch the swimmers, then move on to make room for others. Marshals will supervise these areas.
Logistics for Volunteers

The meet will be conducted with three (3) shifts of 2.25 hours each
Shift 1: 6:55AM – 9:15 AM 1st shift be in place (except ribbons & heat winner ribbons) NLT
6:55 BEFORE the National Anthem.
Shift 2: 9:15AM - 11:30PM
Shift 3: 11:30PM – END estimated as 1:30 PM
Clerk of Course
There are two clerks of course areas: 8 & under and 9-10 swimmers are on the deck area adjacent to pool
house. Older swimmers are diagonally across the pool adjacent to the semi-circular extension to shallow
end of pool. Both areas provide athletes easy access to their respective staging areas.
When events are announced over our public address system swimmers should proceed to their clerk
of course areas. A flip chart showing the event that was most recently called will also be displayed.
The chart is located next to the meet announcer on the pool deck.
We will start ALL 25-meter events from the deep end of the pool. Dive-over starts will be used for
11&O swimmers.

Each team should provide at least 3 Stroke & Turn (S&T) Judges to work the Divisional Meet.
Optimally, each team will have two S&T Judges working the meet at any given time. Actual assignments
will not take place until the officials meeting the morning of the meet. All efforts will be made to make
the lane assignments and rotation of officials as equitable as possible.
S&T Judges with more than one year of experience are preferred for Divisionals, but qualified S&T
Judges with less experience will be used if we are short of more experienced S&T Judges. Each S&T
Judge will cover two lanes. The number of outs will depend on the number of S&T Judges participating.
Rotation of S&T Judges will happen after all girls’ events starting after event 9 and ending with event 55.
Due to the crowded pool deck during relays, S&T Judges will stay in place during events 1 through 9 and
from events 56 until completion.

The Chief Stroke & Turn Judge, the out-referee, and the two out starters will perform the relay takeoff
dual confirmations during the relay events as shown in the table below.

Logistics for Computer Personnel
Look for a note from Tom Howe, PWSL Computer Rep Coordinator, with details regarding meet
preparation. Deadlines listed below may be amended by Tom’s instructions.
Saturday, July 25
5 p.m. Expected deadline for Host team to receive all league top times information from PWSL
9 p.m. Meet manager database incorporating best times e-mailed to visiting teams
Sunday, July 26
5 p.m. Submit corrections to your Pre-Divisional Database to Old Bridge.
Wednesday, July 29
8 a.m. All entries (including relay entries) and records are due to Old Bridge. Reminder every entry
must:
a) Have a legal time (for the entered stroke) from a PWSL meet this season
b) Participated in two actual meets this season. Time trials do not count.
EARLIEST POSSIBLE SUBMISSIONS WOULD BE GREATLY APPRECIATED.
NO CHANGE OF ANY KIND ALLOWED AFTER THIS POINT.
8 p.m. Final meet database backup will be provided back to the visiting teams.
Saturday, August 1
Computer support staff for all teams should report to the top level of the pool house.
Due to limited space, at most a single computer rep from each team at any one time (you can change
shifts as needed).
PWSL Computer Rep Instructions for Divisionals
1. Pre-Meet Preparations. Each divisional host team shares times for all of its teams on the Saturday
before the Divisional meet.
2. PWSL now prepares the league best time report (and a merged divisional team manager database) and
provides to the host team Sat evening. The host team will send out the merged top times data meet
data file after receipt on Saturday July 25. This file will just have events, time standards, records, but
no swimmers. Old Bridge will email a backup of this file to Bridlewood and Westridge computer
reps by 10 p.m. This division-wide top times meet file is a resource for you to produce preliminary
psych sheets for your coaches.
3. Meet Entries. Meet entries are due to the Old Bridge computer rep by Wednesday night at 8 a.m.
Also send a current records file for your team so that these can appear in the psych sheets. Database
will be distributed later that evening; goal is 8 pm and NLT 10 p.m.
4. Two things are important to watch on entries - swimmers MUST have participated in at least TWO
PWSL meets (cannot count time trials) and each child can only swim events that they have a
qualifying time in from THIS season (no last year's times and NO NT's).

5. At the meet; we will run 2 computers at Divisionals. One computer is for the usual meet stuff and the
second is for producing time improvement ribbons. The league produced merged team manager
database will be used to produce the time improvement ribbons.
6. Scoring. Scoring is a bit different than regular meets.
a. Places 1 thru 18 score points: 19, 17 to 1 point respectively
b. 3 relay places score points: 79, 53, 40 for 1st, 2nd, 3rd place respectively
7. Ribbons are awarded for 24 places. The League tries to balance the number of swimmers at each
meet based on the previous year’s data and decided that 24 was a good number of ribbons for the
number of swimmers competing.
8. Cyber meet. During and at the end of the Divisional meet, the host team provides backups to PWSL.
The final backup is used for the league Cyber meet. Each team is asked to provide one volunteer to
help eventually pick up cyber meet team ribbons (more specifics on the Cyber meet will come from
PWSL and will be shared).
9. End of Season Top Times. No action required from each team. The end of meet backups provide the
league this information. PWSL uses the data in the off season to look at adjustments to Time
Standards, scoring, demographics of the League etc.
