2017 rdc recital guide

2017 RDC RECITAL GUIDE
Dear Parents/Guardians,
Our year-end recital is fast approaching. In this package you will find all the information on how
the events will run, what you need to do to prepare for the big day, important dates and times,
and a list of things to bring with you to ensure you are prepared.
There will be a dress rehearsal on Friday May 26th, held at Duncan McArthur Hall (511 Union
Street). There is a schedule included in this package for you to reference the time of your child’s
dance(s).
A total of 2 shows will be performed on Saturday May 27th. A morning show starting at
11:00am and an evening show starting at 5:00pm. Dancers in Kinder Dance level and up will
perform in both shows. Pre Dance students will perform in only the first show.
There is a lot of preparation that goes into planning the annual recital and your patience is
appreciated. We look forward to seeing all our performers take the stage to showcase all they
have learned during the year. Volunteers play a large role in making the recital run smoothly. If
you are willing to volunteer for one or more shows, please fill out the volunteer form included in
this package and return it either to the office during office hours, or to your dancer’s instructor.
As a thank you for volunteering your time, you will receive a $20.00 credit on your account to
put towards next year’s fees.
Please read this package carefully as some things are new from previous years. I hope this gives
you all the information that you need about the big day. Please ask questions if something is
unclear so things will run smoothly on show day.
Looking forward to a great show!!
Sincerely,
Melissa Ward
Director, Rhythm Dance Center

RECITAL VOLUNTEER INFORMATION
In order for the show to run smoothly, we are looking for some helpful volunteers to assist
backstage, in the change rooms, and at the doors. These “behind the scenes” volunteers really
make the show a success and the staff and students really appreciate the help provided. There is
an attached form on the last page of this package you can fill out and return either to the office or
your dancer’s instructor. Volunteers are required to be at their assigned job for the entire show.
As a way of saying thank you, they will receive a $20.00 RDC credit.
There are various areas where volunteers are needed. Below is a brief explanation of each
volunteer duty to give you a better idea of what is involved.
•
Change Rooms (Female Only): Supervising a specific group(s) of dancers in the change
room until the entire group is picked up. Keeping young dancers together and occupied.
•
Quick Change Room (Female Only): Assisting with changing dancers backstage that
have a quick change. This volunteer needs to be efficient in changing various hairstyles
quickly.
•
Change Room Line Up: Organizing the dancers in the change room as they prepare to be
taken to the stage.
•
Runner: Taking the dancers from the change room to the line up backstage as they are
preparing to perform.
•
Stage Door: Monitoring dancers as they enter and exit backstage.
•
Change Room Door: Controlling the dancers that go in and out of the change room.
Monitoring change room passes and signing dancers in and out.
•
Theatre Doors: Checking tickets as audience members enter the theatre and handing out
programs. As well ensuring the doors are closed during performances.
•
Ushers: Showing audience members to their seats with flashlights
A package will go home outlining your job and also containing your volunteer badge prior to
dress rehearsal. Thank you in advance for your help. I must stress that the show cannot run
without the help of volunteers, so you are greatly appreciated and extremely needed. Anyone
interested in volunteering to help can simply fill out the form at the end of this package and hand
it in.
CHANGE ROOM PASSES
Entrance into the change room is only permitted with a change room pass. If your dancer is in
more than one routine you will automatically receive a change room pass for a female
parent/guardian. You will NOT be permitted into the change room without a change room pass.
Parents with dancers in only one routine do not need a change room pass. The passes will be
distributed during the last week of classes and at Dress Rehearsal.

DRESS REHEARSAL
The Dress Rehearsal will be held on:
Date:
Location:
Friday May 26th, 2017
Duncan McArthur Hall, 511 Union Street, Kingston
PARTICIPATION IN THE DRESS REHEARSAL IS MANDATORY
The dress rehearsal is very important as dancing on stage is very different than dancing in the
studio. This gives students confidence for the performance and allows the teachers to ensure
proper spacing for the routine is in place.
You will need to arrive 20 mins prior to your scheduled time (see schedule below) and be
dressed in your costume with proper tights, shoes and hairstyle. Make up is not necessary for
dress rehearsal but assigned hairstyles for each dance is required. You will perform your dance
twice through with the music and practice your entrance on and exit off the stage. This is
extremely important to ensure a smooth transition between dances for the show. Students are
only required to stay for their rehearsal time, however everyone is welcome to stay and watch as
much as they wish. Change rooms for dress rehearsal are downstairs (signs will be posted on the
day). The girls change room will be in the gymnasium on the day of the show and boys change
room will be downstairs.

RECITAL
There are 2 shows on performance day. Kinder Dance level and up performs in both shows; Pre
Dance only performs in the morning show. A schedule of the show order will be posted at the
studio closer to the event.
Date: Saturday May 27th, 2017
Time: Morning show starting at 11:00am
Time: Evening show starting at 5:00pm
RECITAL CHECK-IN AND CHECK-OUT PROCEDURES
All students Kinder dance level and up perform in both shows. Pre Dance students perform in
just the first show. It is important that all dancers are present as they have worked hard on their
routines for both performances and it can really throw the other dancers off if one person is
absent.
Dancers are required to arrive 30 MINUTES PRIOR to show time, 10:30am for the morning
show and 4:30pm for the evening show. Dancers should arrive ready, dressed in their costume,
with hair and make-up done. You will bring your dancer to the gymnasium, which will be our
change room, and check in with our change room door volunteer (please follow the direction
signs posted around the auditorium). Each dancer needs to be checked in with the door volunteer
to ensure safety. No child will be able to leave without being signed out by their
parent/guardian. Dancers can be signed out when they are done dancing to go home, or if you
have purchased a reduced price ticket for them, to watch in the audience. Dancers are welcome
to stay in the change room for the duration of the show if you wish. This process is in place to
ensure the safety of our dancers. We appreciate your patience and understanding. If a dancer is
in the audience watching prior to their time to dance they MUST COME TO THE CHANGE
ROOM 8 ROUTINES PRIOR TO THEIR DANCE.
Once the show starts, dancers in the change room will remain with an assigned volunteer until it
is their turn to dance. The volunteer takes them to the stage for their performance and returns
them to the change room. Dancers can be picked up anytime after they dance from the change
room.
At the end of the second show we do a curtain call for all dancers, where we hand out special
awards and acknowledge achievements throughout the year. It is nice if all dancers are able to
be present. We ask that all dancers in the audience come back to the change room to line up for
the curtain call 6 routines prior to the end of the show. At the end of the closing remarks for the
second show, we ask that all dancers remain on the stage until their parents come to collect them.

RECITAL CHECK LIST
Below are a few suggestions to pack for dancers on performance days:
•
•
•
•
•
•
•
•
•
Water bottle(s)
Costume(s) and all accessories (it is good to have a checklist of all costumes)
Make-up (include a mirror)
All dance shoes
Hair supplies (Bobby pins, elastics, hair spray etc.)
Nut free snacks
All tights (an extra pair in case of tears is a good idea)
Something to wear over costumes before and after performing
Quiet activities to do in the change room (eg. Coloring books)
MAKE-UP
Make up is not mandatory however makes for a special day. Cover up prevents shine under the
lights; blush, lipstick and eye shadow really help to enhance features on stage. Older students
should also wear eyeliner and mascara or false eyelashes. No underwear is to be worn under any
costumes as it is visible to the audience and causes bulky lines; tights are worn in place of
underwear. Please ensure that costumes, tights are in good repair for the show.
COSTUME CARE
It is important that you remember to bring with you all pieces to your costume including
accessories, shoes and tights (an extra pair of tights in case of a tear is always a good idea). It is
also very important that you remember to put all pieces of your costume back in your costume
bag once you change so you do not end up leaving any pieces at the hall. Anything left behind
after the first show will be collected and brought to the canteen table for the next show. If
anything is left behind at the end of the evening show, we will bring it back to the studio and put
in the lost and found bin.
TIGHTS, SHOES AND HAIR STYLES
There is a list of shoes, tights, and hair styles required for each routine posted on the information
board at the studio, as well on the website under the recital tab (located in the members only
section of the website). If you do not have a log in, please email me and I will create one for
you. Please check this information so you have the proper tights, shoes and hairstyles for each
routine. Please ask any questions if you are unsure.

THEATRE RULES AND ETIQUETTE
1. No parents are allowed backstage unless you are a volunteer with a volunteer pass.
2. No parents are allowed in the change room unless you have a change room pass. It is
important that we keep order in the change room so parents should only be in the change
room while changing their dancer and then return to their seats immediately after.
3. Dancers can be picked up by a parent to go into the audience if you purchase a reduced
price ticket for your dancer. Dancers that choose to watch the show MUST be in the
change room 8 numbers before their time to dance, ready to perform.
4. The use of flash photography and video cameras are NOT permitted during the
performance for the safety of the dancers and the comfort of those around them. We do
have a professional videographer to record the show and DVDs can be purchased at the
show.
5. Please turn off all cell phones during the performances.
6. As a courtesy of all the performers and the other audience members, please do not enter
and exit the theatre during the performances. If you need to leave to change your child
please do so between numbers.
7. Refrain from talking during the performances, as this is distracting to the performers and
audience members.

DANCE YEARBOOK
The Rhythm Dance Center Yearbook has been a popular highlight for all dancers at the studio in
past years and we will again be offering the RDC Yearbook. This is a great opportunity for
dancers to have a book filled with memories made throughout the year of dancing!!! This is a
hardcover yearbook that has pictures of all the events the studio has attended and photos taken
around the studio. You will be able to customize 2 pages of your personal yearbook free of
charge if you wish, by uploading your own photos taken. You are also able to go online and sign
or leave messages to be printed in your fellow dancer’s books. This is a wonderful way of
capturing the year’s highlights in this fabulous book.
Please visit www.treering.com for more information. If you purchased a book in a previous
year, you can simply log onto your account to begin uploading your photos. If you are new to
Treering, go to “create an account” and enter the passcode below. Here you will be able to
