CASES21 Student Data Transfer May 2016 CASES21 is being enhanced to include new functionality for transferring student information between government schools. The changes will include the ability to enter and transfer additional student wellbeing, welfare and legal data, as well as information about learning support, general skills and teacher recommendations. The information will be available in a newly designed Student Information Full Details report. What is changing? CASES21 (v57) will include new data entry screens, a Student Information Full Details report, and the ability to transfer student data to another government school. Parents will no longer need to complete a new enrolment form each time their child moves to another government school as the data will be transferred with their child. Why are these changes being made? The 2015 VAGO Report on Education Transitions contained a number of recommendations to improve student transitions, including that the Department develop a suite of resources to support schools to transition middle years’ students, specifically: • • Clear advice to schools on the use and disclosure of children’s information and data A standardised minimum set of data for transitioning students. In response, the Department agreed to: • Undertake work on a new transfer policy and guidelines for all student transfers, including transitions between Year 6 and Year 7. When can schools start using the new CASES21 enhancements? From July 2016, when a student transfers to another government school, the option to use the enhanced version of the CASES21 Student Data Transfer function will be available to all schools. It is anticipated that refinements will be made over subsequent CASES21 updates prior to the full implementation in 2017. From July 2017, all schools will be expected to use the enhanced functionality of CASES21, including the additional risk/support/ achievement fields if applicable, when transferring a student from one government school to another. How will these changes benefit schools and students? • The data entry process will align with current student transfer policy/requirements. • There will be secure, consistent and efficient transfer of standardised student information across all government schools. • Student duty-of-care and risk obligations will be met. • Transferred data will be consistent with privacy legislation. • There will be a substantial reduction in administrative time required of secondary schools to update CASES21 with new student data.
