Catholic Youth Council-Sports Officials Association Beginning with the fall sports for 2014, the CYC is requiring paid officials, including paid scorekeepers, to register as a member of the Catholic Youth Council-Sports Officials Association (CYC-SOA). That membership will provide officials with liability insurance. The paid game officials for CYC contests are independent contractors not employees of the St. Louis Archdiocese. This means they are not covered by the liability insurance provided to paid employees of the archdiocese or to volunteers for the CYC program. The game official must register yearly before officiating CYC games in that year. (For minors, the registration is performed by a parent/guardian.) The yearly time frame starts with the Fall sports. The registration fee for the 2014-2015 season (8/1/2014-7/31/2015) is $5. It is highly recommended that paid game assignors and schedulers register also. Game official assignors should not assign anyone not registered in the CYC-SOA for the current season. If the game assignor uses someone who is not a current member of the CYC-SOA, then he/she would be responsible for any liability. This registration is for the CYC-SOA only. It DOES NOT replace any of the EXISTING District procedures to become available to officiate games. An official insured via another association IS REQUIRED to register in the CYC-SOA. The list of all game officials and information in the system is accessible by the CYC. The list of all game officials registering for a district and information in the system is accessible by the District Chairman. The list will be used by the people who assign the game officials. The list of game officials registering for a primary parish will be accessible by a Parish System Administrator. An official must be at least 12 years old to work a CYC game. An official who is age 18 or above and out of high school should register as an adult. This list provides an opportunity to provide Parish/School Child Safety Coordinators with a list of participants in the CYC program so the requirements for child safety can be confirmed. The emphasis is getting officials registered so they are insured. The CYC is using Sports Signup (SSU) which is designed to register players and teams so some of the labeling on screens may appear odd. (For example, game officials are registering as PLAYERS.) The ability to go back and update some of the sports-related information is not available currently. We are ONLY using this registration process to produce a list of game officials who have registered in the CYC-SOA and thus are insured. Click on the following web address to begin the registration process. If you are in SSU already, then you do not need to create an account and other demographics do not need to be re-keyed. The District and primary parish/school where a game official works will be indicated as well as the sports of interest to the game official. In the comment section, please indicate other parishes where the official may work and separate the list by commas. Do not use the comment section for anything else. If there are multiple personnel with the same name (e.g., parent and child), please indicate a nick name to distinguish them. http://www.sportssignup.com/Catholic-Youth-Council-Sports-Officials-Association-Online-Registration.start Confirmation of the registration is provided in an email. Click on the area at the top labeled “Click Here to Login / Register”. Click on Create an Account appearing on the bottom of this screen. Complete this screen for the adult managing the account and click on Create User. This can be an adult game official or the parent/guardian for one or more game officials. This has a password re-set feature, but you probably want to make a record of the email address and password so you can access your information again if need be. Complete this information for the adult managing the account and Click on Create an Account. Click on Add an Adult if you want to add another adult official to the list for your family. The adult managing the account does not need to be a game official so you may be adding an adult in the family who is a game official. Any game official who is age 18 or older and out of high school should be registered as an adult in this section. That means this person must comply with the adult child safety criteria for the Archdiocese. In this part of the process, you are indicating demographic information for adults. After the demographics for all adult officials are registered, click on Skip so you can provide the demographics for child referees. Later you will provide the sports-related information required for game officials. If you elected to register another adult official, then complete this page and click on Save. This is where you identify game officials for your family. Click on Register to Play/Participate. DO NOT CLICK ON Apply to Coach/Volunteer. You can use this screen to register adults as game officials that you had indicated earlier or to register child game officials. If you select the adult entered initially, then the following screen appears to collect more information. Complete it and click on Continue. To continue the registration, click Player on the following screen. Then the screen repaints and you are asked to select a district. Select the district where you expect to officiate most and click on Register. On the next screen you will need to indicate the sports that the official wants to work, the primary parish/school (Team) where the official works, and any added parish/schools where the official may work. The selection of sports is informational only and you still need to follow any registration process for that sport as the season is being organized. If you elect to officiate other sports later in the year, there is no need to update this information. Click on Continue when you have completed the screen. The first two fields are required meaning you need to select at least one Sport and the Highest Grade that you want to officiate. You can select other sports (and Highest Grade) in the subsequent fields. The primary parish/school is selected from the pop-up list labeled Team. If you do not want to be associated with a specific parish/school or your parish/school does not appear in the list, then select Unassigned. If you officiate at other CYC entities, then please use the Comment section to list them. Place a comma after each parish/school. So your entry would look like Annunciation, Our Lady of Providence, Seven Holy Founders If you complete this information accurately, then it will be easier to maintain lists for parishes/schools of game officials who are members of the association and are therefore insured. If you end up officiating at other CYC entities and/or for other sports, there is an ID number assigned which documents that you are in compliance. Next you will need to supply Emergency Contact information. Next you will need to click on I Agree for the consent form. If you click on Add a Child, then you will need to complete this screen and then click on Save. Then you will need to select a district and click on Register. Make sure that you click on the District of the primary CYC parish/organization where you officiate. If you are not sure which district that parish is in, districts are listed in the top ribbon banner at http://www.cycstl.net/ . Click on each district to see a list of parishes/organizations in that district. After you register an adult or child, this screen is presented. You can Checkout (and therefore pay the fee which is $5/game official) or add another game official. Next you indicate the method of payment. Click on your choice and click on Continue. If you click on Check you get the following screen. If you click on Edit, then this screen appears and you can remove an official from the list. Otherwise, if you had clicked on Place Order you would see this screen. When you press Place Order, the following screen appears with directions on mailing the check. Please do so immediately to avoid the overhead of worrying about delinquent checks. Press Done after you have reviewed this screen as needed. Make sure that you record the Reference Number. You can use ALT PrtScn to create a copy of the screen in your paste buffer and then you can copy it into Word as a record. An email confirmation of your registration is received. After you click on Done, the following screen appears. If you have decided to pay by Credit Card rather than by check, you can click on Pay by Credit Card which appears on the right. If you had elected to pay by credit card either earlier or in the preceding screen, then the following screen appears to handle the payment by credit card. After supplying the requested information, click on Continue. The last screen you receive will be titled “Payment Successful” An email confirmation of your registration will be sent.
