B.TotalMail return forms All TotalMail forms work in one direction only – either from the dispatch office to the tractor, or from the tractor to the dispatch office. Forms that are sent from the tractor are called return forms. At installation, TotalMail loads several return forms into each driver’s MCT. Drivers can use these forms to communicate with the dispatch office, and in some cases automatically update TMWSuite information. Note: This chapter describes the default return forms. The following return forms are included in the standard TotalMail circle of service: Begin Trip This form indicates the driver has departed the last stop on the previous trip and is heading to the shipper on the current trip segment. Arrive At First Shipper The driver typically sends this form upon arrival at the shipper on the current trip segment. Depart First Shipper The driver typically sends this form upon leaving the shipper on the current trip segment. Arrive At Extra Stop The driver typically sends this form upon arrival at a stop that is not either the shipper or consignee on the current trip segment. Unload At Extra Stop The driver typically sends this form after delivering cargo and departing a stop that is not the consignee on the current trip segment. Pickup At Extra Stop The driver typically sends this form after picking up cargo and departing a stop that is not the shipper on the current trip segment. Arrive At Final Consignee The driver typically sends this form upon arrival at the consignee on the current trip segment. Empty At Final Consignee The driver typically sends this form upon unloading at the consignee on the current trip segment. Other return forms that are not part of the standard TotalMail circle of service are also loaded on each MCT: Driver Hours of Service The driver sends this form to log driving, on-duty, and sleeping hours. Customer Info Request The driver sends this form to request information about a company. Breakdown/Trouble The driver sends this form to report information on a problem that has occurred. Accident The driver sends this form to report information on an accident. Decline Trip Typically, the Decline Trip form is only used in situations where the driver has the option of declining a load, e.g., a third-party carrier or owner operator. The driver typically sends this form in response to a Pre Assignment forward form. Email From Truck The driver sends this form to send messages to a specific individual rather than the entire dispatch group. End Deadhead Move The driver sends this form to indicate the end of an empty move that is not associated with an order. Note: A typical layout for each default return form will be shown in the following sections. Although the form layout will vary between MCT devices, the same fields will be used on all devices. This form indicates the driver has departed the last stop on the previous trip segment and is heading to the shipper on the current trip segment: The driver makes entries in the following fields: Order The order number for the trip. The driver must enter an order number to send the form. Trailer The trailer ID of the trailer. Notes: 1. If no trailer ID is entered, TMWSuite will assume the trailer associated with the tractor at its last known location is still associated with that tractor. 2. To indicate the tractor is traveling without a trailer, the driver should type the word NONE in the Trailer field. When received by TotalMail, the Begin Trip form: Updates the order status from Dispatched to Started. Inserts an empty move at the start of the current trip segment, if necessary. Records the arrival and departure dates and times for the empty move. Actualizes the arrival and departure of the empty move. Records the weight, pieces, and volume of items loaded at the shipper. Records the trailer number. Actualizes the departure from the shipper. Actualizes the departure at the consignee. Updates the order status to Completed, if all trip segments on the order have been completed. TMW Systems, Inc. 684078119 6/2005 B.11 TotalMail Basics Guide TotalMail return forms Sending the Driver Hours Of Service form The driver sends the Driver Hours of Service form to log driving, on-duty, and sleeping hours: The driver makes entries in the following fields: Date of Service The date for the hours of service reported on the form. Sleeper The number of sleeping hours for the day. On Duty – Driving The number of on duty hours spent driving for the day. On Duty – Not Driving The number of on duty hours not spent driving for the day. When received by TotalMail, the Driver Hours of Service form updates the driver’s hour logs. Note: The form also calculates the driver’s off duty time for the Date of Service by adding the values in the form’s other three fields and subtracting the sum from 24. Sending the Customer Info Request form The driver sends the Customer Info Request form to request information about a company: The driver makes an entry in the Company field: Company The ID of the company for the driver’s request. When it receives the Customer Info Request form, TotalMail automatically responds with the Customer Info Reply form for the Company ID specified in the Company field. Need Help This field indicates whether the driver needs assistance. I Am At Milemarker If known, the mile marker nearest the driver’s current location. On (Road and Direction) If known, the road name and direction of travel. Delivery Will Be Late This field indicates whether the driver expects the delivery will be late due to the problem. Remarks Additional comments on the problem. No action is initiated automatically when the Breakdown/Trouble form is received by TotalMail. The available options are: Fatal Serious Minor None Shipper The company ID of the shipper on the current trip segment. Is Cargo Hazardous Material This field indicates whether the cargo involved in the accident is hazardous. Was There Any Product Release This field indicates whether any of the cargo was released due to the accident. Were Police At The Scene This field indicates whether police were summoned to the scene of the accident. Were You Cited This field indicates whether the driver received a citation from the police for the accident. What Dept And Address This field indicates the name and location of the police department. Describe Accident These fields describe the accident. No action is initiated automatically when the Accident form is received by TotalMail. Sending the Decline Trip form Typically, the Decline Trip form is only used in situations where the driver has the option of declining a load, e.g., a third-party carrier or owner operator. The driver typically sends the Decline Trip form in response to a Pre Assignment forward form: The driver makes an entry in the Declining Order field: Declining Order The order number for the trip that is being declined. The driver must enter an order number to send the form. When received by TotalMail, the Decline Trip form: Removes all resources from the trip. Changes the order status to Available. To City The city and state of the destination point for the requested route. When it receives the Street Route Info Request form, TotalMail automatically sends a route request to ALK. TotalMail places the route information in the Street Route Info Reply form, and sends the form to the MCT that sent the Street Route Info Request form.
