Pre-requisites: Microsoft Project Professional 2013 desktop version and Project Online account in test
and prod
Steps: To setup the status update rule for new PM’s and adding the Status Manager rights for PM’s in
their respective Projects.
Setting up the status update rule will help the status manager in not getting the notifications when
Timesheets are submitted by employee, before the details go to Timesheet Manager. Status gets
updated automatically without having the status Manager to get notified all the time.
Setting up the Status Update Rule
1. Go to Approval Tab in Microsoft Project Online 2013
2. Select Manage Rules in the Approvals Tab
3. Select New in the Rules Tab
4. Enter Name as ‘Status Update Rule’ and check the two check boxes as shown below .Rest of the
fields stays as default
5. Click Save
Note: In case PM’s are not available to do it, (Project Specialists/Administrators) can act as delegates on
their behalf and complete the process.
Takeover as Status Manager in existing projects
1. Open your respective Project File in Microsoft Project Professional.
2. Insert a new column before Task Name and select Status Manager from the drop down
available.
3. In the first row, select your name from the drop down available.
4. Expand all the tabs: Go to VIEW  select Outline  All Subtasks.
5. After expanding all the tasks, select the first column showing your name, change it till the end as
shown in the screenshot. This will help you to change the whole column at once.
6. Click Publish.
7. Select Check In.
