Appendix 4 – Scheduling and Securing Fields and Referees for Home Games
NCSA Referee and Game Field Assignor Sue Benko, [email protected],
cell no. 856-0623, emergency only.
Securing Fields for Home Games
 When you receive the league schedule, contact all other managers of teams sharing the same coach to
identify any overlapping home game days. Agree on preferred games times to minimize conflicts for
the coach.
 E-mail the NCSA Referee and Game Field Assignor with:
- Dates of home games
- Three preferred times for each game
- Any coaching conflicts so they can be considered when assigning fields and game times
 Sunday games will be scheduled between 12 noon and 6 pm (daylight permitting). Saturday travel
games will be scheduled based on field availability.
 Your game times are confirmed once the Referee and Game Field Assignor e-mails you with your game
times and fields.
 Referees will be assigned by the Referee and Game Field Assignor and will be on the field at the
scheduled time.
 Please notify your opposing team managers, your team parents, and coaches of the game schedule as
soon as it is known.
 Advise the manager of the opposing team of time of the game, location, directions to the field
(directions available on NCSA website), and field hotline number (594-3610) in case of inclement
weather. It is also advisable to exchange cell phone numbers and to confirm the jersey colors of the
visiting team to avoid color conflicts.
Changing Assigned Game Time or Game Date
 If a change to your game time and/or game date is needed after the master schedule of league game field
assignments is set, contact the Referee and Game Field Assignor at least three days before the date of
the game change.
 The Referee and Game Field Assignor will then confirm your request for the time and/or date change.
 If you fail to notify the Referee and Game Field Assignor of game changes, your team may have not
have referees at the game or may need to pay fees to the referees who arrive for the game.
Securing Fields for Connecticut Cup Games at Home
 As soon as you receive confirmation from the CJSA that your team will have a Connecticut Cup game
at home, contact the Referee and Game Field Assignor for a field assignment, no later than Monday
noon before the Saturday Connecticut Cup game.
 The Referee and Game Field Assignor will ensure a CJSA-approved referee is assigned to the
Connecticut Cup game.
Cancellation of Games
 Check the field hotline at 203-594-3610 for the field status prior to the game.
 If the field is closed due to weather condition, inform the manager of the opposing team immediately.
 If a game is cancelled for any reason other than weather (as directed by the New Canaan Parks and
Recreation’s field hotline) within 24 hours of scheduled time, the referees must be paid.
 If the game is cancelled between 4 and 24 hours prior to game time, notify the Referee and Game Field
Assignor and he will arrange for payment to the referees.
NEW CANAAN SOCCER ASSOCIATION
NYA 799364.1


team must come to the field and pay the referees.

Appendix 11 – Parent Team Jobs
SIDELINE ASSISTANT – One parent will act as Sideline Assistant to the professional coach at games. The primary
role is to track playing time for the professional coach and to maintain order on the bench so the professional coach can
focus on the game. It is possible you will be asked to warm up a team or possibly start a game if the professional coach
is unable to get to the start of a game due to his obligation to his other NCSA team. In the event he is unable to attend
the game at all, a substitute professional coach will be supplied by the respective coaching organization. All parents
wishing to be considered for this role need to submit an application and CJSA Disclosure form (available online at
www.newcanaansoccer.org) to the Registrar. The Director of Coaching will make the final selection and the selected
candidates will remain in this position for the Fall and Spring seasons unless a change is warranted.
TEAM MANAGER - Coordinates all team activities, acts as liaison with coaches, parents, and the NCSA age-group
coordinator. Supplies field directions to team members and visiting teams. Secures field for home games.
Communicates with opposing team managers to coordinate game times for away games. Coordinates any
paperwork required for player/coaches passes, rosters and permission to travel forms. Ensures that player passes,
rosters, medical kit and Medical Release forms are brought to each game. Attends district age-group meeting in
Fall and Spring seasons.
TREASURER - Collects all fees from team parents for tournaments, trainers, coach, team parties, etc. and remits
payment to the proper person. Obtains reimbursement of fees from the NCSA Treasurer on behalf of the team.
Pays or ensures that referees are paid prior to each game.
SAFETY COORDINATOR – Creates a rotating schedule of families to ensure that there is an adult in addition to the
coach at all practices. This individual is not expected to help with practice but rather is available should a player
need assistance and remains at the field until the last child is picked up. Also, safety monitors are asked to refrain
from bringing dogs or other pets to practices.
REGISTRAR – Directs team parents to NCSA website for on-line registration and helps to field any questions or
issues relating to on-line registration. Also, for Spring registration, gathers necessary registration paperwork from
all team members, ensures they are complete and delivers to the NCSA Age Group Coordinator by the deadline.
TOURNAMENT COORDINATOR – Works with the NCSA Tournament Director to select appropriate tournaments
for the team. Completes registration paperwork. Registers team. Notifies Age Group Coordinator to secure valid
roster. Provides tournament game schedule, directions, and lodging arrangements, if appropriate.
EQUIPMENT & PATCHES/FRISBEES – Works with NCSA Equipment Manager to procure necessary equipment
for season. Equipment needs for U-9 and U-10 may vary from the U-11 and older teams. Secure patches and
Frisbee’s from Peter Trager for distribution at tournaments. Brings corner flags to all home games.
PHONE-TREE - Sets up e-mail list, cell phone and phone trees; assists manager in key communications, e.g. bad
weather days.
PUBLICITY - Prepares/submits weekly game write-ups to the Advertiser. Arranges for team photographs, if desired.
REFRESHMENTS –NCSA is discouraging team snacks. Rather, only ice, and if desired, orange slices are allowed at
games. Coordinates refreshments for half time and/or post game by assigning each family to bring the ice to the game
and to bring garbage bags for clean up.
TEAM PARTY – Plans and organizes the end-of-season parties. Requires several parents. Can split Fall and Spring
seasons.
GIFTS - Purchases gifts for coaches and manager.
Note:
Some of the team jobs may require the efforts of two or more families. Each family should volunteer to share in the
responsibility of at least one of the listed jobs. The team may identify any other parent jobs necessary to the efficient
management of the team. Jobs are for both the Fall and Spring seasons.
