A guide to using WebEx
WebEx is an online meeting system using your PC /Mac and your phone so that you can meet with
other people without having to travel. The meeting can be recorded so that presentations can be
watched again and shared with others. If you don’t feel confident installing programmes or checking
your computer’s system requirements you may want to send this document to your IT department
asking them to go through section 1 and section 3 for you. Section 2 is just for the attendee, so
please take a look at it so that you know how to join the meeting.
1. Before using WebEx
Before using WebEx, check whether your computer has the right system requirements and also
whether your organisation’s IT set up will allow you to access WebEx.

System Requirements
Windows support
 Intel Core2 Duo CPU 2.XX GHz or AMD processor. (2 GB of RAM recommended)
 JavaScript and Cookies enabled
 Active X enabled and unblocked for Microsoft Internet Explorer (recommended)
 Java 6.0 or above
You can check your computer’s properties by going to the Start menu and clicking on ‘Computer’
Then click on ‘System properties’:
This is where you will see what kind of processor your computer has:
To find out whether you have Java installed, go to your start menu and type ‘Java’ in the search box,
if you have it installed it will come up as one of the search results. Click on it to open the ‘Java
Control Panel’, where you can see which version you have by clicking on ‘About’.

You may need to restart (close and re-open) your browser to enable the Java installation in your
browser or to restart your computer.
Mac support





Intel processor (512 MB of RAM or more recommended)

Java 6.0 or above
OS X and above with Safari or Firefox browsers
Go to the Finder menu and click on ‘About This Mac’. You can then see some basic information
about your Mac, click on ‘More info…’ and the details of your system will be displayed:
To check that Java is enabled go to your browser preferences. Under the security tab in Preferences
make sure the ‘Enable JavaScript and ‘Allow Java’ boxes are ticked:

You may need to restart (close and re-open) your browser to enable the Java installation in your
browser or to restart your computer.
2. Attending a WebEx
We will send you a WebEx invitation in an email. If you double-click on the calendar file, it will open
as an Outlook appointment which you can accept. This will put the webex in your Outlook calendar
complete with a link to the meeting. You can join the meeting either via the green ‘Join’ button in
the email or by clicking on the link in the calendar appointment.
This will take you to the WebEx site where you need to enter your name and your email address in
the two boxes on the top right of the page. Then click on ‘Join’ to enter the meeting.
The following window will open and now you can see the meeting on screen.
To hear the meeting and be able to contribute click on the ‘Audio Conference’ window.
You are given the option to join the audio conference using the phone or using your computer.
When joining using your phone, you will be provided with a number to call, an access code and an
attendee ID. Please call the telephone number and enter the codes when prompted to do so using
your telephone keypad.
When joining using your computer, please highlight this option in the audio box (as shown in the
diagram above) and a green tick will appear showing that you are automatically connected to audio.
It is highly advisable that when using this option, you use a headset connected to the device. It is
also an option to use the microphone and speaker on your device, however this can affect sound
quality, especially for larger meetings.
3. Playing a recorded WebEx
You may need to download the software to play a WebEx that took place at an earlier date and was
