MEETING NOTES PTA General Meeting Date: Monday, May 8, 2017 Location: BSES Media Room Subject: Monthly General Meeting President Update: Erin Adero Meeting minutes from April 2017 approved. Elections Update: Those running for office: President: Rick McCray and Elizabeth Aviles VP: Heidi Roberts and Carla Sjoholm Secretary: Open Treasurer: Aaron Copsey Communications Chair: Andrea Wilds PTACHC approved extending our PTA elections to June. Christina Lee will start advertising those who are running for the positions after today's meeting and Keep the positions open because someone could show up at the June meeting and run. Voting: Will take place at the next PTA meeting on June 5, 2017. Elizabeth is creating a document for each position that summarizes what each position does and captures it in a consistent manner. Recognition: Christina Lee stood in the pouring rain and gave breakfast gift bags to the bus drivers on Friday of teachers’ appreciation day. Elizabeth has created a Google docs folder where all of the fliers will live so that people can see them anytime and use them for future events. Drama Program Update: Members of the Drama Program were under the impressions that there was a budget for props and costumes. Many parents were told to save their receipts for reimbursement. This was a miscommunication. Props and costumes meetings are held. Parents come up with ideas and there is documentation. Play parents are given a sheet about their kids' role and what they should purchase for the play. Can we add a line item for reimbursement because that is what the props and costume parents thought that we have available? Yes. PTA approved adding ma line item to the budget of $600 for the play for props and coordinated costumes for next year ($300 per play). It varies from play to play as to whether or not the play will be costume or prop heavy or both. Diana Healey (play coordinator) will help oversee and coordinate the expenses and communications with the PTA for next year. PTA does have a scholarship fund available for kids who want to participate but whose parents cannot afford the cost. Do we want to use the same sound system? The company that we used has shown up late both times for the play so that kids didn't have the ability to practice prior to the play. Also, the man who is running the company has very poor customer service. We may want to rent the equipment from a different company for next year’s plays. Props and coordinated costumes costs: Wonka: $295 Lion King: $150 - $200 Dalmatians: $310 Reimbursement for Dalmatians: Parents need to submit their receipts to PTA by June 30 at the latest. That is when the books close. Next school year’s plays: Jungle Book: Fall Cinderella: Spring Administration Update: Principal Hahn Thanks to the PTA, Lisa, and parents for a wonderful staff appreciation week. The teachers and staff felt well loved. Ms. Lopez is with 18 other staff people who are being saluted by the special education group. We had 20 members recognized at Bellows. Variety show was great fun. Bike to School Day is tomorrow, May 9. Donation on the side of school of a new bike rack. Fourth grade participating in Days of Taste next week. Chef comes to school and they work at talking about foods and taste in the mouth, then they go to the farm the next day, and then make a salad from the farm vegetables. May 31 doing the Monster Mash - Kindergarteners draw the monster and the middle school students write a story about the monster. Get to see the pictures and hear the stores in the cafeteria of Mayfield Woods. 5 - 6pm. Field Day - June 1. Also like to salute volunteers with lunch. Move up Day is June 12. Flag Day Celebration on June 14. Bellows has a new Kindergarten teacher, so there will be six K classes next year. 5th graders go to Philly for their class trip next week. Treasurer Update: Donna Hadley Goal: Leave the next PTA in the same position as our current position – with $12,000 in the bank as a reserve. Auditing has to be done before June 30. Teachers need to send in $50 classroom enrichment reimbursements by June 1 o Income Total: $34K o Total Expenses: $32K o Net Income: $2.3K Prefunding of budget: Teacher Breakfast and Playbooks and CDs. We will vote on both of these at the June meeting to make sure they are funded in the summer and ready to spend in September for these events prior to the first PTA meeting. PTA Events: To be on the school calendar, it has to be approved by Principal Hahn. To reserve rooms in the school for events, Elizabeth Aviles approves this. Whoever takes over as VP Activities will reserve rooms for the PTA next year. Audit: Can have three PTA members who do not have signature rights review the budget instead of paying a CPA. Recommendation: Aaron Copsey should be part of this review so that it will give him a preview for next year as Treasurer. VP Activities: Elizabeth Aviles Movie Night this Friday, May 12 - Moana Concessions: Go to Costco, get items, sell them for 50 cents a piece and then store them in the closet for future events. Standardize the menu and the cost for future PTA concessions. If we are going to sell items, we will need some PTA volunteers. We will need a cash box and need to get a check from Donna for petty cash. Need a volunteer coordinator for the PTA next year so that getting volunteers is easier for events and we have a consistent sign up genius process. Remaining restaurant nights: o May 15- Uno's o June 6 – Cheeseburger, Cheeseburger o VP Fundraising: Heidi Roberts Hershey Park tickets were given to the office staff so that people could come in and sign out their tickets this week. The school supplies for next year. Warnette is handling the distribution and Heidi is handling everything up until the delivery. The supplies are more expensive. There are more items on the list. We should be making $5 per kit. They are between $25 and $46 and are brand named products. Heidi will get the flyer out this week and will send out another flyer in 2 weeks. Kindergarten sample is getting delivered in time for Popsicles and Playtime.
