Background
The Tribunals Service and Her Majesty’s Court Service were integrated into a single Agency, Her
Majesty's Courts and Tribunals Service on 1 April 2011. Bringing these two organisations
together has removed duplication in management functions and increased the efficiency of the
administration, which has enabled HMCTS to reduce what it spends away from the front
line substantially.
Consequently, there are high expectations of all staff regardless of the job they do and high
performance is expected from everybody. The organisation is continuously adopting new or better
ways of working to ensure that it focuses on just that which is essential.
An effective courts and tribunals service is fundamental to our democracy, underpinning the rule of
law. This is a unique opportunity to support and enable a major transformation programme, designed
not just to give our courts and tribunals a sustainable and affordable future, but to further improve
how we deliver justice.
The “reform programme”, announced in 2014, will modernise the court estate, updating and replacing
its technology, speeding up and streamlining working practices, refurbishing buildings to reduce
maintenance costs and provide much improved services for service users, especially vulnerable
witnesses and victims. Effective staff engagement at this time of such significant change will be
critical to success; maintaining a positive and lasting connection between HMCTS management and
its staff.
Key purpose of the role
The successful candidate will provide support to a Programme/Portfolio Director within Change
Directorate promoting a quality service. With at least 1 staff member, they will be responsible for
filtering workload, including email and diary management, obtaining and collating information required
for directorate reporting, coordinating sub-department corporate activities and ensure the effective
flow of work between the component parts of the Directorate.

They will also act as secretariat to a number of key forums chaired by the Programme/Portfolio
Director. They will have a track record of fostering and maintaining good relations with a wide range
of people.

Daily management and upkeep of emails – ensuring circulation
across management team
Daily management of diary, including arranging workshops and
meetings as required
Act as gatekeeper and coordinator for requests for information
coming to the Programme/Portfolio Directors office.
Act as secretariat for the Programme/Portfolio Directors
Ensure any communications from other parts of HMCTS or MoJ
are delivered on time and in the appropriate manner.
Provide ad-hoc support as required to the Programme/Portfolio
Directors teams.
Collation of reports and management information
Manage an effective working relationship with the
Programme/Portfolio Director and the directorate’s senior
management team.
Foster and manage effective working relationships with a wide
range of colleagues and stakeholders demonstrating good team
working and communication skills.
Reporting to the Programme/Portfolio Director
Other duties
The post holder is required to work in a flexible way and undertake any other duties reasonably
requested by line management which are commensurate with the grade and level of responsibility of
this post.
