Best Practices Presentation Submission

Best Practice Criteria and Template For
JA More than Money (Year Three)
A key objective of JA More than Money implementation grant from HSBC Holdings plc is to identify Best Practices
for sharing around the world through a web site to be made available to all current and future JA Members and JA
Area Offices implementing this program.
We believe that Best Practices can come from whole processes or even steps within a process, a method of doing
one particular task, a solution to a challenge, or an approach to a larger task or project. A Best Practice may be
about handling things or it may be about working with people.
To qualify for the JA More then Money Best Practices web site, a Best Practice should meet several criteria. The
questions below will help us evaluate all the ideas and select those most likely to meet the needs of our audience
and that fit with the overall objectives. Only the very best submissions will be included on the Best Practices
web site, so please take time to fill out the submission form below. We very much appreciate you taking the
time to provide this information. We will prioritize the Best Practice ideas most likely to have the greatest impact
across the whole JA More than Money program.
When you have completed this template, please return it to Barbara Ulen, [email protected].

BEST PRACTICE TEMPLAGE
Application
What topic does your Best Practice discuss? : Work plan for JA More than Money
program’s implementation.
1. Please provide a brief description of your Best Practice. Clearly define the idea. Explain the
need for the idea, challenge or opportunity it meets, why it was introduced, and current
status.
The work plan is a detailed, sequential and timely description of how JA More than
Money is being implemented. It shows the sequence among activities, the
deliverables and the deadline for completing each activity. Since JAM is running
different programs at the same time, a proper and careful planning is important to
ensure that no deadline is missed.
However, the work plan is affected by external factors. Hence, any changes in
stakeholders’ planning such as colleges having other priorities or volunteers are
unable to teach students are challenges that a work plan encounters. But, a
contingency time is allowed for such situations. A work plan is also affected by
opportunities. For instance, if there are potential colleges who wish to implement JA
More than Money in their classes.
The work plan concept was introduced to ensure that all the deliverables set by JA
Worldwide are met on time and if there is any problem, same is identified well in
advance so as allow finding a sustainable solution. All the activities that are listed in
the work plan are being accomplished according to their respective deadlines. All the
problems have been handled effectively. One of the problems was that teachers
working with prevocational classes were taking longer time to implement the
sessions.
2. A Best Practice should be Strategic. How does this practice support achieving your goals for
the JA More than Money program? If this practice relates to a step within a larger process,
describe how the process as a whole supports your goals.
The work plan for JA More than Money is a segment of the Master Gantt chart of JAM
whereby deadlines and deliverables for each program and event are illustrated. The
work plan helps in keeping JAM on track with regards to deadlines and deliverables. It
also ensures that there are no clashes among programs’ deadlines. If ever, clashes
occur, appropriate timely actions are taken to ensure deadlines are respected.

3. A Best Practice should be Measurable. What were your objectives when you implemented
the practice? How well did this practice meet your objectives? How did you measure the
outcomes? What were the results? What obstacles have you had to overcome?
The objectives when JAM used this practice were:
1. To ensure that deliverables and deadlines of JA More than Money are met.
2. To identify any problem that may occur while implementing the program.
3. To ensure that other programs’ activities do not clash with the activities of JA
More than Money.
This practice proves effective in meeting the objectives. JAM is always on time in
achieving deliverables and completes all the activities within the time limit. Any
problem identified or any potential clashes among activities are sorted out well in
advance before they become urgency.
The outcome of a work plan is measured by checking if all the activities in the work
plan have been accomplished taking into account their respective deadlines.
The results were:
1. All the deadlines were met.
2. Some colleges were unable to run the program due to other priorities and hence,
this problem was tackled as from the beginning and appropriate action was taken
to ensure the targeted youth were reached within the deadline.
3. All programs are running smoothly without disturbing the implementation of other
programs.
The obstacles that JAM had to overcome were:
1. Unexpected changes in some colleges’ time table.
2. Unavailability of HSBC volunteers to teach students..
4. A Best Practice should be Sustainable. How often have you used this practice? How have
the results or the practice evolved over this period of time?
This practice is used for every program and event that JAM organizes to ensure that
all the different aspects and related tasks are taken into consideration.
The practice has evolved positively since it was helpful in planning all the programs
and events for Year 2011. All programs’ targets for 2010 were achieved and in some
sections exceeded. JAM was also invited to present the work plan as a best practice
during a Regional meeting.

5. A Best Practice should be Replicable. What are the Key Success Factors that make this
practice work so well for you? To what do you attribute the ongoing success of this practice?
The Key Success Factors that make this practice work so well are:
1. Good communication prevailing amongst the stakeholders and JAM.
2. A SMARTER (Specific, Measurable, Achievable, Relevant, Timed, Efficient and
Remunerable) way of making the work plan.
3. The proper coordination and organisation of the activities listed in the work plan.
One can have the best project but if it is not well organized and coordinated it will
not be helpful.
The ongoing success of this practice is the involvement of each and every
stakeholder who is involved in JA More than Money. If they did not do their work as
planned, the work plan would have been a failure.
Failing to plan is planning to fail.
