2017 KATHERINE SHOW
Preamble
Katherine Show Day falls on the third Friday of July each year.
The Katherine & District Show Society has control of the Showgrounds from 2nd July. Preparation and setting up will
occur throughout the Showgrounds during this period.
Events on the main arena commence on the Tuesday prior to Show day and continue through to Saturday evening.
Friday and Saturday are the Show Days during which time there will be activities occurring throughout the entire
Showgrounds.
Packing up and departure of exhibitors and stall holders occurs predominantly on the Sunday with vacation of the
grounds occurring by the Tuesday following Show day.
“KDSS” means the Katherine & District Show Society Incorporated.
EOI means Expression of Interest
Contracts for Expressions of Interest may be withdrawn or not awarded at the discretion of KDSS.
The successful contractor will not necessarily have the lowest price but will provide a value for money service that
will comply with the standards expected of KDSS. Please attach any supporting documentation with your application.

Purpose & Scope
The Katherine & District Show Society (referred to as KDSS) is a not for profit organisation and partly relies on the
income from admissions and membership for its successful operation. To this end, it is essential that reliable ticket
sellers are used for the sale and distribution of the appropriate entry passes (in the form of wristbands). An on-line
ticket selling system has been introduced. Tickets purchased on-line will be exchanged for wristbands at the gates;
this exchange is to be allowed for in the tendered price. It is also for this reason that the people manning the gates
have a working knowledge or capability in the use of IT and scanning equipment as well as cash register operation.

Gate 3, Murphy Street – prepaid ticket entry. This gate is for the purpose of scanning prepaid tickets and
exchanging them for wristbands. There will be no ticket sales at this gate. One person will be required on Friday
from 9am to 3pm approximately.
Requirements
Contractors and staff are required to attend our site induction process.
This can be completed via our induction pack prior to site entry, including a site walk around inspection prior to the
commencement of activities at the grounds.
Contractors are to familiarise themselves with the layout and position of the Katherine Showgrounds and location of
facilities, prior to submitting tenders.
Ticket sellers are required to sell single entry wristbands or collect presold tickets & verify their validity by scanning
and giving Patrons the appropriate wristband. They are not required to control entry to the Showgrounds. Once
customers have bought a wristband, they will be allowed entry by Security. There will be Security personnel at the
gates at all times. Security is responsible for controlling entry to the Showgrounds and for dealing with any
disturbances.
Only ticket sellers are permitted in the ticket sellers’ enclosures. No unauthorised persons are permitted entry,
including children.
Wristbands are to be sold in accordance with the rules of entry. Any disputes regarding entry fees are to be referred
immediately to the KDSS office. Only nominated representatives of KDSS have authorisation to waive or vary
admission fees.
The Contractor is to provide the name of the person who will be in charge by 1st July for the purpose of arranging a
meeting. At this meeting a list of proposed sellers is to be provided with ages and past experience in money handling
(if under 18).
KDSS will provide:
o Float
o Wristbands
o Cash register for the front gate
o Instructions for obtaining extra change
o Collection and distribution of cash throughout the day by security
o UHF radios
o Laptop and scanner for all gates
o Security at all gates
Organisations selling tickets must have Public Liability insurance and insurance covering their workers or volunteers
while they are on duty and travelling to and from duty. The successful applicant will be required to supply proof of
insurance covers in the form of a “Certificate of Currency”.
An agreement between the successful applicant (the Contractor) and KDSS will be entered into and KDSS shall then
inform the Contractor of their nominated representatives and provide contact details. Contractors are to take
instructions only from the nominated persons.
