The incumbent for this position is to act as Chair during their absence. Additionally, the Vice Chair is the pillar of support for all the Directors in the organization. The successful candidate will create, maintain and update the financial budget, and will also be the point of contact for processing all reimbursements for the expenses incurred by the executive team. Job Requirements • Assist in development of Conference and Competition Associates • Create, maintain and update financial budget throughout the year • Create agendas and lead meetings during the absence of the Chair • Act as professional and emotional support for executive committees • Assist Chair with all tasks and ensure he/she is up to date with all departments • Provide ongoing support for all departments and ensure all tasks are running smoothly • Facilitate performance review meetings with executive members who may not be completing their tasks by appointed deadline or missing meetings consecutively • Create a detailed timeline for each department at the beginning of the year and hold each department accountable for completing those tasks on time • Maintain constant communication with CUS and UBC Finance Club to ensure quick and efficient reimbursements for the executive team Job Qualifications • High degree of professionalism • Willing to take initiative and to exceed expectations • Having a variety of professional connections is an asset • Strong communications, leadership and interpersonal skills • Experience with managing and organizing a budget to ensure efficiency • Ability to have professional and confidential conversations with team if the need arises 6 Conference Director The Director of Conference plays a crucial role in planning, developing, and executing the gala and conference for PVCC. The successful candidate will work together with the whole team to find industry professionals to attend the event. The Director of Conference will guide, support, and develop Conference Associates as they cooperate to find the venue, negotiate contracts, and plan the full logistics of the event. Job Requirements • Plan dates, strategize and execute the gala and conference • Networking and securing keynote and workshop speakers • Work closely with the Chair to ensure that all dates do not clash with each other • Delegate tasks and responsibilities to Conference Associates accordingly to work efficiently • Guide, support, and develop Conference Associates with his or her tasks in the organization • Network and maintain constant communication with hotel venues to ensure a finalized and crystalized plan for the conference • Liaise with hotels and venues to ensure that the team has a location to host the competitions and gala • Planning and hosting industry night prior to conference Job Qualifications • Must have event planning experience • Seeking leaders that are detail oriented • Ability to handle logistics of large scale events • Ability to adapt to changing situations and thinking on the spot • Ability to lead and foster growth for the Conference Associates throughout the year • Must have experience in communicating with professionals (negotiations with hotel venues, etc.) 7 Conference Associate The Conference Associate plays a crucial role in planning, developing, and executing the gala and conference for PVCC. The successful candidate will work together with the whole team to find industry professionals to attend the event. The Conference Associate, along with the Director of Conference, find the venue, negotiate contracts, and plan the full logistics of the event. The successful candidate will contact and obtain industry professionals of varying positions to be on the judging panel for every round of the competitions. The Director of Competition will work closely with the Chair, Vice Chair, as well as the Director of Corporate Relations to ensure that the right professionals are chosen for the right round of the competitions. The successful candidate will communicate closely with all departments to ensure that all financial and non-financial needs are attempted to be met. Job Requirements • Contact past and potential corporate sponsors via different channels (email, phone, in-person meeting) in order to obtain and secure sponsorship for the year • Work closely with the Conference and Competition Director(s) in order to understand their needs • Ensure that sponsorship cheques are collected from sponsors and are deposited into the correct PVCC accounts • Attend general meetings, scheduled booth duties, and events whenever possible • Research potential companies for sponsorship and/or collaborative opportunities • Work closely with all stakeholders to ensure that their interests and needs are met • Collaborate with internal and external stakeholders for sponsorship and other opportunities • Keep detailed documentation regarding external communication and relationships with contacts Job Qualifications • High degree of professionalism • Experience with cold-calling is an asset • Strong communications and interpersonal skills • Willing to take initiative and to exceed expectations • Having a variety of professional connections is an asset • Experience in corporate relations, including sponsorship, is an asset • Responds to external communications in a timely and professional manner • Ability to build connections with industry professionals and external organizations 11 Marketing Director The Director of Marketing plays an integral role within PVCC. Actively updating and engaging PVCC audience with important dates regarding the conference and the competition are part of the responsibilities. The incumbent will work closely with every person in the team to generate buzz and attract potential sponsors, competitors, and attendees to the event. Job Requirements • Actively maintain and create content for PVCC’s marketing channels and brand • Write and lead marketing meeting minutes • Create promotional content during event campaigns (includes PVCC conference, competitions, and workshops) • Responsible for managing and updating website • Guide, support, and develop the Marketing Associate (review designs and artistic content) • Increase member and competitor engagement by creating and engaging campaigns • Work with the Director of Corporate Relations and partnered companies to integrate marketing material with PVCC • Support the entire PVCC team on key dates (competition days, conference day, etc.) Job Qualifications • High degree of professionalism • Experience with cold-calling is an asset • Strong communications and interpersonal skills • Willing to take initiative and to exceed expectations • Having a variety of professional connections is an asset • Experience with Adobe Photoshop, Illustrator, and other design applications is highly preferred • Experience with web design (wix, squarespace, wordpress) is an asset • Experience in corporate relations, including sponsorship, is an asset • Responds to external communications in a timely and professional manner • Ability to build connections with industry professionals and external organizations 12 Marketing Associate The Marketing Associate will be working closely with the Marketing Director to execute on specific branding and promotions tactics. The successful candidate will be creating original yet professional content to exemplify the PVCC brand across social media, newsletters, and news outlets. Job Requirements • Actively maintaining and creating content for PVCC’s marketing channels and brand (Predominantly creation of Facebook events and materials) • Creating promotional content during event campaigns - PVCC conference, competitions, workshops • Increase member and competitor engagement by creating engaging and (out of the box) campaigns • Working cooperatively with the Marketing team • Occasionally helping out Conference and Competition teams when additional hands are needed • Support the entire PVCC team on event days • Booth for events Job Qualifications • Proficient in Adobe Photoshop, Illustrator, and other design applications • Familiar with various marketing platforms - Facebook, Twitter, Instagram • Organized and creative in marketing strategies • Strong Writing Abilities • Experience with web design (wix, squarespace, wordpress) is an asset • Previous experience in a marketing position is an asset • Photography or videography skills are definitely a plus! 13 Internal Associate The Internal Associate maintains and organizes the cloud files for PVCC. The incumbent will have to ensure that the team can easily understand where to find documents and files in the Google Drive. Additionally, the Internal Associate is expected to attend all meetings and take minutes for the meetings. The successful candidate is also expected to help and support any department that requires additional assistance with their tasks.
