Information Guide - Softball Saskatchewan

This document will give you a step by step on how to import your player data to the Softball
Saskatchewan system.
1. Use your username that has been sent to you (should be your email) and your password
to log in at the following link.

2. Click the Importer button on the left side menu
3. You should now see an Adult version and a Youth version of your association. Click the
Registration button for the type of registration you want to upload.
NOTE: it is recommended that you only do your upload once all your registrations are
complete. This way you only need to do this once. If you do need to upload more than
once make sure you don’t have the same players or it will create duplicates.
4. This should open up a new tab with the window below. Choose an excel format, it is
recommended to use xlsx.
NOTE if you don’t have excel you can use Google docs which is free. You can click the
Get Started on this link if you don’t already have Google docs

5. Click the Get Template Button. This will download the template to your browser’s
downloads. If you are using Chrome it will look something like this.
6. This “How To” document will cover 2 options when it comes to filling out your
spreadsheet. Option A will cover Google docs, Option B will cover Microsoft Excel.
Regardless of what option you choose, the fields will be the same and you need to know
what they correspond to. Also it is important that you don’t change the heading or the
ordering on the templates. Please adjust your data so that it matches the template
headers as everyone could have different data structures.
For the Youth Template (the number in parenthesis is the maximum length for the field)
A Email ­ this is the parent’s email
B First Name ­ this is the parent’s first name
C Last Name ­ this is the parent’s last name
D Password ­ this you can leave blank
E Family Member Email ­ this is an optional email for the youth player
F Family Member First Name ­ this is the first name of the youth player
G Family Member Last Name ­ this is the last name of the youth player
H Primary Phone – the primary phone (ex 555-555-5555)
I Mailing Address – the mailing address
J City/Town – the city/town for the address
K Province – the province has a drop down list with valid provinces
L Postal Code – the postal code (ex L3T 2G2)
M Birth Date – this is the youth players birth date in mm/dd/yyyy format
N Gender – M or F
O Aboriginal Decent declaration - optional
P Player type – NOTE this must match an option exactly there is a drop down

Q Team name – the team name
R Team type – NOTE this must match an option exactly there is a drop down
Slow Pitch
Fast Pitch
S City/Town – the city/town for the team
T District – your district number 1-8
U Percentage Paid – this can be left blank

Option A.
If you want to use Google docs then open a new spreadsheet in Google docs. Click file and
then choose import from the drop down. This will open up the Import file screen below. Choose
the Upload tab. You can simply click and hold the template from the bottom left hand corner
and drag it into the box or if you have saved the file to your drive click “select file from your
computer”. You will have the option to open a new one or replace the existing on (either works)
Fill out your spreadsheet. When you are done and ready to save, choose file then Download as
then choose Microsoft Excel (xlsx)
Option B.
If you have Microsoft Excel you can open the file that you downloaded. When it opens you will
need to Enable Editing in order to fill out your spreadsheet. Fill out your spreadsheet and save.
7. Once you have your template saved you are ready to upload and check to see if it
passes validation. Click the Choose File and then find your file on your computer. Now
click Validate Template. It will either Fail or Pass.
NOTE: it is recommended that you only do your upload once all your registrations are
complete. This way you only need to do this once. If you do need to upload more than
once make sure you don’t have the same players or it will create duplicates.
8. If Validation Fails you won’t be able to Import until you fix the incorrect data. Any
invalid data will be highlighted for you in red. Go back and adjust your template with any
necessary changes, SAVE, then start step 7. Again.
9. If Validation is Successful you will see the option to Import Template.

Make sure you click the Import Template or your
Data will not be uploaded.
11. Now that you data is uploaded you can go back to this screen and upload the adult or
youth template you didn’t do if needed. You can also click the Home button on the left
which will take you to the summary screen where you can see what you have uploaded.
12. On the summary screen you can click on any of your categories to see the players you
have uploaded.
NOTE please disregard any fees as they do not reflect your fees or necessarily the fees
that Softball Saskatchewan will be invoicing you for.
