Welcome Letter
Dear Potential Student Ministry Volunteer,
I’M SO GLAD YOU’RE INTERESTED AND EXCITED TO WORK WITH OUR STUDENT
MINISTRY IN THIS CAPACITY!
I am always looking for volunteer leaders to serve on our team in the Student Ministry. I believe
that solid ministry is built on relationships between adult staff and students. Relationships are
key to students feeling loved and understanding God’s love in practical ways. This is when real
spiritual growth takes place in a student’s life.
The quality of our volunteer staff is very important. I am looking for men and women who have
a commitment to Christ and a desire to care for students. With the aid of prayer and
consideration, please read the enclosed material. I encourage you take a “Test Drive” and
observe one of our classes or programs before making your decision. Because I place great value
on this ministry, I place great value on our volunteer staff. I want this to be an experience you are
proud to be a part of. I want Volunteer Staff to be around far longer than I am.

STUDENT MINISTRY VISION
Calvary Student Ministry provides a community for all students to worship God, grow through
discipleship, and serve their world.
STUDENT MINISTRY MISSION
Lives changed through Christ in a biblically based community.
MINISTRY DEFINING SCRIPTURE
1 Thessalonians 2:8 ESV -- So, being affectionately desirous of you, we were ready to share with
you not only the gospel of God but also our own selves, because you had become very dear to us.
1 Timothy 4:12 ESV -- Let no one despise you for your youth, but set the believers an example in
speech, in conduct, in love, in faith, in purity.
2 Timothy 4:2 ESV -- preach the word; be ready in season and out of season; reprove, rebuke,
and exhort, with complete patience and teaching.
Proverbs 1:7 ESV -- The fear of the LORD is the beginning of knowledge; fools despise wisdom
and instruction.

LAYERS OF STUDENT MINISTRY
Student Ministry is much more than fun meetings and loud music. For students to become
mature disciples of Jesus Christ, there must be individuals who purposely influence them. The
Student Ministry at Calvary does this through four layers of ministry.
Prayer
We need people to pray for the students who come to Calvary. They come with unique issues
that burden their daily lives; Jesus is the only answer and direction for their lives.
Mentorship
Students need older people to invest in their lives and be willing to supply the godly direction
that 1 and 2 Timothy describe. This is a long-term commitment between one adult and one to
two students.
Special Events
Throughout the year, Student Ministry goes on retreats, mission trips, day trips, and special
activities. We need committed adults to come and work with students as they experience
community.
Core
These are adults who have made a special commitment to be involved on more than one level.
These volunteers lead small groups, teach Sunday school, plan special girls/guys events, etc.
Without these volunteers, the consistent development of Student Ministry would not happen.

5 ESSENTIAL FAITH SKILLS EVERY BELIEVER NEEDS
We’re big believers in thinking with the end in mind - meaning that, in everything we do, we
want to do it thinking about a specific goal. The first step of thinking with the “end” in mind is to
determine what the “end” actually is. These 5 Essential Faith Skills are one of the end goals that
we are always aiming for.
#1 Navigate the Bible
IF YOU WANT TO KNOW GOD BETTER, READ HIS WORD!
Students should begin to develop the habit of spending daily time in God’s Word, learn to locate
and understand content in the Bible, and see God’s Word as a gift.
#2 Personalize Scripture
IF YOU WANT TO KNOW GOD BETTER, MEMORIZE AND APPLY HIS WORD!
Students should begin to identify God’s voice when He speaks to them through His Word and be
able to memorize and apply those portions of Scripture in particular.
#3 Dialogue with God
IF YOU WANT TO KNOW GOD BETTER, TALK TO HIM!
Students should begin to develop the habit of spending daily time with God in prayer and know
what a healthy prayer life (both publicly and privately) looks like.
#4 Share Your Grace Story
IF YOU WANT TO KNOW GOD BETTER, TELL OTHER PEOPLE ABOUT HIM!
Students should feel comfortable engaging in spiritual conversations with others, and be able to
verbalize the story of what God has done in their lives through grace.

#5 Worship with Your Life
IF YOU WANT TO KNOW GOD BETTER, GIVE BACK TO HIM!
Students should understand that worship is a daily habit of love and service to God and it doesn’t
just happen through music.
We focus on one Faith Skill every month. The 5 Essential Faith Skills aren’t usually a part of our
large-group teaching time. Instead, it is the job of our Small Group Leaders to help their students
develop these Faith Skills throughout the year, which we help them do by providing lots of
activities and tips each month.
CRASH AND MINISTRY TEAMS
Student Ministry is most effective when students are spiritually maturing through the
discipleship process outlined in scripture. Calvary Student Ministries develops student leaders
through two teams:
CRASH Team
This team consists of students who have applied, been interviewed, prayed over, and selected to
serve a year term. This team is usually between twelve and fifteen high school students who
submit to the Student Pastor for discipleship and accountability. Throughout the ministry year
CRASH students are trained and asked to be servant leaders through their actions.
Ministry Team
This team is open to all students from 6th-12th grade that applies, are interviewed, prayed over,
and selected to serve a year term. This team is directed by one adult and at minimum two

CRASH team students. Students are accountable to the adult volunteer and asked to be servant
leaders as they lead their piers.
MIDDLE SCHOOL DISCIPLESHIP PLAN
During middle school, students are transitioning from a concrete psychology to a more abstract
understanding of how they can interact with the world. In parallel with their psychology, a
student’s worldview is growing rapidly, and biblical discipleship helps to build a firm foundation
for future growth. At Calvary Baptist, we accomplish this through weekly experiences on
Sunday morning and Wednesday night.
Sunday School
Sunday morning’s discipleship is focused on understanding the Bible as an interconnected story
of God’s forgiveness of sin and salvation through Jesus Christ. Students understand this through
learning about the books of the Bible, key themes, and important characters. This is a 3-year
rotation with breaks for summer studies and holiday emphasis. The following is the scope and

Grapple (Weekly Wednesday Night)
Grapple discipleship’s focus is on the transitioning psychology of middle school students. A
student’s choices are becoming less dependent on concrete understanding and reliant on abstract
feelings and thought. Grapple is designed to help students “grapple” with life issues of faith,
culture, world issues, friends, and family. These are the main themes through the curriculum:

HIGH SCHOOL DISCIPLESHIP PLAN
High school students are attacked spiritually, emotionally, and culturally each day. The
temptation of this world is very difficult to overcome and many never see the need to make Jesus
the leader of their lives. With this in mind, High School Ministry is committed to equipping
students to overcome the world and be humble, pure, and committed followers of Jesus. We do
this through our Sunday morning classes, Sunday night “621” youth group, and Wednesday

night small group Bible studies. Each weekly program is oriented around small group
relationships with one adult and 8-10 students.
Sunday School
Sunday classes are oriented around major biblical themes that translate to practical application
for high school students. We utilize the Live Curriculum, have a four year rotation and a
teaching team rotates the master teacher responsibilities. The themes are:

621 Youth Group
On Sunday nights, 9-12th grade students meet in the Student Center for “621.” This represents
two things. First, Matthew 6:21 says, “Wherever your treasure is, so there is your heart also.”
Second, we begin our evening services at 6:21 pm. In this time of meeting we hope to provide
students with the opportunity to worship God, develop relationships, and strengthen their walk
with Christ. The teaching emphasis ranges from “hot” topics to current cultural events.
Regardless of the subject, biblical teaching is applied to practical application that students can
practice weekly wherever they are.
Wednesday Night “DIG” Small Group Bible Studies
In addition to Sunday nights, high school students also meet on Wednesday nights from 6:458:15 pm. This is a time for the guys and girls to separate and focus on gender relevant topics.
STUDENT MINISTRY METRICS
Volunteers meet regularly with student leaders to evaluate the spiritual maturity of individuals
and overall ministry according to scriptural guidelines. The Student Pastor and volunteers
regularly meet to pray for God’s direction, plan future emphasis, correct students, and strategize
future growth. These activities are measured by a scriptural standard found in 1 Timothy 4:12
and 2 Thessalonians 2:8.

VOLUNTEER GUIDELINES
Our desire at Calvary Baptist Church is to draw people to Jesus. We take our responsibility to
care for students seriously. These guidelines are intended to provide a safe and nurturing
environment where students can come to a growing relationship with Jesus Christ.
It’s important for volunteers who work with students to see themselves as partners with parents,
seeking to provide quality instruction and care in the ministries and programs of our church. Our
guidelines are designed to protect and promote spiritual faith formation for each child (and each
adult volunteer) involved in Student Ministries.
In order to serve, it is important that the following statements describe your character as a
Christian who desires to serve others:

I have made a commitment to Jesus Christ as my Lord. 
I will serve in harmony with the policies and statement of faith of our church. 
I support the church with my time, money, and loyalty, including participating in the
ministries and worship services on a regular basis.
VOLUNTEER REQUIREMENTS
All volunteers must complete the following procedures before participating in church-sponsored
activities:
1. Complete an application providing personal information, spiritual background, and
references. All references will be checked.

2. Volunteer workers are required to undergo a background check. All information related
to background checks will be held in strictest confidence. Everyone who teaches, helps,
or cares for students must agree to follow these guidelines. They represent minimum
requirements; leaders of individual programs may develop additional guidelines as
appropriate to the ministry setting.
3. The Student Pastor will orient you to the specific area of ministry where you will serve,
as well as help you understand the processes and relationships within that area of
ministry. In addition, the Student Pastor will talk through your ministry position
description so that you understand the duties you’ll fulfill as a volunteer. The goal is to
help you succeed as you give of your time, talents, and gifts to serve others.
STUDENT SECURITY POLICIES
Registration Policy
All student programs are required to have new families complete a Calvary Baptist Church
registration form for each child.
Drop-off Policy
Students should never enter the Student Center without teachers being present in the room.
Students are to wait outside the Student Center. All students will wear a nametag sticker to
identify them. These stickers can be printed from one of the computers at the check-in desks.
Pick-Up Policy
Students 6th grade and older do not need an adult to pick them up from activities.

Open-View Policy
Doors will be open or windows left uncovered so that the view into a classroom remains
unobstructed.
BEHAVIOR EXPECTATIONS AND DISCIPLINE POLICY
Request
Request that a student do a specific thing. Try to avoid “don’ts” and include the solution,
(example: Suzy, you’re talking, and I need you to focus on what the group is doing)
Reseat
Move the student into a seat next to one of the adult leaders.
Remove
If a student is unable to participate in the group, ask him to leave and sit outside the room.
Please notify a parent security team member who will bring the student to the Student Pastor for
a meeting with the student’s parent.
The key is consistency and love. If we begin with consistent discipline, it will not take long for
the students to come around. In all things, we want to communicate love and acceptance. The
student is not “bad” even when his/her behavior may be considered unacceptable.
Appropriate and Inappropriate Touch
Students also need to be assured that if they tell someone about unwanted touch or abuse, they
will be treated with respect, and their story will be taken seriously. Physical touch is important
in developing trusting relationships. Here are guidelines for physical touch:

Always err on the side of safety, especially with the opposite gender.

Stick to “the basics” -- high fives, handshakes, side hugs and fist pounds.

Physical touch should happen in a public space, never in private.

Use your judgment to determine a student’s motive for your touch if consistently asking
for physical touch.
Approved Leadership

All potential leaders must go through an application process.

Approved leaders must complete a New Leader Orientation.

Background checks will be re-run every three years and an updated Student Ministry
application will need to be completed at that time.
Driving

Do not drink alcohol twelve hours prior to driving.

A valid PA driver’s license and car insurance is required.

Follow all traffic rules.
CRISIS PREVENTION AND CIRCUMSTANCES
A Crisis is when…

A student informs you of planning to harm or has been harming himself/herself.
(Ex: suicide, drug abuse, self-injury)

A student informs you of planning to harm or has harmed another person.

A student informs you of physical, emotional or sexual abuse.

You suspect a student is being abused. (Ex. change in behaviors, unbelievable or no
explanation for injuries or poor hygiene)

You suspect a student may be in danger.

In any of the above situations, try to get clear information: name(s) of people involved,
plans, place and date.
Handling A Crisis Situation
1. Notify the Student Pastor immediately should any crisis (past, present or future) arise so
situations are documented and reported.
2. If anyone is or if you suspect that someone is in immediate danger, call 911 immediately.
3. Always take students in crisis seriously. Assume that they are telling the truth.
4. Never make confidentiality promises to students. Do not promise to keep secrets from
parents, pastors and authorities.
5. The Student Pastor will contact the Executive Pastor who will inform the Elders and
church staff.
6. The Student Pastor and volunteer will call Childline Abuse Registry to report incident at:
1-800-932-0313. After calling Childline a formal report will be completed to notify the
Elders.
Steps To Report A Crisis
1. When a student(s) have reported a crisis, you have witnessed a crisis, or when you
suspect a crisis is happening call the Student Pastor who will inform the Child Abuse
Hotline (1-800-932- 0313). Child Abuse Hotline is staffed twenty-four hours per day and
seven days per week.

2. Follow up with student and make sure student is no longer in crisis.
3. Follow up with the situation in writing 48 hours after the phone call.
4. Fill out an incident report.
5. Work with Student Ministry Staff on any other follow up that may be necessary.
EMERGENCY RESPONSE
If a medical emergency should occur, please err on the side of caution and call 911 from your
cell phone. For minor medical issues, please contact the Student Pastor. The Student Pastor will

Fire/Evacuation Procedure
In the event of a fire alarm or other emergency that requires the evacuation of the building,
please follow these steps:
1. Have students line up at the door quietly.
2. Bring your attendance sheet to call role when you arrive to a safe location.
3. Turn off all lights and close all doors/windows. 4. Lead the students to the nearest available exit (each class has two (2) possible routes for
exit posted by the door).
5. Once you have exited the building, lead the students to the edge of the parking lot along
Green Pond Road and remain there until a clear signal is given to return.
6. Do not release any child to their parents until you have reached the designated area of
the parking lot and have recounted all your students. Only then, may students go to their
parents as you mark it on your sheet.

First-aid Kits
First-aid kits are available in the Student Center.
ATTENDANCE AND ABSENCES
Calvary Baptist Church needs reliable people to fulfill the ministries and programs of the
church. Attendance for scheduled times of serving and training meetings is a commitment you
must make and take seriously.
Those serving during our 10:30 AM Sunday school should arrive at 10:15 AM. Those
serving during Sunday night 621 should arrive at 5:30 PM. Those serving during Wednesday
night Grapple/DIG should arrive at 6:15 PM.
Upon arriving in the church to serve, all volunteers should print a name sticker from one
of the computers at check-in area. This will identify who you are and register your attendance.
Some absences will likely be necessary. If you know, in advance that you won’t be able
to serve during a time you’re scheduled, please make every effort to either switch shifts with
another volunteer or find a substitute from the approved list. Please inform the Student Pastor as
to the switch.
If your absence is caused by an emergency, inform your Student Pastor. You should still
make an effort to search for a replacement, but under some circumstances, you may not be able
to accomplish this. Please make every effort to contact the Student Pastor in advance. If you are
unable to reach him at home, please call him on his cell phone and leave a message.
If your Student Pastor notices a pattern of absences, he or she may follow up to see if
something besides illness seems to be the real reason you’re not able to serve. Don’t consider

this a confrontation. Your Student Pastor and our church leadership have two concerns. One is
for the people who may be left out if you’re unable to serve; the other is for you. Perhaps you’re
not in a place of ministry that “fits” you. If this is the case, your Student Pastor can work to plug
you into a place of serving that better matches your gifts and skills.
In fact, this is an area that we encourage you to be proactive. Rather than avoiding a
ministry task where you feel uncomfortable, go to your Student Pastor and ask about other needs
in the church. There are plenty of places to serve; there’s sure to be one that fits you.
TIPS FOR STUDENT MINISTRY VOLUNTEERS
The best advice is to prevent problems before they occur. Here are some ways to do just that:
•
Be on time (before students arrive).
•
Know students under your care by name and use it when speaking to them.
•
Be prepared, having activities ready as the students arrive.
•
Keep activities short and varied.
•
Have more activities prepared than the time you’ll have to do them.
•
Praise and thank students who are “on task,” doing what they should (do not take them
for granted).
•
Keep the students involved, especially the “restless ones”; give them jobs to do in the
room to feel a sense of responsibility.
•
Be positive and enthusiastic; find ways to let the students know you are glad to see them
and are happy to be with them.
•
Review the rules for Student Ministry, go over them weekly, and then follow through
with those who do not follow them by issuing previously stated consequences.

When a student breaks a rule, use the opportunity to talk privately with the student, find
out what is going on in his life, and pray with him. Chances are that when you do this,
you’ll not only begin to change the behavior, but you’ll also connect with his heart.
SMALL GROUPS
Small Groups Guarantee Students:

A place where they feel like they “belong.”

A great way to get to know their peers better.

A way to build strong relationships with adult leaders.
-
A stepping-stone to accountability and mentor relationships.

An environment in which they are genuinely “heard.”

An arena in which they can grow spiritually.

A place where they are “truly missed” if they are absent.
The 5 Necessities of Small Groups
1. Leaders who genuinely listen:

We should spend 80% of our time listening to the students and only 20% of our time
talking.
o Remember we have two ears and one mouth.

Should avoid “Talking Sins” which are:
o Interrupting them and assuming you already understand what they were going to
say.
o Finishing their sentences for them.

o Giving long examples from your own life that illustrate your point.

Should be empathetic vs. sympathetic.
o Sympathetic listening means we feel “for” the student.
o Empathetic listening means we feel “as” the student.
2. Leaders who understand how to start light and go deeper.

o We give everyone a chance to speak.
o We ask them a question they can’t get wrong.
3. A clear purpose.

To meet specific needs that our students have.

Examples of small groups:
o Discipleship Small Groups – in-depth Bible study focuses on a verse-by-verse
study.
o Accountability Small Groups – help dealing with a particular temptation and focus
on it.
o Discussion Small Group – provide students with a way to “digest” the spiritual
material they are being taught.
4. Clearly define boundaries, rules, and expectations.
5. Leaders will always be prepared…from start to finish.

VOLUNTEER JOB DESCRIPTION
Qualifications:
1. Must have a personal and growing relationship with Jesus Christ.
2. Must regard the Bible as the authoritative guide for one’s faith and life.
3. To be a large group teacher, a volunteer must be a member of Calvary Baptist Church.
4. Be open to the gifts of the Holy Spirit.
5. Be a biblical example of lifestyle and stewardship of time and finances.
6. Completed or in the process of completing the membership class.
7. Be baptized in water by emersion or in the process of being baptized.
8. Be a member of and accountable to the leadership of the Student Ministry for guidance,
encouragement and discipline.
9. Agree to attend Student Ministry Small Group Leadership Forums.
10. Be open to reporting and receiving responses regarding this ministry.
11. Must understand servanthood, submission, Bible study and discussion in small groups.

1. Present the gospel in a fun, biblically sound, and culturally relevant way.
2. Look for and act on teachable moments.
3. Develop one-on-one connections with students.
4. Communicate with students outside of church confines.
5. Explore ways to involve all students in ministry, encouraging inclusivity.
6. Present a clear testimony of a life transformed by Christ.
7. Be authentic in all relationships, self-disclosing and providing guidance.

STUDENT MINSITRY JOBS
High/Middle School Small Group/Sunday School Coordinator

Primary organizer of adult volunteers for High School Sunday school and Student
Ministry small groups.

Makes sure that adults have adequate training with students and are being placed in a
position to use their strengths.

Point of contact for all small groups for supplies, forms, and information.

Helps small group leaders to fulfill their position requirements and encourages them to
strengthen their personal walk with Christ.
Prayer Coordinator

Organizes students to pray before regular student activities.

Develops prayer guidelines during prayer times.

Is the point of contact for any student interested in helping with this ministry.
New student follow-up

Receives guest information from students attending Student Ministry activities.

Uses technology to enhance Student Ministry activities.

Builds adult and student teams to maintain, monitor, utilize, and upgrade technology.
Adult Security Team

Assists Student Ministry Team to maintain student safety and security.

Helps the Student Pastor and small group leaders with students who choose not to uphold
the “Boundaries” expectations.

Mentoring

The Student Pastor must approve all mentor/mentee relationships.

Partnering with one to two students of same gender to share life, wisdom, and

BUDGETING
Yearly proposed budgets are submitted to the Calvary Baptist Elder Board for approval. The
Student Pastor, according to discipleship, weekly programing, special events, and scholarships,
manages the budget and equipment needs of the ministry. The Student Minister is accountable to
the Office Administrator through monthly credit card receipts and the Elder Board through
random audits.
COMMUNICATIONS
The Student Ministry communicates through print and electronic publications to students
and their families. This is accomplished through the “Weekly Link” and monthly “Parent Link”
communications. Non-print communications are accomplished through parent and student
meeting nights three times a year.
