RNSWBA CLUB CLEARANCE PROCEDURE

The Club Clearance Process
It is a requirement of the Royal NSW Bowling Association that any registered player who wishes to
change their declared club must obtain a clearance from their current declared club by completing a
CLUB PLAYER CLEARANCE FORM, which is available for download from www.rnswba.org.au.
A Club Clearance is required for;

Any Player who is currently a registered member of a club affiliated with the RNSWBA and wishes
to change his declared club to another club OR
o For e.g. If a player is currently playing at a club and decides he wants to play Association
Events for another Club in the new season – A clearance is required.
•
Any Player who has been a registered member of a club affiliated with the RNSWBA in the past
12 months and wishes to change his declared club to another club.
o For e.g. if a player has decided to resign his membership at a club and , then comes back
to play and rejoins at a different club than the one he was at within 12 months of
resigning his membership – A Club Clearance is required.
A Club Clearance is NOT required for;

A Player that has not been registered at a club affiliated with the RNSWBA in the past 12 months.
o For e.g. if a player decides to give the sport away for 2 years and resigns his membership
entirely, then comes back to play and rejoins at a different Club than the one he was at –
no Club Clearance is required.
Please Note:

A Club Clearance is required regardless of whether a Player has played in any Association Event
during the past 12 months or whether a Player is a registered multi-member at both clubs that
they wish to change between.
This Player must be registered with the NSW Club he is transferring to prior to the clearance form
being lodged.
A Club Clearance will not be considered as processed until payment of $11 and the completed
form is received by the RNSWBA.
So how do I ensure all our players are eligible to play for our Club?
It is the responsibility of the Club to ensure that all of its members are eligible to play Association Events
at their Club.
The RNSWBA provides resources to assist Clubs in this process, including the Online Membership Facility
on the RNSWBA Website which enables a Club to download its membership listing.
If you haven’t got access to the Online Membership Facility, an authorisation form can be downloaded on
the RNSWBA website. Access is limited to one official per club, and all you need is an Email address,
Internet access and ability to read either Excel Spreadsheet or PDF format on your computer.
How to read the Membership Listings with relation to Club Clearances
When you export your listings from the Website by clicking Export Members, it will arrive in your email
inbox in two formats in two separate emails. One will contain your Membership List as an Excel
Spreadsheet which will allow you to modify or sort your listings for your own purposes, and the other
email will contain your Membership List as a PDF format which can be easier for printing purposes. Both
emails contain the same information.
In the ‘Status’ Column on these lists it indicated either “F” if that player is a Full Member of your Club or
“Multi” if that player is a Multi Member of your Club and another Club.
The next column which is titled “Journal” (but will be changed shortly to “Club Clearance”) indicates the
number of the Club that the player is cleared to play at. This is a 3 digit number.
Finding discrepancies with your members in relation to Club Clearance
To assist you with checking your Membership listings here are some tips to help you pick up
discrepancies:
1) If the player is a Multi-Member (Multi in the status column) and there is NO number in the next
column, then this MAY indicate that the player is not eligible to play at your Club.
2) If the player is a Multi-Member and there is a number in the next column that IS NOT the number
of YOUR Club, then this MAY indicate that the player is not eligible to play at your Club.
3) If the player is a Full Member (“F” in the Status Column) and there is a number is the next
Column, that IS NOT the number of YOU Club, then this MAY indicate that the player is not
eligible to play at your Club.
In each of these situations, it is recommended that if you have any doubt, please contact the office of the
RNSWBA to clarify or check with the player concerned.
Other ways to find potential discrepancies
If a new player arrives at your Club, or if there is any player at your club that didn’t play Pennants or
Association Events with you in the previous season, we would encourage you to ask that player which
club they last played their Association Events at. If the answer is any other club than your own, that player
will probably require a clearance.
Zones and District Associations should be checking Membership listings throughout the season, especially
during Pennants to ensure that any discrepancies are discovered and rectified immediately, however this
does NOT excuse a Club from having the ultimate responsibility.
Again, if you have ANY doubt about the eligibility of a player or the Club Clearance procedure, please do
