Lynstan Security 1 Summary LHELK101 Magnetic card electronic locking system is specially designed for the use of hotels. Using Magnetic card as keycard, it can completely adapt the complexity of different situation, and it is of significant meaning to strengthen the management and improve the safety of hotel. 1.1 LHELK101 Magnetic Card Locking System LHELK101 Magnetic card locking system is mainly composed of door lock, Magnetic cards of different function and the management system etc. 1.3.1 Magnetic Card electronic door lock 1. Main structure LHELK101 Magnetic card lock is mainly composed of a front cover, back cover and Mechanical Lock etc. From the appearance of Mechanical Lock, you can see the main latch, dead latch and stop latch etc. An electric motor is located inside the lock and by which the lock can be driven to open or close automatically. Inductive window is assembled in the front cover and the computer control board is on the back cover, these two connected by cable, to read/write information off RF card and replies with either input/output light signals or a sound signal. The computer control board is able to store and analyze all kinds of information. The battery box that located on the back cover accepts four alkaline AA batteries to supply the unit with power. We provide mechanical key to the Magnetic card lock, which can be used while battery box not installed in the lock or because of an electronic fault. Function of various cards 1. 2. 3. 4. Site Card: Set the lock Cipher (Hotel ID) after installation. Not for opening lock. Room No. Card: Set the room No. to its relating lock. Not for opening lock. Clock Card: Set and adjust the inner clock time correct. Not for opening lock. setting card: Set the lock data.It include SITE CARD,ROOM NO.and CLOCK CARD information. 5. Clear memory Card: To delete all user information except system site code, room number and passage mark. 6. Report loss Card: To report loss and forbid one lost card from opening its authorized locks, make it invalid. Not for opening lock. 6. Forbid Card: Forbid Guest Card . Not for opening lock. 7. Record Card: Extract the trial of latest 500 entries (including the time, room number, card type, mechanical key or door closing etc.) 8. Emergency Card: Can open all the locks in emergency occasion, even including 1 Lynstan Security deadlocked door. No other card has this function. 9. Master Card: Can open all the locks in the unit. Even including double-locked door. 10. Multi-floor Card: Can open all the locks of the designated floor 11. Server Card: Can open some of the floor locks 12. Key Card: Can open the designated lock within the scheduled time 13. Employee card: Just open the special room locks 14. Unlocking Card: Set the door in Always-opening status during a certain time 15. One-off Card: Can open the designated door in the limited time 1.3.3 Management system Management system is composed of one computer, one Magnetic card encoder and one software etc. and which can be used for card-making, management, statistics, information Query and printing, for the details, please refer to “Lock management system and its operation.” 1.3.4 Others For its own superiority and applicability, the door locking system can be joint used with other management system, realize the aim of one card for multiple use. 1.4 Characteristics of LHELK101 Magnetic Card Locking system LHELK101 Magnetic lock is one of the most advanced locks till now, and its main superiority is as follows, 1.Leading technology All key circuits are made of imported components of excellent capability Imported micro motor are reliable and of low power consumption. Lock latches meet international standard, safety and user friendly. Inner real time clock, precision. Various signal indication, simple and direct. Run in Win2000, XP and NT, convenient for operation. 2. Perfect management Strict authority control Different cards have different authority. Key Card, Unlocking Card, One-off Card can only open the designated door lock; Server Card can only open door locks of designated floor, Multi-floor Card can only open the door locks of some designated floors; while Emergency Card and Master Card can open all the system locks. Strict time limit 2 Lynstan Security All lock cards are limited by time, as soon as the limited time is up, cards will become invalid automatically. Perfect losing-preventing function In case card found lost, only need to make a new card of same type, and use it to refresh all the relevant locks once, the lost card will become invalid automatically. Enough unlocking record The E2PROM inside the computer control board of lock can memorize the latest 500 entries (including unlocked by mechanical key, Card type, door not properly closed etc.), if necessary, we can pick up “data” from lock memory, then, connect with management system to check when or how the locks be opened or closed. For its own characteristics, the E2PROM can effectively save the data even locks are broken or without electricity. Cipher control By Site Card, the cipher of the whole lock system can be Modified quickly and easily, however, because the new Cipher Card contains the old cipher information, also the inner computer control board should verify old cipher before change into new one, so, if old cipher be verified unqualified, the cipher cannot be changed. 3.Safety and convenient Safety the management software has multilevel password setting to assure the high security of system; All operator’s work can be record for information. User friendly After check-in, guests can open door directly with card. The card will be valid until expiration. In case several guests share one room, Guest Card B can be used to realize one people holds one card, no interference to each other. When this locking system is jointly used with other system, the Guest Card also has other use, such as: pay consumption fee etc. When doors locked in, only mechanical key and Emergency Card can open it, no other card has this function. When door is not properly closed (Main latch is not in its proper place), the lock will give alarm signal. Please carefully read this Chapter to assure system safety running. 2.1 Sound and Light signal of door lock Before operating, we must grasp the different means of all sound and light signals in order to have correct judgment during operation. (Note: Red light flashes 0.5 second twice, means red light flash and out two times, each time lasts 0.5 second.) 1. Red light flashes 0.5 second once: Not loose mechanical key after open the door 2. Red light flashes 0.5 second twice: Cipher error (or use “site Card” set lock for the second time) 3. Red light flashes 0.5 second three times: Room number error 4. Red light flashes 0.5 second six times: Memory inside lock R/W error 5. Yellow light flashes 0.5 second once: The relevant switch inside mechanical lock is turned on by mechanical key. 6. Yellow light flashes 0.5 second twice: Data format in lock memory error 7. Yellow light flashes 0.5 second three times: The data in “Key Card” is the same as that in door lock. 8. Buzzer beeps 0.5 second once, green light on: Use card to open door correctly (and then green light on) 9. Buzzer beeps 7 × 5 times: Door is not properly locked. Give warning. 10. Buzzer beeps 0.1 second 4 times: the door lock is in unlocking status. 11. Red and yellow light flash 0.5 second twice: Card format error 12. Red and yellow light flash 0.5 second five times: needn’t reportloss or already reported loss. 13. Red and yellow light flash 0.5 second six times: load cipher failur. 14. Red light flash and buzzer beep 0.1 second seven times: Card is been reported lose and invalid. 19. Yellow light flash and buzzer beep 0.1 second twice: card is Discontinued and invalid 20. Yellow light flash and buzzer beep 0.1 second three times: card is overwritten and invalid 21. Yellow light flash and buzzer beep 0.1 second five times: Low voltage warning 22. Green light flash and buzzer beep 0.1 second twice: Setting card successfully 23. Red, yellow light flash 0.1 second three times, buzzer beeps 0.1 second three times: Record pick up error Explanation: 1. When applying the cards to touch the Inductive window of Magnetic lock, if weak light or beep signal appears, which is not belonging to the above signal list. 2. 2. When reading any Magnetic card (no matter correct or error, even have no nothing to do with current system), there will be a “buzzer beep 0.1 second, once” to indicate that the card is reading effectively (Effectively doesn’t means correctly), then, to continue its work, thus, this “buzzer beep 0.1 second, once” will be heard before the above mentioned various signals. For example: Use card to open door correctly (Signal 8), actually you will hear a short (0.1 second) and a long (0.5 second) beeps. 3. While using “Initialisation Card” and “Record Card”, yellow light speedily flashes to indicate its process before the success signal are gave off. 4. In case the inner clock error, a signal 13 could be added before, in the middle or after the above over 20 signals. Because its time lasts for 2 second (the longest), so it’s easy to be recognized. 2.2 Setting lock Setting lock must be done when first installation or changing control board. The detailed procedure is as follows: a) Use “site Card” to set lock with system site b) Use “Room Number Card” to set lock with its relevant room number c) Use “Clock Card” to adjust the clock inside clock into current time After these three steps, the setting lock finished, the door locks can be 5 Lynstan Security used. You can make one SETTING CARD for setting lock. Attention: (1) One “site Card” can only be input once, if input the second time, red light will flash twice. (2) In case same “Room Number Card” be input repeatedly, the yellow light will flash three times. (3) In case room number changed or passage function need to be changed, only input the room number card can be done. 2.3 Daily operation To judge the correctness of following daily operation, please refer to “sound and light signals”. 2.3.1 open the lock (door) Use the RF Card slightly touch the inductive window of door lock (remove it after a “Beep” be heard), green light flashes, turn the handle, you can open the door. In case lock cannot be effectively opened, please refer to sound and light signals for reason. The “Beep” sound and lock opening time interval could be possibly different due to different cards type or using times. 2.3.2 Unlocking status Apply Unlocking card to the lock, green light flashes once, then, the lock is in unlocking status. 2.3.3 Deadlocked When enter into room, push and make dead latch works, the door will be deadlocked. Only mechanical key or “Emergency Card” can open the deadlocked door from inside or outside, if use any other card, the lock will output warning signals. 2.3.4 Mechanical key (To lock and deadlock) No matter whether the door lock circuit works normally or not, mechanical key can be used to open the door. Mechanical key can also be used to make the door deadlocked or open deadlocked door from outside. Passage Lock cannot be cleared. 6 Lynstan Security 2.3.5 Report to lose When found the high level management card (Emergency card, Master card, Supervisor card or Service card) lost, must report to lose at once. The procedure is as follows: First, make one “Report lose Card”, and apply this card to all relevant door locks to this lost card, the lost card will become invalid automatically. To judge the operation success or not, please refer to sound and light signals. Passage Locks cannot be reported lose. 2.3.6 Overcast When cards (Key card, One-off card, Unlocking card, Backup card) found to be lost, please make a Reportlost card of same type immediately (The making time of it must be later than the lost one), then, use it to all relevant door locks to the lost card (needn’t turn the handle), now, the lost card will become invalid automatically. 2.3.7 Forbid card When Guest check out earlier than expected time, in consideration of security, the waiter can apply “Forbid Card” to the lock, the current “Key card” will become invalid automatically. For next new guest, he can direct get new card from operator. 2.3.8 Adjust clock Lock inner clock time shall be set to be correct after installation. The relating people shall check and adjust the clock time periodically (once every month). Before time setting, a “Clock Card” shall be made just in time, then, apply it to locks ASAP. Clock card must be set as current time to ensure the time of the system is assorted with the real time. Make sure the computer time is right. Clock card can be used to all locks, unnecessary to be make it for each lock separately. In case too many rooms, the setting job can be done for several times in order to avoid lock time slower too much than real time. In case the lock time is wrong, which possibly arouse lock cannot be opened by card, even can be opened, the recorded time is wrong. 2.3.9 Record collecting The latest 500 times of lock opening and closing can be stored by Computer Control Board of lock (including the time, room number, card type, mechanical key or door closing etc.), which can be picked up by Datacollector and be transferred to Management System for analysis use. 7 Lynstan Security 2.3.10 Replace battery The lock accepts four AA size high function alkaline batteries to supply the unit with power, while other types of batteries are not suggested to use. While open door with card, in case low voltage warning sound and light signal give out, shall replace new batteries, otherwise, although the lock still can be opened for 30 times, however, after 30 times, it will refuse to be opened by any cards and will give warning signal when card touch it. During examine and repair, if battery voltage were found below 5.2V (the limit of low voltage is 4.8V), still suggest replacing the batteries. If poor quality battery is found (leakage), please replace it immediately. 2.3.11 Clear memory card Under specially condition (User’s data confusion in lock memory), “Clear memory Card” Can be used to delete all user information except system site code, room number and Passage type. 2.3.12 Change system site code If system cipher need to be changed under special condition, please first change system cipher in software, then, make a new “site Card”, use this “site Card” to set each locks once, thus, the old cipher is invalid. Please don’t change “System Cipher” except emergency, for if the cipher changed, all cards must be re-made. So, before changing, please think it twice, also, please inform it to manufacturer’s after-sales department. Attention: “Syste site” is strictly prohibited to be changed twice or above continuously (Details refer to 1.4), for which will arouse system confusion. 8 Lynstan Security 2.4 Suggestion on door locking system management Although LHELK101 Magnetic Locking system is of high safety and great convenience, however, which must be under the precondition of strictly management. 2.4.1 Responsibility of each department All related person must grasp the base knowledge of this system, the detailed assignment as followed: IT department be responsible for the installation, maintenance and technical support of Card-making system and software; The management level responsible for make, keep and manage all kinds of cards. Common operators make the cards with low level. The high level cards are to be made only by the specially assigned people. System Cipher and all passwords must be kept confidential. Adopted cards and mechanical key must be registered for record. Special people in engineering department shall be assigned to responsible for door lock repairing and maintenance, feeding back the running status of door locks. 2.4.2 Suggestion on management After the locking system installed, one person familiar with mechanical and electric must be assigned by user to take charge of the lock running process, this person shall received the manufacturer’s training. In trial running, it’s better to use the system in a easy way, for example, don’t make cards with time limit (default time limit is 12:00 Dec. 30 th, 2099), in order not to arouse unnecessary trouble. Try other functions after familiar with the system. Some trouble may happen in trial stage, such as inflexible handle caused by distortion of door board, operation error etc., in case trouble occurs, be calm down to analyze its reason and try to cooperate with manufacturer to solve it. Adjust the clock monthly at fixed period to avoid clock mistake. 9 Lynstan Security Copy the sheet of lock sound and light signals to respective department. 3 Maintenance and troubleshooting Special person must be assigned by user to be in charge of maintenance and troubleshooting. Maintainer shall carefully read the User Manual to be familiar with various sound and light signals for troubleshooting. In case a lock could be opened by any card, it means that this lock’s function is ok. In case cannot be opened by some of the cards, first, confirm the cards in the management system, then, deal with it later. Attention: 1. In case electricity cut suddenly during maintenance, the “Clock Card” must be re-made. 2. When circuit doubted to be wrong, please first use new batteries to test it, because if the voltage is too low (lower than 4.2V) or battery inner Resistance is not big (if only use Multimeter, it cannot be tested out), the SCM is possibly provide incorrect sound and light signals due to its load capability, thus, arouse misunderstanding. 3.1 Trouble (1)If only one card cannot open the lock, however other cards can. Reason: a. The card is made incorrect. b. Lock inner circuit is disturbed, something wrong with the clock inside the lock. c. The room number is set wrong when initializing. Solution: a: Make a correct card. b: Make a “Clock Card” to adjust the clock time correct. c: Re-set correct room number. (2)No reaction when using the card. Reason: Solution: a: Battery Voltage is too lower b: Battery or plug is loosing. c: Control Board is broken a: Replace new battery b : adjust the battery or plug 10 Lynstan Security c : Replace new Control Panel (and then set with site Card, Room Number Card, Clock Card) (3)The indication of Sound and light signals is correct, but the lock cannot be opened. Reason: a: The plug of Mechanical lock is loose, or line is broken. b. The transmission part of electric motor of Mechanical lock is blocked. Solution: a: b: Check and make the Mechanical lock is Ok Re-install it if trouble caused by wrong installation. If something wrong with the inner construction of mechanical lock, call professional people to repair it. (4)Latch cannot return to its original place Reason: blocked. a. b. Solution: Improper installation dimension causes lock distortion or Mechanical lock inside is blocked. a. Cut the installing hole precisely, re-install the lock. b. Disconnect the mechanical lock, inject some oil. (5) Only emergency card can open the door, warning of “The door is double-locked” while using other cards Reason: Solution: (6) The Testing Switch of main latch lost its function. Replace the switch Warning signal of “ Door Unclosed” happens occasionally after closing the door. Reason: Solution: The “Door stock Cover Plate” is not installed well, which causes the main latch of the door can hold out completely. adjust the “Door stock Cover Plate”. 3.2 Daily maintenance (1) One management personnel shall be assigned watch the locks running condition periodically. (2) Do not clean the surface of door lock with water, alcohol and other chemical liquid in order not to cause damage or corrosion Dry them with cloth when necessary. (3) Fix the installation screws periodically. 11 Lynstan Security 4. Lock installation Electronic lock is complexity and precision. The installation people must be familiar with the technology. There are left-handed lock and right-handed lock (Picture 2-1) When place order; the quantity of each type should be marked clearly. Holes should be opened in the metal door before installation; for wooden door, please refer to this direction. Pay attention that different thickness of door matches different screws. 4.1 Cut-out dimensions Please refer to picture 2-2,2-3. For the quality of holes opening directly influence the using quality of the locks, so you must open the holes strictly according to the standard size listed, to be precise, smooth and no wooden scraps. 12 Lynstan Security Picture 2-2 Door Cut-out Dimension Dimension given in mm 13 Lynstan Security Picture 2-3 Door-Frame Door cut out dimension Dimensions given in mm 4.2 Installation The installation of electronic door locks shall strictly according to this Direction, avoid dirtying and spoiling the locks; you’d better install them after other fitments have been finished. Picture 2-4 shows the main components of electronic door lock. 14 Lynstan Security Picture 2-4 Main components and installation Steps of installation: 1. Position the mortise (14) into the door edge, pay attention not to break the connector (6). Draw the leading wire into the door, fasten the lock case with two screws. 2. Take the cylinder (11) into the proper place of screw hole, let its convex surface be up and fix it with Screws (13) from the side. 3. Install the Spindle (8) into the front clutch hole of the main mortise(14); connect one top of the wire into the jack of the front cover; then press the Front cover (10) in the outside of the door. 4. Install the spindle(5) into the back clutch hole of the main mortise(14) and the back cover. Then connect the other top of the wire with the jack of the back cover. 5. Install the Battery box (16) to its proper place. 6. Fix the back cover with four Screws (1), then set the face plate (15) 7. Test mechanical key, front handle, back handle, to examine if the lock works well. If it works inflexibly, readjust them to their proper place. 8. Use a card that can unlock to test if the lock works well or not. 9. If the whole lock works well, install the Plastic box (18) and the strike(17) into the door. 15 Lynstan Security 10. Check again to confirm its installation. Now the thorough installation is over. 11. When you finish installaion, Please test opening lock by mechanical-key Closing door is good. 16
