Assistant Registrar
We are seeking an Assistant Registrar to provide additional capacity in the Admissions
Office.
Profile
The key roles of the Assistant Registrar is to manage enquiries from students and agents to
ensure Plymouth College meets its admissions targets.

Duties
Customer Service
Plymouth College is a luxury brand with an enviable reputation in the local and international
market. The school therefore has to offer the highest levels of customer service. This is

Responding to enquiries promptly and fully
Assisting enquirers with every stage of the customer journey
Deliberate management of the customer journey
Providing a warm welcome to the school
Ensuring visits and taster days are of the highest quality

Enquiries




To respond to enquiries from agents and parents in an effective and timely fashion
Ensure prospectus requests are dealt with swiftly and letters are personalised
To populate the school’s SIMS database with the details of the enquiry and ensure
accurate notes of conversations and all communications are recorded
To proactively follow up enquiries,
Visits






To encourage enquirers to visit the school
Welcome and liaise with enquirers during school visits
To liaise with the admissions team to produce visit timetables and co-ordinate
Plymouth College staff to meet with enquirers.
To create briefing packs for staff
To follow up on visits
To maintain reports on visits, to enable a programme of continual improvement.
Registrations



To actively manage the conversion of enquiries into registrations.
To manage registrations, testing and references for the applicant.
To manage marking of tests, ensuring that the entrance process and procedures are
followed.
Applications


To manage the conversion of registrations into acceptances by:
o Completion of offer form for Headmaster (HM)
o Working with the admissions team to produce and allocate CAS numbers for
overseas pupils.
o Creation of the offer letter for applicants.
Ensuring Bursary and Scholarship details of all enquirers are recorded on SIMS.
New Joiners


To send and process new joining packs
Inform accounts department of new joiners at the earliest opportunity




Provide all Form Tutors, Heads of Year, House Staff, SEN Department and Health
Centre with the necessary information about all new starters, in good time before the
student starts at the school.
Provide regular updates to the Director of Communications of all applications, test
dates and visits relating to application process.
Prepare student lists for boarding staff when numbers are finalised. Ensure
international pupils have guardians in place.
Ensuring collection of deposits and registration fees and recording these on SIMS.
Market Development


To manage existing markets and develop new assigned international market areas.
To regularly communicate via phone, email and Skype with international agents to
ensure they are informed of school developments and recruitment targets.
Administration





Jointly, with the admissions team, to liaise and report on the availability of beds in the
boarding house.
To work with the admissions team to produce monthly admissions and enquiry
reports.
To attend and assist with the organisation of Open Mornings and other recruitment
events.
Creation of weekly visits timetable with distribution to staff
Creation of interview form for each visiting family
Holiday cover
It is essential that Plymouth College is able to offer a consistent level of customer service
and so careful co-ordination of holidays between the Registrars is essential to ensure that
one is always available.
Targets


To achieve admissions conversion ratio targets between each step of the customer
admissions journey.
Ensure that recruitment targets for the school are met.

Education
Educated to degree level is desirable but not essential. Previous experience in school
admissions or sales administration, desirable. The successful applicant will be confident,
articulate and able to impart the standards and aspirations of Plymouth College.
Safeguarding Children
The employee’s responsibility for promoting and safeguarding the welfare of children for
whom s/he comes into contact with to adhere to and ensure compliance with the College’s
Safeguarding Children Statement at all times. If in the course of carrying out the duties of the
post s/he becomes aware of any actual or potential risks to the safety or welfare of children
in the College, s/he must report any concerns to the College’s Designated Safeguarding
Person.
