Accessing the System The Electronic Employment Paperwork System can be accessed by going to the Human Resources website and navigating to the HR Applications page. The direct link is: http://www.pace.edu/humanresources/hr-applications Clicking this link will lead you to the system site. 2 You will be redirected to the homepage of the system as seen below: Once you are logged in you should see the below note welcoming you. The Hiring Manager’s profile consists of three sections: “Invite Employee,” “Paperwork Status,” and “FAQs.” Click here to invite a new hire to complete paperwork Click here to check on the paperwork status of new hires you have already invited Click here to access a list of Frequently Asked Questions to help guide you through the New Hire Paperwork Process 3 II. Inviting a New Hire to Complete Paperwork Step 1: To invite a new hire to complete paperwork, after clicking on “Invite Employee,” in the upper left hand corner, the following form should appear on your screen. Complete all information and click on “send invitation.” When form is complete, click on send invitation to send automated email to New Hire, inviting them to complete their paperwork. 4 If you do not know the New Hire’s UID or if they have not been issued a UID yet, click, “No/I Don’t Know.” Then continue to fill out the form. If you click “Yes,” a text box will appear to insert the New Hire’s UID#. 5 Once you have successfully sent the invitation you should receive the below message on your screen: 6 III. New Hire Notifications Sent Upon sending the invitation your New Hire should receive the below email: 7 IV. Viewing Paperwork Status To view the status of your New Hire’s paperwork, from the welcome screen, click on “Paperwork Status.” Click here to view paperwork that has been processed. Click here to view paperwork that has been submitted by the new hire. 8 V. Next Steps for New Hire 1. The new hire will access the system via the email notification that is sent upon the Hiring Manager’s initiation of the invitation in the system. 2. Once they have submitted all of their paperwork they MUST VISIT ONE OF THE HR OFFICES TO PROVIDE THEIR PROOF OF IDENTITY FOR THE I-9 FORM. THEIR PAPERWORK WILL NOT BE PROCESSED UNTIL THEY DO SO. 9
