OYOD Terms and Conditions

The University’s OYOD programme is currently limited to mobile phones and smart-phones
(internet capable mobile phones).

Staff are eligible for a mobile device only if their Dean, Head or equivalent has approved it on the
grounds that
o they require it for the purposes of conducting University business, and only if they are
expected to work regularly outside normal business hours and/or away from their
normal place of work (desk or office), and/or their research focuses on mobile devices,
and
o all the associated costs can be met within the relevant cost centre budget.

The University’s standard OYOD data plan provides for the following monthly allowances:
o 160 anytime minutes (any unused portion may be carried over for 12 months)
o Unlimited texts (fair usage applies)
o 500MB of data.
The University will meet the monthly cost of the standard OYOD plan.
Staff who wish to purchase additional minutes or data over and above the standard allowances
must personally meet the additional cost.

An OYOD may be used for both work and private purposes; however, if usage exceeds the data
and voice allowances in the relevant plan, staff must personally reimburse the University for the
excess usage or obtain approval from their line manager for the additional costs to be met by the
University.

The University will make a financial contribution of $150 (funded from cost centre budgets)
towards the cost of an OYOD; staff may choose to
o pay the balance of the OYOD cost as a lump sum payment, or
o pay the balance of the OYOD cost through a salary deduction over a six-month period;
staff who choose this option will be required to sign an OYOD payment deduction
agreement.

Staff may select the device of their choice; however, all hardware must be purchased through
Campus Computers to ensure compatibility with the University’s mobile telecommunications
provider network.

Staff must register the device on the University’s mobile device management system in order to
ensure that any University work data stored on the device can be adequately protected (and
remotely wiped if the mobile device is lost or stolen).

Staff are personally responsible for any repairs and maintenance for OYOD hardware.

Staff may replace an OYOD utilising the University’s financial contribution every two years.

Ownership of the relevant mobile number rests with the staff member.

A staff member whose employment with the University ends for any reason before the full
balance of the device is paid is responsible for transferring the OYOD onto a personal mobile
plan, and must meet any outstanding personal financial obligations associated with its purchase
in accordance with the OYOD Programme: Authorisation for Salary Deductions.
