[email protected] Introduction to ZipReports The University of Akron Lesson 1: Class Overview Discussion This course will introduce you to ZipReports, which is a business intelligence tool that provides operational reporting to campus units. ZipReports will allow you to access the most frequently requested student administration data that is stored in PeopleSoft.. As with all PeopleSoft data, your security level determines the data that you may view. There are two versions of the standard reports, those containing grades information, and those without depending on your PeopleSoft access level. ZipReports presents a collection of pre-defined queries and reports that access data stored using RDS (PeopleSoft’s Reporting Database Service). Data is extracted from the PeopleSoft production tables each night, Sunday through Friday, so the data that you are using will be upto-date as of the previous day. The data will be in a reporting format that can be viewed and printed from within ZipReports or exported to Excel. Excel allows you to further manipulate the data through sorting, filtering, formatting and editing. Excel reference guides, for working with large worksheets and using formulas, are included with this manual. You are encouraged to use ZipReports for your PeopleSoft query needs, because ZipReports is easy to use and the query results are received quickly for the following reasons. The production data, which is highly utilized by the campus community, is not accessed. Instead, different resources are used, which are stored on a different server. You do not need to create a query from scratch. The work has been done for you; the tables are joined, the fields have been located and defined, and the sub queries have been written. You only need to provide the criteria. ZipReports query results provide student data in a reporting format for your current, operational management needs. [email protected] Introduction to ZipReports The University of Akron Lesson 2: Install ZipReports & Security ZipReports is a web application and you use Internet Explorer (version 8, 9, or 10) on the Windows operating system to access it. You must use the standard version of Internet Explorer, not the 64-bit edition. The University will not support other web browsers, such as Mozilla FireFox or Google Chrome, for use with ZipReports. To check the version of Internet Explorer on your PC, start Internet Explorer (Start, All Programs, Internet Explorer). Then, from the menu, click on HELP, ABOUT INTERNET EXPLORER. In this example you can see that the IE version is 9. If you see “64-bit Edition” like in this example, then you need to close Internet Explorer and run the standard edition. (Start, All Programs, Internet Explorer). You install the ZipReports web client within Internet Explorer, on your PC. The installation is done only once. Afterward, ZipReports is available for your use. There are two methods to install the ZipReports web client: • Open your first report in ZipReports and the application will automatically be installed.Complete the online software request form and request ZipReports be pushed to your computer. The software request form is located at: https://www.uakron.edu/dts/swrequest.dot • When the web client is installing, you will be prompted to install additional components. You will be notified once the access has been granted – it should take no longer than one week for the access to be granted. Open Internet Explorer by clicking on its shortcut icon on your taskbar or by selecting it at Start, All Programs, Internet Explorer. The Internet Explorer window is returned. 2. Type the URL https://zipreports.uakron.edu and press the ENTER key OR Select ZipReports from your list of favorites. The ZipReports login web page is returned. Type your UAnet ID and Password. Click on the Log On button. Note: To avoid repetitive typing of the URL in step 2, set the URL as a favorite. Appendix A of this manual has instructions on setting a favorite in Internet Explorer. Click on Class Enrollment Query (Phase). Two changes occur on the screen: a) The list in the left pane of the window is expanded to list any reports that are available after the query is run. Note: In the list in the left pane of the window, queries are named with the last word as ‘Query’ and reports are named with the last word as ‘Report’. b) The EIS for the selected query, in this step, Class Enrollment query, is displayed. Note the screen’s major components. The name of the query is given. Query description. Click on the Submit Data Request button and the questions to set your criteria are asked. This is the preview area. After the query results are returned, the number of returned rows is listed and the results are shown. 4. Click on the button. The first prompt is returned. 5. In this example, for the Class Enrollment Figures (Phase), you are prompted for the Term. ZipReports is used for current reporting, so select the current term. You may need to scroll. 6. Click on OK. In this example, for the Class Enrollment Figures, you are prompted for the Academic (College) Group. In class, click to select your college. It will be highlighted. You may select multiple colleges as noted in step 8. 10. Click on OK. The next prompt is returned. 11. In this example, you are prompted for the Subject Cd (Code). Click to select a single Code. Click on OK. OR Use CTRL + click to select multiple codes. Click on OK. OR Click on if you want all the listed subject codes (which will be those for the colleges that you selected previously). Note: Do not choose the Select All button. That will be a lengthier process than choosing Ignore. [email protected] Introduction to ZipReports The University of Akron Lesson 5: Using and Printing the Query Results After clicking on the Submit Data Request button and a brief waiting period while the data is gathered, the results of the query are available. The results may be previewed in detail, printed in hard copy, or exported to Excel. The pivot reports and detail reports, if available, may be printed within ZipReports. There is also an option to export the detailed results to an Excel worksheet. This lesson reviews the three basic outputs (formats) for the query results: 1. Print previewing of the reports 2. Printing a hard copy of the reports 3. Exporting to Excel Part A: Print Previewing and Printing of the Reports Path/Panel Action to be Taken/Comments 1. Note that in the left pane of the Executive Information Screen, the available reports are listed under the current query’s name. In this example, you ran the Class Enrollment Query (Phase), which has two reports listed: By Course Enrollment Report By Instructor Enrollment Report 2. To print preview a report, click on its listing in the left pane of the EIS window. In class, click on By Course Enrollment Report. The query results are returned in a report format. For those queries, export the results to Excel and print the results as an Excel worksheet. The export process is reviewed on the next page. One example of a query without a report available is the Seat Availability Query. The query results are returned as a pivot table. A pivot table is used to obtain aggregate data. The number of rows of data in the query results are counted and summarized based on the major criteria chosen in the particular query. In this example, the pivot table counts the total number of enrolled students for a particular term, subject area and catalog number. The enrollment capacity minus the total enrolled equals the seats available. When the results are exported as an Excel worksheet and some formatting changes are made (widen the columns and format the numbers), the results are displayed as shown below. To export the results to Excel, click on the Export tool in the toolbar. This opens the Export Section dialog box. Note: The query results must be displayed in the EIS before the Export tool is selected. There must be data to export. 2. In the Save in list box, navigate to the appropriate drive and folder. In class, stay in the Libraries folder. 3. In the Save as type box, select Comma Separated Value (*.CSV) from the list at the down arrow. 4. In the File name edit box, type a name for the exported results. In class, name the file Enrollment Class Figures-(your initials) 5. In the dialog box, click on the Save button in the lower right corner. The query results are saved as an Excel file. The Export Section dialog box is closed. Double click on the appropriate file name to open the file. The query results are displayed as an Excel file. Use your Excel skills to sort, modify, filter, format and print the data. 7. Close the file by choosing File, Close from the menu. 8. Close Excel by clicking on it’s X. The work window, that displayed the query results as an Excel file, is closed.
