MAILBOX MIGRATION FOR RETIREES
Overview
•
Once converted to Exchange online, your mailbox will have 50 GB of
storage and therefore you will not need to create any new PST files or add
any mail to an existing PST file. Three options are provided for managing
existing PST files.
Note: NEVER directly open a PST file from a network (H:) drive – PST
files should only be opened from the local drive.
Option 1: Backup Before Migration & Leave on PC
•
Backup your PST file(s):
o Outlook 2010: Refer to the job aid for backing up your PST
file(s): insert URL here.
o Outlook 2011 (Mac): Use Time Machine on your Mac to
backup the PST file(s).
o Outlook 2013: Manually copy the PST file(s) to the H: drive
 To locate your PST file(s): Within Outlook, rightclick over your PST folder and select Data File
Properties, then Advanced.
If you wish to view the PST file(s) after closing them, from within
Outlook select File > Open & Export > Open Outlook Data File.
Then, navigate to the location of the PST file (i.e. My Documents).
Option 3: Move PST File(s) to Exchange Online
•
•
Your PST file(s) will still be open in the Outlook desktop client. You can
open any mail in the PST. However, you should not add any mail to the
PST, or create any new PST files.
Note: It is recommended that you do not
copy your PST file(s) under the Inbox as this
will increase the time required to load your
mailbox.
Option 2: Backup Before Migration & Leave on H:
•
Backup our PST file(s):
o Refer to the instructions above, under Option 1, for backing
up your PST file(s).
•
In your Outlook desktop client, right-click the PST file and select
Close “PST Filename” where PST Filename = actual name of the PST
file. The PST file(s) still exists on your C drive (in addition to the
backup on H:) however, the file(s) will be hidden from view.
Backup our PST file(s):
o Refer to the instructions under Option 1, for backing up
your PST file(s).
For each folder you wish to move to Exchange, drag the folder up
to your Exchange mailbox. We recommend you create a new folder
under your Exchange mailbox – this is the
mailbox titled as your email address (i.e.
[email protected]).
Once migrated, there is no need to create new PST files or to
add to existing PST files.
