Advisory Board Meeting Minutes Friday April 24, 2009 Attendees: Dr. Manz, Dr. Johnson, Linda Parks, Sherilyn Oldfield, Sherry Paxson, Barbara Caton, April Paniagua, Brittany Thatcher, and Tammy Honold. 1. Introductions The attendees went around the table and introduced themselves. 2. Program Highlights Dr. Manz did a recap of the upcoming events that he announced in the update letter sent to the members. He commented that the dental hygiene class of 2009 graduates on Saturday May 9th, 2009 and the pinning ceremony will be on Friday May 8th, 2009 located in the Suns Room at SJC, which is right next to Mary’s Kitchen on the other side of campus. Dr. Manz remarked to Linda Parks that he would give her a tour and show her the location of the Suns Room. Dr. Manz informed the group that the senior class took their Mock Boards, but remarked that they did not do very well. He commented that this was okay because it was Mock Boards and gave the students a chance to review and really go over the areas they were deficient in, so he said it’s a good thing. Dr. Manz informed the Advisory Board members that the senior class passed their WREB anesthesia with a 100% pass rate. Dr. Manz informed the group that this year’s National Written exams are computerized so the students are scheduling their exams at different times and dates. He commented that usually they go down as a group to take the exam and then he would receive all of the results at one time, but not the results trickle in. Dr. Manz informed the attendees that there were a total of 25 applications for this year’s application pool. Barbara inquired how many applicants were selected and Dr. Manz replied 12 and 2 alternates. He remarked that 9 of the applications are local and 3 are out of state. Dr. Manz commented that the department is already looking at the next year’s students that are coming in for advising and Tammy commented that she has had a lot of student advising lately and has seen some very strong candidates for the Program. Brittany Thatcher informed the group that the senior class is wrapping things up and that she will be the last to take the WREB Board exam in her class. Tammy commented on the community services the students are involved in and how the students teach oral care to the residents. Tammy and Dr. Manz listed the various locations and programs that the students attend and participate with rotations. 1 Sherry inquired to the group if anyone had heard or had more information in regards to an upcoming event hosted by NMDA Foundation for free dentistry. Dr. Manz replied that Dr. Schumacher is working on that project but they aren’t sure about equipment or money to fund the event. Dr. Johnson informed the group that there has been an improvement on oral care of the residents at Cedar Ridge and knows this has to do with the students being involved with this. Tammy remarked that the department has received a lot of requests for volunteering and do what they can to assist in activities but sometimes the department has to turn down people. Dr. Johnson commented in regards to volunteering that there is an upcoming career day in Kirtland and a hygienist is needed. Tammy asked for the flyer and replied to Ron that she would let him know. Dr. Manz remarked that there is a career day coming up in Bloomfield and the department was asked if they could participate but they had to turn it down due to it being scheduled during finals week. Dr. Johnson made comments about the dental society and the idea of them getting a dental club started. 3. Future Dr. Manz informed the Advisory Board Committee members that the college is looking at an increase to a cut in the budget, up to 4 to 5 million. Dr. Manz commented that the clinic may get new computers, but he is still waiting to hear on that. He remarked to the group of the new digital radiography unit installed in the clinic and how adding new computers to 4 operatories would be better productivity for the students. Dr. Manz informed the group that the dental department has worked to provide some CE Courses to the community such as Team Building, and a DANB preparatory course. Tammy added that there will be another DANB prep course coming up on Friday, July 31st, 2009. She remarked that is will be hosted again by Marie George with Dentsply-Rinn. Dr. Johnson informed the group that May 7th, 2009 will be the Dental Association meeting for the NW-district. Linda Parks wanted to inquire about the budget concerns and Dr. Manz replied pretty much SJC needs to tighten its belt and cut back on travel, furniture and other areas to help with the budget. He commented that there will be enough funding for the Director’s to travel, but that is about it. Dr. Manz remarked that each fall semester the senior and junior dental hygiene students attend a Scientific Session and have been able to raise money through fundraising to travel, but he’s not sure what faculty will do for funding to attend. Linda made some comments in regards to the budget and what to be prepared for in regards to inquiries from the upcoming Accreditation site visit. 2 Dr. Manz informed the Advisory Board members of the Accreditation site visit coming up and that it will be held on Tuesday 23Rd and Wednesday the 24th of February 2010. He remarked that the Advisory Board Committee Members are invited to attend a lunch on Tuesday February 23rd, 2009 12:00 p.m. until 1:00 p.m., lunch will be provided. Dr. Manz commented on the third party comments and how they are not to be sent to him but to CODA. The Accrediation Posting Form for Third Party Comments was distributed to all Advisory Baord members. Dr. Johnson suggested having another hygienist be a part of the Advisory Board Committee that isn’t a SJC graduate. Dr. Manz informed the group that there will be a fundraising event at his house, a garage sale for SADHA and anyone is welcome to donate items. He remarked that the sale will be Friday May 29th, 2009. Linda inquired how the employment outlook for the senior class is looking and Dr. Manz replied that this year looks pretty good, but there are a few students still looking. Dr. Manz informed the group that the students have to go through a background check through IHS when they do their rotation at Dilth na dith thle, but this will be the first year the Program requires the students to do background checks prior to entering . He commented that it cost the students $45.00, but the criteria for the searches being completed are very vague. Linda inquired if the Program is utilizing or will be utilizing the new simulation center and Dr. Manz replied that the department isn’t utilizing the new building but perhaps in the future with possible emergency type scenarios. Dr. Johnson inquired about WREB changing their testing to use non live patients and Dr. Manz replied that most likely that will happen after 2011, but live patients are still being used for now. He commented that WREB will most likely break down the exam into sections, but now it is going to be computerized. 3 Advisory Board Meeting Minutes Friday October 2, 2009 Attendees: Dr. Manz, Dr. Johnson, Linda Parks, Sherry Paxson, Sherilyn Oldfield, Lisa Jennings, April Paniagua and Tammy Honold. 1. Introductions The attendees went around the table and introduced themselves. 2. Program Highlights Dr. Manz discussed the class of 2009 how 11 graduated and 1 did not. He remarked that the student was a senior and tough decisions had to be made. Dr. Manz commented that there was an overall pass rate of 100%. Dr. Manz informed the committee members that the senior class will be presenting their Table Clinics on Thursday November 12, 2009 starting at 6:00 p.m. He remarked that he really appreciates the support from the community and will send out invitations. Tammy inquired to Linda Parks if she would be interested in Judging this year and she replied that she would. Dr. Johnson commented that he thought there was going to be a Northwest District meeting the same day as Tables Clinics, but wasn’t for certain. Tammy commented that the idea of including CE’s for the event might help entice more community members to participate. Dr. Johnson suggested that if the Northwest District is meeting on the same day to possibly have the Table Clinics and meeting combined somehow and have it at the college. He commented that the socialization takes place at 6:30 p.m. and the meeting starts at 7:00 p.m. Dr. Manz said he would check it schedule to make sure the events aren’t in conflict with each other. Dr. Manz informed the group that the senior class will be having their Anesthesia Mock Boards in November. Dr. Manz informed the committee members that this past spring’s applicant pool consisted of individuals from NM – 5, CO – 3, OK – 1, CA – 1, Germany – 1 (not initially from there but grew up) He commented that a lot of the applicants are local residents, but that the Program does get applicants from all over the U.S. Linda Parks inquired about 10 of the 11 graduates currently being employed and Dr. Manz remarked that one student did obtain employment but it didn’t work out and is looking for a new job. 1 Dr. Manz commented that it is very difficult to keep track of alumni, either because of their busy schedules or simply because they don’t reply. He remarked that the department does try and deep in touch. Dr. Manz informed the committee members that both classes including Tammy, Sherry and he will all be going to Albuquerque at the end of the month to attend NMDHA’s Annual Scientific Session. He remarked that there will be a student social that will take place on Thursday night and this will be students involved in other Dental Hygiene Programs throughout NM. Dr. Manz commented that this year Roswell will be participating. Tammy informed the group that Sunstar/Butler will be sponsoring this event. Dr. Manz also informed the members that the department’s adjunct instructor Josalyn Sewell will be inducted as President. 3. Future Dr. Manz informed the group that GKAS will be coming up in February and is a huge event that allows students to interact with the dental community. Sherry remarked that she is looking to set up a CE course in February with Mark Wood, who is an Ethnobotanist, out of Santa Fe. She commented that she will set it up as a fund raiser for SADHA and encourages the dental community to participate. April inquired if there were any possibilities of having a Spanish CE Course, and Dr. Manz replied the department did have one a couple years back. Tammy commented about possibly setting up a weekly Spanish CE course and Dr. Manz remarked that could be looked into. Dr. Manz remarked that one of the adjunct instructor’s is bilingual as is one of the junior students. Dr. Manz informed the committee members that each operatory in the clinic has its own computer which is used for taking digital radiographs. He remarked that he would eventually like to use each computer for computer charting and install practice management software. Dr. Johnson then made comments about how he has had difficulties with his computer. Sherry remarked that since the clinic now has a digital camera that the entire Radiology material, course information and details have to be rethought. Dr. Manz commented that it is different and how before he could initial radiographs that he had looked over but not with the digital process he is unable to do that. Linda made some commented in regards to Accreditation. She remarked that if the Program is looking to install new programs or processes to make sure that all the students are up to speed and understand it. She commented that it may not be the best time to install new programs and Dr. Manz commented that the clinic only has the digital radiography. Dr. Manz informed the committee members that Tammy, Sherry and he are busy working on Accreditation and are about 1/3 or close to ¾ through. Tammy inquired to Linda if she would prefer she send her chunks of the Accreditation to her for review or all at once and Linda replied 2 it was really what was easiest for the Dental Department team. Tammy then asked Linda if she preferred electronic copies or hard copies and Linda replied hard copies. Linda remarked that she is taking classes at the college on Monday’s and Wednesday’s and just let her know if they need to give her something and she will stop by. Dr. Manz remarked that the Accreditation Site visit will be in February 23rd and 24th and the Advisory Board Committee Members are invited to have lunch. He also strongly encourages third party comments. Linda also informed the Dental Department team members that it is important they advertise the third party comments policy and Accreditation site visit in the newspaper, SJC’s newspapers, etc., to make sure it is widely distributed. Dr. Johnson suggested to Dr. Manz to hang on to the advertisement as well. In regards to the topic of Accreditation, Dr. Manz commented that he was sure the Program would get a couple of hits and one of them would be for shortness of faculty, and adjunct that don’t have their Bachelor’s degree. Dr. Manz commented that he would like to look into having Dental Hygienists join the group that is a little more detached than others. Dr. Manz asked if Lisa had anything she would like to add and she commented that she realized the hardest thing was not getting into the Program, but did comment that she would like to have an extra Faculty member in the Radiology class because now it is getting busier. April added that the senior class is plugging along and now they are looking to when they will be taking their Board Reviews. Dr. Manz remarked that Mandi Pickering teaches a Board Review course, but that the senior class is mandated to attend a Board Review. Dr. Manz remarked that the Dental Hygiene Department has an annual retreat and commented that he is heavily involved in WREB and would eventually like to have a Faculty member work on questions for the board and get involved with the site. Dr. Ron Johnson inquired if Dr. Ketcham was covering hours for Dr. Youngs and Dr. Manz replied that she has picked up helping out with Local Anesthesia and some clinic time as well. He remarked that Dr. Paula Young will be helping out in clinic and the only concern is since she is licensed in CO, she needs to work on getting licensed in NM. Dr. Manz remarked that Dr. Young’s husband works with Dr. Ketcham’s husband in the E.R. He also remarked that Dr. Paula Young was a Dental Hygienist before becoming a dentist. Sherry informed the group that she graduated with Paula at OU. 3
