It is to be utilised by School & Centre Administrators and Heads of Units (i.e. Faculty Deans, Heads of Schools, and Centre Directors) who wish to understand how to interpret information presented in MyResearch. If you would like to request clarification on elements of MyResearch not clearly explained in this guide we encourage you to provide feedback by visiting the http://www.csu.edu.au/research/myresearch/ web page and utilising the feedback form therein. Information in this guide should be used in conjunction with Researcher’s Guide to MyResearch, as many of the elements and views are synonymous. As with Researchers, you will be presented with the Main View on logon. The Main View displays, at a high level, all Modules available to you. In this case, your Administrator profile enables you to view the Personnel and Projects modules. Based on your level of Administrative access, of which there are three, you will see different options available in each module. These differing options and required access level are listed below. Each option will be explained in detail later in the guide. School & Centre Administrators (including HOS and Centre Directors) Personnel module – DA Show My Department Projects module – DA Show All Projects Centre Administrators only (including Centre Directors) Personnel module – CA Find Department (Refer to Appendix A) Faculty Administrators (including Deans) Personnel module – FA Show My Department, Show My Faculty Projects module – FA Show All Projects Page 2 of 11 Administrator’s Guide to MyResearch (RMENET) Version 1.1 Section 1.1: Find Person One of the first options that appear in the Personnel module is Find Person. This view allows you to search for any staff member that is recognised, by the CSU Human Resources Information System (HRIS), as being under your organisational unit’s employment. Two key elements on this screen that allow you to search for a person are Staff ID, represented by the Code field, and Name, represented by the Name (includes) field. Staff ID must be the eight digit employee number allocated to the person by Human Resources. Name can be any combination of letters representing all or part of the person’s name. For example, in order to search of John Smith you may enter “smi” or “ohn” or “John” or “Smith”. The more information you provide the better your chances will be of finding the correct result. Note: Centre Administrators and Centre Directors, at present, are unable to search for their members, affiliates, or any other academics not directly under the Centre’s employment, using the Find Person option. This is largely due to Centre and Academic relationships not being captured in the CSU HRIS. As a workaround, the CA Find Department option, in the Personnel module, has been introduced. Please refer to instructions set out in Appendix A. Alternatively, you may leave both these fields empty to search for all employees working for your organisational unit. Section 1.1.1: Person Profile Once presented with a list of personnel matching your search criteria above, you have the ability to view a profile of your person of interest. The Profile View displays a current snapshot of the following information: • • • • • • • Core person details (i.e. Staff ID, Gender, etc.) List of projects categorised by project status (i.e. Successful Grant, Unsuccessful Application, Pending Application, etc.) Linked contracts (Not yet implemented) Student supervision (In process of implementation) List of publications (Not yet implemented) Linked AOUs, as identified through Alesco All current employment, as identified through Alesco Page 3 of 11 Administrator’s Guide to MyResearch (RMENET) Version 1.1 Section 1.2: DA & FA Show My Department The second option available to all Administrators is DA Show My Department, and is synonymous to FA Show My Department in every aspect documented below. This view allows administrators to view summarised research project related information grouped at the AOU level. It is especially helpful if you’re trying to view: 1. How many projects your AOU is currently undertaking, grouped by Status of the project (i.e. Pending Application, Successful Grant, Unsuccessful Application). 2. How many projects administered by your AOU, or involving your staff, have been closed-off, to date. 3. A list of all personnel presently employed by your AOU. Only current employment records are kept in MyResearch. Alesco will be treated as source of truth for all historical employment records. Page 4 of 11 Administrator’s Guide to MyResearch (RMENET) Version 1.1 Clicking on the Current Personnel view will present you with a list of all staff currently employed by your AOU. This list is updated daily based on an overnight personnel update process. In this view you may click on any staff member’s Staff ID or Name to show the researcher’s Profile view. The Profile view consists of many categories of research related information, namely: • Projects • Contracts (Not yet implemented) • Student Supervision (Not yet implemented) • Publications (Not yet implemented) • Employment Page 5 of 11 Administrator’s Guide to MyResearch (RMENET) Version 1.1 Clicking on the Current Projects view will present you with a list of: • all projects being administered by your AOU, as identified on the NTS • all projects involving your AOU’s staff, as recorded within Alesco • all projects where your AOU has been recorded as a party of interest These projects are categorised by the current status of the project (i.e. Pending Application, Successful Grant, Unsuccessful Application, Withdrawn Application, etc.). You may further manipulate the view by using the header row to sort the results in your order of preference. Code signifies the project code (OPA number). Title, as the name suggests, is the title of the project. Progress Status is a key element of note in this view. This element indicates the current progress of the application through various “checkpoints”, in processing of a grant applications. Some common values include:- App. to be approved by DVCR, App. Submitted to FB (Funding Body), BAF approved by HoS, Project Active, etc. Page 6 of 11 Administrator’s Guide to MyResearch (RMENET) Version 1.1 Start Date and End Date fields represent the proposed start and end dates of the project. The Type field represents various types of projects being managed by the Research Office. The Primary AOU field represents Alesco’s CLEVEL code for the project administering organisational unit. The Key Contact field displays the name of the Primary Investigator for each project. To obtain a list of all past projects that have been closed-off click on the Closed-off Projects option in the Views menu toward the left edge of your browser window. Section 1.3: FA Show My Faculty Finally, the last option, available only to Faculty level Administrative users, is FA Show My Faculty. It displays the Managing Unit (MU) that you, as the administrator, have access to and all AOUs that structurally reside under the MU. You have the ability to navigate through each of the listed AOUs and view research projects being undertaken by its staff. Once at the AOU level all options are similar to those described in Section 1.2: DA & FA Show My Department. Page 7 of 11 Administrator’s Guide to MyResearch (RMENET) Version 1.1 Section 2.1: RE Show My Projects We now move on to the first option in the Projects module, RE Show My Projects. This option is synonymous to the one explained in detail within Researcher’s Guide to MyResearch, and will not be covered in this guide. Page 8 of 11 Administrator’s Guide to MyResearch (RMENET) Version 1.1 Section 2.2: DA & FA Show All Projects The second option available in the Projects module is DA Show All Projects, and is synonymous with the FA Show All Projects view in every aspect documented below. This option provides Administrative users with the means to quickly perform a search for a project of interest. Simply provide details identifying the project in one of fields. • Code accepts a 10 digit value representing the project code. It is sufficient to only provide a numerical value without the leading zeroes. • Title accepts alphanumerical values that may exist in any part of the project title. You may perform a wildcard search by including a ‘%’ symbol. For example, if I knew that the project I was interested in contained the words Ecosystems and Delivery, I would type Ecosystems%Deliver in the Title field. • Fund Reference Number (unused at this stage) Section 3.1: Summary We have made an attempt at creating an all-encompassing guide to explain common elements that you may encounter in your interactions with MyResearch (RMENET). However, if you believe other elements may have been missed or current explanations need to be more comprehensive we value your feedback. Page 9 of 11 Administrator’s Guide to MyResearch (RMENET) Version 1.1 Appendix A Centre Administrator/Director workaround for locating personnel not directly employed by the Centre Background: Due to current HR processes, by which employment information is currently recorded in Alesco, it is not possible for Centre Administrators/Directors to search for their members, affiliates, or any other academics not directly under the Centre’s employment, using the Find Person option. Locate and click the CA Find Department option from the Personnel module. Doing so will present you with the below screen. Now, enter the name, or some part of the name, of the CSU Organisation Unit (AOU) by which the person of interest is employed. If your search yields only one result you will automatically be taken to the relevant AOU view, however, if multiple results are displayed you may choose the relevant AOU hyperlink by clicking on the name. The AOU view allows you access a variety of information related to that AOU. The two options, as displayed above, are for viewing Personnel and Project information. In each case, you will only be able to view information accessible to you by virtue of your AOU affiliation. For example, you will not be able to view projects being administered by other AOUs. Locate your person of interest and click on their Staff ID or Name for a view of the person’s research profile. Again, you will only be able to view research projects that apply to your security level. If the person is conducting research for an AOU, with no involvement from your AOU, you will not be able to see the project in the person’s Profile view. Page 11 of 11
